ANALYST TRAINEE NEW JERSEY DEPARTMENT OF THE TREASURY

DIVISION OF ADMINISTRATION OFFICE OF FISCAL AND RESOURCES GOVERNMENT RECORDS ACCESS UNIT

The New Jersey Department of the Treasury's Division of Administration, Office of Fiscal and Resources, seeks an Analyst Trainee to work in the Government Records Access Unit to assist with coordinating and facilitating the handling of Open Public Records Act (OPRA) requests submitted to the Department of the Treasury. This entry level position will learn how to: answer phone calls; enter requests into a database; prepare written correspondence to OPRA requesters and various vendors conducting business with the state; prepare spreadsheets and reports, organize files, archive and retrieve files; review and research requests for proper agency assignment within Treasury and/or determines if other state departments are required to correct the action; assign requests and create electronic folders and hard copies for retention; complete records retention and disposition schedules; maintain electronic copies of all retention schedules; prepare reports summarizing meeting topics and narratives; submit requests to the Division of Revenue and Enterprise Services within the Department of Treasury, to request electronic searches of electronic records maintained within the Department of the Treasury servers and employee hard drives to search for emails and electronic records in response to a Treasury OPRA Request; review electronic records produced searching for items, such as, social security numbers, bank account numbers, home addresses, name of minor child, name of beneficiary, advisory consultative and deliberative material, copyright markings, and confidential markings; perform electronic redaction of records utilizing Adobe Pro; Pay daily consolidated energy bill for the State of New Jersey; review energy tracking program for related charges; organize, calculate, and send monthly energy billing statements to 12 departments; review financial system to verify payments for energy charges are reimbursed to Treasury; Reconcile payments to charges and record payments onto energy billing spreadsheet; track notices from EnergySolve to statewide community to ensure timely responses for establishment of new billing accounts, meter setup and access, billing and energy consumption clarifications; monitor Department of the Treasury travel card transactions daily in financial system and collects travel confirmation paperwork from all liaisons; reconcile travel card activity to monthly billing statements; provide administrative backup support to Casino Revenue Commission; prepare agenda, meeting packets, and transcribes and records meeting minutes. Performs other related duties as required.

SALARY: Starting salary is $43,753.77, with an increase to $45,731.91 after 6 months of employment and satisfactory performance. A comprehensive benefits package is offered.

REQUIREMENTS: EDUCATION: Graduation from an accredited college or university with a Bachelor's degree. APPLICANT SUBMISSIONS MUST INCLUDE A COPY OF DEGREE AND/OR TRANSCRIPTS (OFFICIAL/UNOFFICIAL) DOCUMENTING POSSESSION OF DEGREE. Preference will be given to candidates who possess a Bachelor's degree in Business Administration, Accounting or Communications. Possession of a Para Legal Certification in addition to the degree would be a plus.

NOTE: Knowledge of Microsoft Access, Microsoft Word, Microsoft Excel, and Adobe Pro preferred. Must have strong written and verbal communication skills, strong business administration skills, and the ability to handle confidential records in a professional and secure manner.
