ADJUNCT GUIDEPOLICY & PROCEDURES Receive Clearance to Work Getting on Board Resources & Policies to Prepare For ClassWelcome to the Psychology Department! In order for you to officially become an adjunct faculty, you must immediately complete both parts of Step I. You will not be able to teach and we will not be able to share with you any information or resources unless Step I is completed and you have received clearance from the human resources office. STEP 1: RECEIVE CLEARANCE TO WORKPART A: Submit Required Documents to the Department Send the following documents to the Administrative Director, Ms. Anila Duro, at aduro@jjay.cuny.edu. CV/ResumePersonal Information formYou are required to ensure that the Department has up to date contact information for you at all times. This includes, home, cell, office telephone numbers and home mailing address.Workload FormPART B: Submit Required Documents to Human ResourcesFill out and return all required forms to the Human Resource Department located at 619 West 54th Street, 7th Floor, NY, NY 10019. To receive the paperwork by email contact, Mr. Niroshan Kariapper, HR Coordinator, at Nkariapper@jjay.cuny.edu or 646-557-4670. You must receive clearance to work before you move to Step II & III.STEP II: GETTING ON BOARD Once HR has determined that you are cleared to work, the College and Department will give you access to the following:College’s & Adjunct’s ResponsibilityEMPLIDCUNY FirstClaim your CUNY First account. It is of the upmost importance that all members of the department use and frequently check their John Jay Email account. Most of, if not all, the critical information sent from the department and the college is transmitted to employees via the John Jay Email system. Personal email addresses can be used as a backup system for communications, but does not take the place of using the John Jay Email system as your primary means of communicating with the department or college.Blackboard/CUNY PortalCreate your CUNY Portal account to be able to log into BB: . Please do not use the department copy machine to copy your syllabi. Please send them to the print shop () to be copied or post them to Blackboard. You must register for the Web Print service in order to have the ability to place an order. Before you register make sure to have a John Jay email address (personal email addresses are not permitted). In order to register you must follow the above link. On the upper right hand side of the page you will see a drop down box:1.?????? Select John Jay Account (not Local Account)2.????? Log-in with your JJC login and password3.????? Re-enter your password on the second page (You must do this)4.????? Review the pre-populated information5.????? Pay particular attention to the department name and location 6.????? You should regularly check your mail slot for incoming mail and insure that your assigned mail slot does not accumulate dated mail. NOTE: NEW LOCATION for BIG PACKAGES--Packages are in the unlocked file cabinet labeled “FACULTY PACKAGES” underneath the scantron machine in mail room (10.65.32).LockersThe College offers adjunct lockers. Psychology lockers are located on the 10th floor. If you would like to use a locker, please email psychology@jjay.cuny.edu. Adjuncts must bring their own locks. Psychology Adjunct ListserveAll adjuncts are automatically added to the list serve which is updated every semester and it includes only active teaching adjuncts. If you do not receive emails from psydep-a@listserver.jjay.cuny.edu, notify the department immediately. Model syllabi & copies of prior syllabusYou may email aduro@jjay.cuny.edu to receive the College’s model syllabus and/or prior syllabus. STEP III: RESOURCES & POLICIES TO PREPARE FOR CLASSView the Academic Calendar at SyllabiA copy of your syllabi for each of the classes being taught by you for the semester must be submitted to the Department Director prior to the start of class (psychology@jjay.cuny.edu). Each syllabus will be reviewed for accuracy and must contain the proper learning objectives and textbooks that are applicable to the course that you are teaching. Check with department administrative personnel if you are in doubt as to the proper format for your syllabus.Instructor’ Textbook CopyFaculty must contact the publisher directly to receive a free copy of the textbook they plan to adopt. The department only provides textbooks for PSY 101 and 311 courses. If the publisher requires proof that you teach in the department, please provide them with psychology@jjay.cuny.edu email account. PoliciesAll important college policies can be found in the College’s bulletins (undergraduate and graduate). See Class Cancellations - You are required to teach each of your assigned classes during the semester. If the reason for not being present to teach a class is an emergency, you must contact the department and advise us as to the nature of your excusal. You must also notify the college security desk that you will not be attending class and to request that a security officer place a notification sign on the door of your class. If you have ample notice that you will not be attending a class, you must arrange for a guest lecturer to teach your class or create an on-line assignment but, this should not be your solution