4343400-57150000Department of Human ResourcesOPSEU Job DescriptionJob Title: Athlete Development CoordinatorJob Number: A-287NOC:5231Band:6Department: Athletics & RecreationSupervisor Title: Director, Athletics & RecreationLast Reviewed:March 11, 2015Job PurposeReporting to the Director, Athletics & Recreation, the Athlete Development Coordinator is responsible for providing leadership and strategic direction in the areas of athlete development, coach development and the management of the recruitment model with a goal to increase student-athlete and coach capacity and performance across all areas of the department developing a culture of sport excellence.This role demands a high capacity for strategic planning and building strong relationships with multiple partners at local, provincial and national levels. Its foundation is anchored in the fields of sports and education and will demand the following:Develop and implement enhanced and inclusive student-athlete engagement opportunities;Develop and implement coach development plan;Provide direction on the implementation of the Canadian Sport for Life’s Long Term Athlete Development model.The Coordinator is responsible for the leadership and development of long range sport specific performance plans which include developing program and services to support athletes and coaches in their pursuit of excellence. Key ActivitiesAthlete DevelopmentCreate resources, tools and tactics that support enhanced student-athlete engagement opportunities;Direct management of the six intercollegiate programs and three sport club programs; oversees the part-time coaching staff and provides supervision to student staff and volunteers.Works with the Athletic Recruitment Coordinator to develop overall strategic recruitment model and annual sport specific recruitment plans.Works with the Director, the Athletic Recruitment Coordinator, and the Recruitment and Admissions Office in recruiting student athletes to municates with varsity student athletes to coordinate annual program review, enabling all student athletes the opportunity to evaluate all aspects of the varsity program.Provides functional leadership, direction and oversight to the Campus Recreation Co-ordinator for the delivery of diverse programs that encourage heightened participation and contribute to positive student life and develop a sense of community. Coach DevelopmentWorks with varsity coaches regarding their annual program plans and communicates University and departmental processes. Supports the Athletic Director in hiring new coaches.Develops and ensures that all coaches sign an annual coaching contract that includes University confidentiality agreement, Coaches Code of Conduct and Code of Ethics, and a Criminal Reference Check.Assists the Director, Athletics & Recreation in conducting on-on-one pre-season and end-of-season performance evaluations for all coaches.Recommends and develops opportunities for coaching development throughout the year.Serves as the first point of contact for coaches, other universities and the leagues in which Trent participates for all varsity business. Student LeadershipRecruits student staff to support the operation of the athlete development program, including convenors, captains, registration staff, etc.Provides ongoing supervision and feedback to student staff to ensure that job responsibilities are fulfilled.Works with Trent University, Fleming College and other institutions in providing internship opportunities for students in the operation of the varsity program, including business, administration, retail, research, fundraising, event operations etc.High Performance Program ManagementMaintain on-going sport development plans to constantly assess, evaluate and amend program development strategies; Attends provincial and national sport organization meetings.Recruits student staff for the High Performance Event team, and provides on-going supervision and feedback to student staff to ensure that job responsibilities are fulfilled.Working with the High Performance Event Team, the Co-ordinator:Coordinates varsity athlete orientation session at the beginning of each varsity season and as part of that ensures that drug education program takes places and monitors compliance to ensure 100% participation by varsity athletes.Checks all player eligibility, liaises with Registrar’s Office and coaches as required, and ensures that reporting requirements and deadlines are met with respective sport league.Updates Coaching Handbook and Varsity Athlete Handbook, ensuring that all policies are up-to-date.Coordinates all statistical reporting and ensures compliance with OUA/CIS/OCAA sport information requirements, deadlines and procedures.Ensures that all logistics required for varsity home games are coordinated as required and leads a team of student staff (set-up crew, announcer, writer, etc.) to ensure that game set-up is completed as required, and the game is choreographed and run in an efficient and entertaining way for fansEnsure all game scores, stats and other detail is recorded and digitally submitted with the appropriate software to the respective leagues, within two hours of the game completion.Coordinates the web casting of all varsity home games, including: