In order to be certain that all staff involved in the use of the laptop carts understand how to manage cart and laptop use, the following guide has been developed. Please read it thoroughly, discuss with all your classes, and put these management ideas into practice. Please sign the last page “tear-off” and return to your SBA or team leader who takes care of the cart as an indication that you understand the procedures needed to appropriately use this technology. Only those staff members who have read and signed this guide will be permitted to use a cart from this point on.

Your Responsibilities in Using Laptops Within Your Classroom

• You MUST sign out the cart from the person in charge of laptops or your cart in your specific building—usually your department SBA. You may NOT use the cart unless you have gone through this procedure.

• No laptop is ever to be removed from the cart to be used outside of the classroom/office currently utilizing the cart. Teachers may NOT take laptops off of carts at any time and remove them from the area where the cart is. Laptops must stay with the cart as part of the classroom set.

• Do NOT switch laptops between other carts.

• You MUST perform an inventory of the cart before and after the scheduled class. This means you must verify that all laptops are accounted for and that keyboards are intact. An easy way to manage this is to select two responsible students to open each laptop and check the keyboards as they are given out and to enact the same procedure as the laptops are returned to the cart.

• Establish a way of moving your cart to its next location. You MUST return the cart to its secure storage location immediately after your class or make arrangements for the next teacher using it to retrieve it. You may NOT leave it unattended or unlocked at any time.

• Please work with your fellow teachers to make transportation of the carts between classes as efficient as possible.

• Use the numbering system on the laptops to identify which student is using each unit. An easy way to manage this is to assign each student a specific laptop number for the year. Vandalism can then easily be tracked.

Tips For Successfully Using the Laptops Within Your Classroom

• Immediately plug the cart into a power outlet and a network outlet. Again, a trusted student can do this for you.

• You will encounter a network slowdown if all laptops are trying to access one website or log in at the same time. Stagger log-ins.

• Please allow for the return of the laptops to the cart as part of your class time.

• Discuss with your students their responsibility in using the laptops and your expectations in their proper use.

• Be sure that students understand that their computer screen should be black and the computer is totally turned off before having it checked when returning it to the cart.

• Laptops must be returned and plugged into their charging station in the cart so they can be ready for the next class. Have all laptops facing in the same direction .Keep the wires wound up and clipped to the side. Again, trustworthy students should be assigned to this task.

• The AC adapters are fixed inside the cart and should not be removed for use at the desktop.

• Always keep the cart plugged into an electrical outlet while it is in the classroom. When turning the cart to its storage area, please plug the unit into an electrical outlet. This is essential since the Airports need power so that the computers can connect to the network.

Presenting the Computers to Your Students.

When introducing the carts to your students for the first time, please guide them through the following information. (This is a good time to reiterate their responsibility in using this expensive equipment).

• Unplug the power cord first before removing their assigned laptop from the cart.

• When transporting the laptop, grasp with both hands. When putting it on the desk, make sure that there are four corners resting on the desk.

• No food or drink should ever be near a laptop.

• Never touch the screen surface with any pointing devices.

• Never attempt to clean the surface of the screen.

• Do not leave the laptop unattended. If a student must leave the classroom, they must return the laptop to the cart or teacher.

• Use the proper Shut Down procedure at the end of the class activity.

Once everyone has their computer and are sitting, review the keyboard buttons. Explain that any “mischief” will not be tolerated and will result in suspension of their computer privileges and further penalties.

Shutting Off the Computers.

• Allow for five minutes of class time in order to complete the shutdown.

• Make sure the computer is off. Go to the Apple Menu, select Shut Down. When the Shut Down Menu appears, select “shut down”. The machines will power off within seconds. The screen must be totally black to indicate that the computer is truly shut down.

• Either YOU or a trusted student MUST check each keyboard to make sure it is intact before it is put back on the cart. The next teacher to use the cart will check all laptops before they are distributed.

• Place the computers back in the cart and plug them in to their power cords. Again, a trusted pair of students assigned to this task can make this an efficient process.

• You can check that the laptop has been shut down correctly by making sure the light on the binder of the laptop front is not blinking.

Report ALL issues to your SBA immediately. Indicate the name of the cart or its number, the laptop number, and a description of the problem. They in turn will file a report with your building computer liaison who will contact the appropriate technician for repair.

Projector Precautions

Projectors must be powered down SLOWLY using the fan to cool off the bulb. Let the fan cool the bulb for several minutes until the projector is cool to the touch before unplugging the projector.

• Note: The bulbs are very expensive, costing at least $400 each to replace. If you Power Down and then want to start up again it will take several minutes to power up again.

• If you are using a projector on a cart, do not place combustible materials like paper near it.

• If you are using a projector on a cart, remember to remove the lens cap.

• If you are using a projector on a mobile cart and you power it down because you are done with it, you must allow the fan to cool the bulb for at least 90 seconds or wait until you hear the fan stop before turning the main power switch to "Off" and unplugging the projector.

Continued use of the cart and laptops may be denied to any staff member who does not adhere to these guidelines or who returns the laptops in damaged condition without reporting problems to the SBA.
