Supplier Approval ProcedureNorthcoast Seafoods Limited does not directly manufacture products, but purchases and trades products from reputable approved suppliers. This process involves food processors/manufacturers, haulage (containerised and road), and storage contractors all of which have to be approved to supply products and services to Northcoast Seafoods.Food Processors and ManufacturersNew SuppliersNorthcoast Seafoods Limited wherever practical will source new products from existing Approved Suppliers. Where this is not possible there is a need to locate and approve a new supplier.Having established that the Supplier can produce the required product(s), the first step in the Approval Process is to send the potential New Supplier a Northcoast Seafoods Food Safety and Quality Questionnaire (NC QA 10) for completion and return. All Suppliers to Northcoast Seafoods are to be BRC Approved as a minimum ideally by a UK Certification Company. Where there is no Current BRC Certification for the site the Supplier is required to submit a plan and timescale for the site approval, and where the site BRC Certification has been issued by a non UK Audit Body the supplier is required to commit to an Audit by a UK Certification body at or before the expiry of the current certification.All New Suppliers are visited by Northcoast Seafoods (this can be either with or without the Customer) and as a result of the visit to the potential supplier they are either ‘Approved to Supply’ or ‘Approved pending the completion of certain criteria’ detailed in a corrective action plan. A New Supplier of food will only be approved to supply Northcoast Seafoods once the following are completed:BRC Certification of the manufacturing siteThe completion of action points detailed in the Corrective Action Plan The submission of approved samplesThe completion of Northcoast Audit (NC QA 16)At this stage the Supplier is entered onto the Approved Supplier List and Details entered onto the Supplier Management System (NC QA 11); as part of this process each Supplier is then Risk Assessed on Supplier Approval and Risk Assessment Form (NC QA 12) to determine the frequency of re-assessment required.Each New Supplier is placed on a trial period of 3 months prior to full approval being granted, during the trial period the performance of the supplier is monitored.Supplier Approval ProcedureExisting SuppliersBased upon the Risk Assessment this will determine the frequency of re-assessment for each Supplier, at this stage the supplier can be approved by a number of methods:Supplier Visit / Audit and completion of any Corrective ActionsThe Satisfactory completion of a New Food Safety and Quality Questionnaire (NC QA 10)Third Party Approval (i.e. on the basis of BRC Accreditation by a UK Audit Company)History of TradingEach time the Supplier is Re- Approved a Supplier Approval and Risk Assessment Form (NC QA 12) is completed to determine the frequency of re-assessment.Note: where a technical visit is made to a supplier prior to re-assessment being due, this can be added to the Supplier Management System (NC QA 11) to extend the approval of that supplier; this is reliant upon the details of the visit being documented and the receipt of appropriate corrective actions.Products and ServicesThe Suppliers of Products and Services (Haulage and Storage) are generally contractual agreements and are reliant upon the Supplier’s performance to consistently meet the requirements of Northcoast Seafoods and their Customers. Details of these suppliers are entered onto the Supplier Management System, however rather than being risk assessed they are recorded as contracted with the frequency of re-assessment of their performance being set at 12 months (New Suppliers will have a Trial Period of 3 Months)Where a Supplier is failing to perform this review period can be reduced.The following is required as a minimum:Temperature controlled Haulage/DistributionAll vehicles/containers are to be fitted with temperature monitoring equipment that is able to be interrogatedAll containers/vehicles are to be well maintained and cleanHauliers will be required to complete a Haulage Contractor Self Assessment Questionnaire annually as part of the contract review procedure.Supplier Approval ProcedureStorage:All temperature controlled storage areas are to be fitted with suitable temperature recording systems that are linked to alarmsThe Storage facilities are to be suitably pest proofed, are to operate glass and hard plastic foreign body controlsProducts are to be protected from the environment during loading and unloading operations Where practical contactors should be Certified to or working towards the Global Standard for Storage and Distribution. ................
