Actionable Analytics

Overview

Actionable Analytics includes a set of alerts that are delivered to BI Managers via email. The alerts are embedded in the email – not sent as attachments – for quick access and easy review.

The following alerts are available:

• Percent of Budget

• Credit Card Transactions

BI Managers

These emailed alerts are available to BI Managers. Some of the alerts use the BI Manager's reporting budget amounts as a basis for comparison.

! IMPORTANT: A user can have a Cognos role (Cognos Consumer, Cognos Business Author, or Cognos Professional Author) and can also be a BI Manager. For Actionable Analytics, the triggers will always use the BI Manager role when the alerts are generated. 

Alert Descriptions

Percent of Budget

The Percent of Budget alert is sent to the BI Manager when the defined percent of budget for the BI Manager is reached during a fiscal quarter. For example, when percent is set to 80, and the Expense spend for the BI Manager reaches 80% of the budget, the BI Manager is sent the alert.

N The budget used by the Percent of Budget alert is defined by the BI Manager on the Reporting Budget page (Profile > Profile Settings > Reporting Budget).

If a BI Manager does not enter their budget amounts in Profile, the BI Manager will not receive the Percent of Budget alert.

Calculation

Calculation of total spend amount is the total of actuals + accruals + booked:

• Actuals: Sum of all the expenses paid in the current fiscal quarter

• Accruals: Spend that is committed to but has not yet been actualized, includes:

□ Credit card transactions not yet assigned to a report

□ Credit card transactions assigned and not yet submitted

– and –

□ Credit card transactions assigned to a report that has been submitted but not yet paid

• Booked: Hotel and car transactions that have a hotel check-out date (for hotel transactions) or car drop-off date (for car transactions) that is in the current fiscal quarter and current fiscal year

Configuration Options

The Expense admin enables this alert company-wide. The Expense admin defines the default percentage of budget (budget reached; not budget remaining).

Once enabled company-wide, it is OFF by default for each BI Manager unless the alert is set as required for all BI Managers. In Profile, BI Managers:

• Can enable or opt-out of receiving the Percent of Budget alert if alert is not required

• Can modify the percentage

• Can modify the follow-up alert setting (The follow-up alert emails are sent weekly until the end of the current quarter.)

• Can designate up to two other employees to receive the alert

N BI Managers should enter their budget amounts in Profile; if not, the BI Manager will not receive the Percent of Budget alert.

Required for All BI Managers

As part of the configuration process, the Expense admin can make this alert required for all BI Managers. In Profile, BI Managers:

• Cannot opt-out of receiving this alert

• Can modify the percentage

• Cannot modify the follow-up alert setting

• Can designate up to two other employees to receive the alert

Credit Card Transactions

The Credit Card transactions alert is sent to the BI Manager when a credit card transaction:

• Amount (in the Reporting currency) is equal to or greater than a defined amount

– or –

• Belongs to a pre-defined set of merchant categories

N The merchant categories and codes are listed in the Appendix: MCC Code List section in this guide.

Configuration Options

The Expense admin enables this alert company-wide. The Expense admin defines the default transaction amount and any merchant category codes your organization wants to suppress from the alert for all BI Managers.

Once enabled company-wide, it is OFF by default for each BI Manager. In Profile, BI Managers:

• Can enable or opt-out of receiving the Credit Card Transactions alert if alert is not required

• Can modify the transaction amount

• Can indicate the merchant category codes the BI Manager wants to suppress from the alert

• Can designate up to two other employees to receive the alert

Required for All BI Managers

As part of the configuration process, the Expense admin can make this alert required for all BI Managers. In Profile, BI Managers:

• Cannot opt-out of receiving this alert

• Can modify the transaction amount

• Can indicate the merchant category codes the BI Manager wants to suppress from the alert

• Can designate up to two other employees to receive the alert

Configuration for Actionable Analytics

Actionable Analytics is automatically enabled for all Intelligence clients. Then, the client configures the desired options.

There are two parts to the configuration process for the client:

• The Expense admin defines the Actionable Analytics options for the entire company.

• In Profile, each BI Manager enters their quarterly budget information and makes the desired choices for Actionable Analytics.

N An Expense admin must define a fiscal calendar before BI Managers can add and maintain their budgets on the Reporting Budget page.

Admin – Enable Actionable Analytics

The Expense admin defines the company-wide Actionable Analytics options using the Actionable Analytics Set Up tab.

• To access the tab in the Professional edition

1. The Expense admin clicks Administration > Expense > Reporting Configuration (left menu).

2. The admin clicks the Actionable Analytics Set Up tab.

• To access the tab in the Standard edition

1. The Expense admin clicks Administration > Expense Settings or Expense & Invoice Settings.

The Product Settings page opens.

3. In the Product list, the admin clicks Expense or Invoice.

4. In the Monitoring Spend section, the admin clicks Reporting.

5. On the Reporting Configuration page, the admin clicks the Actionable Analytics Set Up tab.

BI Manager – Enable in Profile

If a user is identified as a BI Manager and if the company uses Intelligence, two options appear in Profile so the user can:

• Enter their quarterly budget amounts

– and –

• Define their Actionable Analytics options

Define the Quarterly Budget Amounts

N An Expense admin must define a fiscal calendar on the Fiscal Calendar tab in Reporting Configuration before BI Managers can add and maintain their budgets on the Reporting Budget page.

To access the Reporting Budget page, the BI manager clicks Profile > Profile Settings > Reporting Budget (in the Reporting Settings section of the left menu).

The Reporting Budget page appears.

The BI Manager selects the appropriate fiscal year in the Fiscal Year Name list, enters the budget amounts for the fiscal quarters (in the reporting currency), and then clicks Save.

Define the Notification Settings

To access the Notification Settings page, the BI Manager clicks Profile > Profile Settings > Notification Settings (in the Reporting Settings section of the left menu).

The Notification Settings page appears.

| |designated recipients become inactive, the BI Manager will need to remove the inactive|

| |employee from the alert on the Notification Settings page. The alert will continue |

| |being sent to the inactive user until the user is removed from the alert. |
