Typing a Thank You Letter for a Tour of a Business

Objective: Students will compose and type a letter in the proper business format.

Directions: Students will follow the directions to create a thank-you note using the correct format. Students will properly address an envelope to the recipient. Students will include the return address.

Purpose: When local business owners donate their time to show you their business, it is good business to write them a thank you note for sharing their knowledge.

Directions:

1. In the upper left-hand corner type the date.

2. Double-space before typing the name and address of the recipient:

3. Starting on the left-side of the page, write a salutation: Dear Mr. or Ms. _____________ ,

4. The body paragraph: Write one sentence in which you indicate that you enjoyed visiting and learning about the business. Add a sentence in which you explain something you enjoyed seeing, learning, or doing on your visit. Thank them for giving you an opportunity to learn about the business.

Note: The two women who work with Mr. Cantor were introduced as Kathilyn and Theresa. You could mention you appreciate the fact that they took time out from their work day to meet you.

5. Add a complimentary close such as “Sincerely,” or “Yours truly,”

6. Sign your name.

7. Address the envelope.

Below please find the format for the thank you note.

Addressing an envelope: A properly addressed envelope contains two parts:

• Return address: The return address goes in the top left-hand corner of the front of the envelope. It contains your name, school, number and street, town, state and zip code.

• Address of the party to whom you are writing. The address of the person to whom you are writing is placed in the middle of the front of the envelope. It should contain the name of the recipient of the business, the number and street, the city, state and zip code.

• The stamp is placed in the upper right-hand corner

Body paragraph(s): Single-space paragraphs. Double-space between sets of information. For example: Double-space between the salutation and the body of letter. Double-space between paragraphs and between the last paragraph and the complimentary close. Paragraphs should be aligned with the left-hand margin. Do not indent paragraphs.

Complimentary Close,

Typed Signature – leave about 4 spaces between the complimentary close and signature so you can sign the letter.