working with student staff and volunteers in filming and streaming, announcing all games. Works with coaches and vendor to order new uniforms or varsity clothing to be purchased by student athletes; acts as liaison between the varsity teams and the varsity clothing supplier; develops replacement schedule for uniforms.Manages all Trent varsity team equipment and uniforms to ensure that they are clean and ready for the coaches to pick up in a timely manner prior to games and practices. Orders all varsity equipment as needed.Coordinates team training camps, working with coaches and Conference Services to arrange for accommodations, meals, and ensuring that field bookings are secured.Works with sports therapy provider to ensure that athletic support is available to all teams for home and away games.Financial Management & AdministrationWorking with coaches, develops team operating budgets for the fiscal year; tracks expenditures and works with Assistant Director, Business operations to ensure compliance with University and Department financial policies.Working with Assistant Director, Business Operations, monitors fundraising budgets for each varsity team and works with coaches to determine the appropriate allocation of expenditures against these budgets.Participates in the Athletic Advisory Council meetings.Works effectively with other departmental staff, providing support and assistance to other members of the department in general as may be required from time to time.Works with other department staff in planning annual varsity events, including the Academic All Canadians Reception, Athletic Awards Banquet, and the President’s Excalibur Golf Tournament.Coordinates Financial Athletic Awards and Bursaries with the Director and the Financial Aid Office and the Advancement Office.Work collaboratively with suppliers and service providers to ensure program components and resources are developed in a professional, timely and cost effective munications & MediaMaintains all aspects of the websites for varsity as well as social media platforms (e.g. Facebook, twitter) with relevant and timely information, including: team schedules, rosters, event information, scores, writing game recaps, adding photographs, and player eligibility.Ensures that media releases, game recaps, or other timely information is prepared for and distributed to local media outlets for the varsity program. Acts as primary contact for media inquiries about the varsity program.Develops an excellent working relationship with the media, in partnership with the Graphic Design and Marketing AssistantResponds to requests for information from leagues, and other universities/colleges.Promotion and Sponsorship Assists the Director, Athletics & Recreation in developing sponsorship strategies to increase support and revenue generating opportunities for the varsity and campus recreation programs.Implements and manages sponsorship programs; works with Coaches and athletes to communicate participation requirements; assists the Director, Athletics & Recreation in making sponsorship requests to prospective sponsors.Works with the Alumni Affairs Office in developing and expanding the Alumni support for varsity athletics;Works with Trent students, teams and groups to promote attendance at varsity events and participation in campus recreation intramurals.Education Post-secondary Diploma or Degree (3 year) in Sports Administration, Physical Education/Kinesiology.Experience RequiredMinimum two years’ of progressive work experience in coordinating a university or college level varsity sport program, and in program development and planning of sport programs.Demonstrated knowledge and experience with a wide variety of sport rules and game requirements with OUA/CIS and OCAA/CCAA sports; applying provincial and national rules to determine player eligibility.Experience in coaching and athlete development.Intermediate level computer skills: Internet and Microsoft Office (Excel, Access, and Word) required; experience updating and maintaining web pages an asset.Must have excellent interpersonal, customer service and communication skills (both verbal and written) and the ability to interact effectively with coaches, athletes, staff, and external stakeholders.Experience maintaining websites, and utilizing social media.Sound financial management skills; experience in budget development and fiscal responsibility.Excellent organizational, time management and planning skills.Proven ability to work independently.Experience managing staff; experience hiring, training and supervising student staff.Current Standard First Aid and AED. Valid Ontario Driver's license (Class ‘G’ minimum) and access to a vehicle.Criminal Record Check (dated within the last 6 months) will be required as a condition of employment. This check is at the cost and responsibility of the applicant.Ability to be flexible and adapt to changing situations.Willingness and ability to work evenings, weekends, holidays and during scheduled University closures is required. (Note: This position requires on-site attendance at numerous athletic events, and the individual is required to work flexible hours according to the event schedule, including frequent evening and weekends as required).
