Independent Medical Education, Patient Education, Scholarships/Fellowships, and Sponsorship FAQ

1) What types of grant requests will Pharmacyclics consider?

Pharmacyclics will consider funding:

• Independent Medical Education (IME) Grants – IME grants are provided to support accredited or non-accredited medical education activities for Health Care Professionals that are not controlled or influenced by company personnel. IME includes both Continuing Medical Education (CME) and non-CME programs. These programs must be independent of Pharmacyclics influence with respect to content and conduct. CME grants must follow FDA and ACCME guidelines. Pharmacyclics supports programs that are organized by accredited providers and/or Academic Institutions.

• Patient Education – Pharmacyclics may provide general funding to charitable organizations to support the education of patients or the public about important health topics in areas of interest to Pharmacyclics and based on legitimate need in the medical community.

• Scholarships, Fellowships – Pharmacyclics may provide general funding to educational sponsor or training institutions to support junior faculty or emerging leaders in medical science. This may come in the form of a scholarship where funds are utilized to reduce the reasonable expenses for Health Care Professionals in training to attend major scientific and educational meetings. Fellowships may also be provided to support the progression of post-doctoral activities, or career development awards.

• Sponsorships – Pharmacyclics may provide general funding to patient and medical organizations for various activities, programs, meetings, memberships, and events, as long as Pharmacyclics will receive an actual and appropriate benefit in return for such support.

2) For Patient or HCP educational grants, what therapeutic areas will Pharmacyclics consider funding?

Pharmacyclics may provide grants for programs that pertain to Hematologic Malignancies and Oncology topics that align with Pharmacyclics therapeutic areas of interest (e.g. CLL, MCL, WM, GvHD, MZL).

3) What type of audience is considered appropriate for educational grants or sponsorships funded by Pharmacyclics?

Pharmacyclics supports programs primarily for Hematologists/Oncologists, Oncologists, Nurses, Nurse Practitioners, Physician Assistants, Pharmacists, Research Scientists Managed Care Professionals, Patients, Caregivers, and Policy Leaders.

4) What are the reasons why Pharmacyclics may deny my grant request?

Pharmacyclics Grant Review Committee reviews every grant request received by the company. Some common reasons for denying a request are listed below:

1. Does not align to educational objectives

2. Requested information not received

3. Insufficient time for review

4. Budget constraints

5. Budget reconciliation for past program not submitted

6. Letter of agreement not returned

7. Inappropriate program venue

5) If an institution is submitting multiple requests at once for CME grants, can that be in one application?

No. Pharmacyclics will review each request separately. Also, if a request has a bona fide exhibit in the request, the promotional aspect of the request will be routed to the Pharmacyclics Commercial team. Grant requests related to continuing medical education should not include opportunities for promotional exhibits in the same application.

6) What is the timeline requirement for submitting a grant to Pharmacyclics?

Pharmacyclics requires grant requests to be submitted at least 45 days in advance of the program. Any grant request submitted with less than 45 days for review may be denied due to insufficient review time.

7) What back up documents are required to apply for grant funding?

Pharmacyclics requires that the following documents accompany your grant application:

8) What is an Institution Needs Assessment?

Pharmacyclics requires that the requesting institution prepare an educational need assessment for any and all funding requests. A needs assessment is the documented method to collect needs and gaps in education that the institution has identified for a program (the method could be a survey, a gap analysis, etc).

9) How will Pharmacyclics communicate with me on my grant requests?

The primary form of communication from Pharmacyclics to the requesting institution will be by e-mail. The e-mail address used will be the e-mail address entered on the grant application. A representative from Pharmacyclics will call utilizing the phone number on file if e-mail is unsuccessful.

10) If my grant is denied, can I resubmit?

If a grant request is denied, it can be resubmitted to Pharmacyclics if there is sufficient time for review (at least 45 days from the event). The institution will also have to indicate how the request has been modified or changed in a text box in the grant application form. However, there is no guarantee the request will be approved if it is resubmitted.

11) If my grant is approved, what are the next steps?

The Pharmacyclics grant portal will attach a letter of agreement to the approval e-mail. Upon return of the contract to the grant administrator, the grant will be routed to Pharmacyclics for contract execution. Once the contract is executed, a copy will be e-mailed to the grant requester and the grant will be paid within 14 business days.

12) What is Pharmacyclics’ policy on program reconciliation?

Pharmacyclics may require that within 60 days after a funded event, the funded institution verifies the event took place and that the Pharmacyclics funds were appropriately used. Any unused funds will need to be returned to Pharmacyclics. The online tool will prompt the funded institution to complete this reconciliation with Pharmacyclics. Not completing financial reconciliation may affect Pharmacyclics’ grant giving for future requests.
