Submitting a proposal at SSW-Administrative process

1. Set up an initial meeting with Lena Lundgren, SSW Research Director, and create a plan for submitting the proposal. She will provide consultation on all aspects of the proposal writing with a focus on research design, conceptual framework, and the overall congruence of the proposal. She will also help you identify if you need other faculty to provide you with advice on the proposal. Further, she will make certain that there is administrative support available. Finally, she will contract with statistician for power analysis and review of data analysis section and with a qualitative methodologist, and identify other faculty who may do final edits and review. (if this is a federal NIH grant and not a response to a specific RFA have the first meeting 4 months prior to submitting the proposal)

2. At approximately the same time, contact Office of Sponsored Programs OSP Assistant Director Erin Ryan 3-4365 to tell her you are planning to submit a proposal. Erin will do an initial review of the grantor’s requirements to identify any possible problems.

3. About six weeks prior to the deadline have your narrative section complete. This will now be sent out the the BU external review committee. They will have two weeks to review your proposal.

4. Budget: Set up a meeting with Meredith Enish, SSW Budget Director, who will help you draft the initial budget. Please do this about 1 month ahead of time. You can also obtain assistance from Erin Ryan at OSP for developing a budget and this is especially advisable for federal applications. In addition, PIs must also review their budget and expected space needs for the project with SSW budget director before asking the Dean to sign off on the proposal.

5. Submit your budget, budget justification, scope of work, conflict of interest form, proposal summary form and check lists (see this webpage for information on these items) to Erin Ryan for her review and university approval about 3 weeks prior to the deadline . Contact Brook Davis to compile these materials. She will get the required signatures and walk a hard copy of the forms over to OSP ( 25 Buick Street.) Please assume that you will need to do some additional work on the budget with Erin to make certain the budget meets the approval of BU and the funder.

6. If you are submitting a federal grant, you will need help from Brook to complete the federal forms. (You also hopefully will have a work study student or RA who will help you with literature reviews).

7. For federal grants submitted via the system: all final documents; the proposal narrative, all forms, budget, budget and budget justifications need to be transferred to an OSP website (information about this website can be found at f. This should be done by Brook one week ahead of the deadline for the proposal. Erin Ryan will review this information and then submit the final materials to the federal government. She will also help you respond to any error messages that you may get back from the feds.

8. For foundations: Most foundations now have web-site proposal submission. The submission process is often quite lengthy and often requires PI attention. After you receive OSP approval, Brook will need to download your materials on to the web-site. It is strongly recommended that if you use someone else to transfer your materials to the website, that you do a final review before submitting the materials. Therefore, start the website submittal process at least 3 days ahead of the deadline.