for more than one class per semester. The guest lecturer should have some teaching experience and be able to teach the class a topic that falls within the subject matter of the course. In addition, the Office for Advancement of Teaching (CAT) can assist you in covering one of your classes. If you need to cancel class, you must: contact the Chairperson and/or the Administrative Director and advise them as to the nature of your excusal. You must also notify the college security desk (212-237-8524) that you will not be attending class and to request that a security officer place a notification sign on the door of your class, indicating that you will be missing class that day.Final Exams – Final exams must be given during the week of Final Exams, on the day that the exams are scheduled by the registrar for your course. The schedule of exams can be found at submission - Always attempt to submit your grades as soon as possible after completing your course (grading finals and papers). Grades will be entered and submitted through CUNY First. If you do not submit your grades by the deadline, you will need to submit individual grade change forms for each student. Here are the basic steps to submit grades: Log into CUNY First, then navigate the following: HR/Campus Solutions > Self Service > Faculty Center > My Schedule.1. View the My Schedule section of the page.2. Click the Grade Roster icon of the selected class (2nd icon next to the section you wish to enter grades for).Note: By default only the first 20 rows of a grade roster are displayed. To view all the students on the grade roster, click the “View All” link below the last row of student.3. Enter the grades in the Roster Grade field and then click the Save button.Note: If a student on the grade roster already has a grade (typically a ‘W’), this is a grade that has been assigned as a result of withdrawing from the class or has been administratively assigned.4. Once all grades have been entered, select the approval status of “Submit Grades to Registrar” and click the Save button.5. Scroll down to the bottom and select “Post” then click the Save button again.Note: Grades should now appear in both the Roster Grade and Official Grade column.Online Courses - If you wish to teach online, you must be certified by CUNY. All faculty are required to take and complete the CUNY Online Teaching Workshop. To register please email your request to acrossman@jjay.cuny.edu and aduro@jjay.cuny.edu. Grade Changes - Faculty members who initiate such a change must file a Change of Grade Form. All forms are available in the department or Registrar’s office. After filling out the form, please submit to Ms. Anila Duro via email or in person room 10.65.34 or the main office. We will sign the form, make a copy for our departmental files and submit original form to Registrar’s office on your behalf. Note: Undergraduate grade change requests over one academic year require the approval of the Dean for Undergraduate Studies. Graduate change of grades over one year requires the approval of the Dean of Graduate Studies.Library Resources Library Blackboard Set Up (course availability)Create your CUNY Portal account to be able to log into BB: . You can also email psychology@jjay.cuny.edu and our office and research assistants can prepare them and put them in your mailbox slot. Make sure to tell us the exact number of scantrons and blue books you will need for the entire semester.Other InfoAttendance Rosters - Roughly 2 to 3 weeks into the semester you will receive a notification that Attendance Rosters are due for submission via CUNY First. It is imperative that you submit this information in a timely fashion, due to the fact that the college receives financial support based on this information. To navigate here: HR/Campus Solutions > Self Service > Faculty Center >Verification Attendance Roster.Student evaluations - Each semester, usually within the last month of the semester, you will either receive packets of blank student evaluations that you will distribute to each of your classes or they will be administered electronically. During this process, the students will anonymously evaluate your teaching skills. You will then receive a notification during the following semester to review the student evaluations that were submitted during the preceding semester. Hopefully the review of these evaluations will give you some insight as to how you can improve your teaching skills. You should take the student evaluation process very seriously, as it is an indicator that is used to determine your future employment at the college.Peer evaluations – For the first 10 consecutive semesters, or as per chair or self-request, you will be evaluated by a full time member of the faculty. They will evaluate one course per semester. Following the observation, please make sure that the Observation Report and Post-Observation forms are signed and submitted in a timely manner. Teaching requests – all requests should be sent via email to aduro@jjay.cuny.edu. We offer courses in winter and summer. Course enrollment - You can go CUNY First, then go to HR/Campus Solutions > Self-Service>Class Search and enter your course information. Then click the blue link indicating the section information (i.e. 01-LEC Regular).
