1. Welcome and introductions – incoming members and outgoing members

Heather Todd welcomed all HBS members and observers to the meeting, gave a speacial welcome to the new members. and invited all present to introduce themselves.

She gave a note of thanks to the outgoing members: Michael Homan, Bruce Madge, Tony McSean, Päivi Pekkarinen, Win Shih, and presented them the IFLA certificates of appreciation of their service on the HBS Standing Committee.

2. Apologies for absence

Apologies were received by Ioana Robu, Romania, and Terhi Sandgren, Finland

3. Adoption of the agenda

Agenda was adopted as proposed

4. Minutes of the Gothenburg Business meetings: meeting I meeting II

The Minutes of the Gothenburg Business I and II meetings were approved by the meeting participants.

5. News / reports /reviews - briefly

Heather Todd and Päivi Pekkarinen, who attended the Leadership Forum Saturday 13th August, 8.00-9.00, briefed the meeting about the appropriate procedures and current events at the IFLA Conference in San Juan.

They also summarized the key initiatives of the IFLA strategic plan 2011-2015. President-elect Ingrid Parent highlighted them in the Leadership Forum under five broad core themes emphasizing that Section Standing Committees should consider these initiatives when reformulating their action plans 2011-2012:

1. Digital content

2. International librarianship – developing librarian leadership

3. Outreach programmes – advocacy and advancement of libraries

4. Cultural heritage

5. Multilingualism

A more detailed Leadership Forum would be held on Sunday 14th 9-11.30; old and new officers would be welcome.

New officers as well as information coordinators/web editors should note the training sessions to be held during the conference and participate in one of them.

6. Puerto Rico HBS programme

- Satellite session, Friday August 12th - review



The satellite session, which took place at the University of Puerto Rico, Medical Sciences Campus, was attended by some seventy participants and was considered a success. Those present regarded the theme Developing Health Science Librarians Expertise: From graduate school curriculum, to post-graduate training,and to professional development offered by employing libraries most interesting and timely, and the seven papers gave a variety of views into the subject.

In this context Heather thanked once again the local organizers, in particular professor Carmen M.Santos-Corrada, for hospitality, for providing the splendid venue and comfortable transport, delicious breakfasts and lunches, as well as a well guided tour to the historical collections of the medical library.

In conclusion, Ann Meulemeester pointed out that it would be appropriate to prepare an evaluation form for finding out how the attendees assess the sessions. Ann volunteered to develop the form for future reference.

- Open session Tuesday August 17th

Heather reminded the meeting of the open session Beyond barriers to accessing health information, Wednesday August 17th, 9.30-12.45,, Room: Grand Salon B, and encouraged all to attend the session.

- Informal lunch meeting after the open session

Also, Heather informed those willing to have lunch with the speakers that they could sign up; the lunch would be at the Sheraton Hotel facing the Convention Centre.

7. Officers: election of new Chair and Secretary

Brian Galvin, Ireland, was elected as Chair and Judy Consales USA, as Secretary for the coming two years; they will start their term in office at the Tuesday 16th August Business meeting. Heather reminded them to give their contact information to the IFLA Secretariat, Room 203, as soon as possible by filling in the form she handed out.

8. Strategic plan 2010-2011 HBS key points -

within the framework of the IFLA Strategic Plan 2010-2015

The HBS strategic plan / action plan 2011-2012 was distributed; the vision, mission, and activities were discussed. It was agreed that the HBS action plan is in line with the IFLA strategic plan, but should be ‘revised considering the five key initiatives / core themes of the IFLA Strategic plan.2011-2015.

Heather reported on the HBS WHO Blue Trunk (BT) Library project: According to the WHO documentation, the trunk has been sent to Eritrea but she would like to have information on the impact to be able report to back to the IFLA HQ. Maria Musoke confirmed, referring to the BT Ugandan experience that the contents are still useful particularly in rural areas, although there were sometimes challenges in managing the items.

It was suggested that Pasqual Mouhouelo, at the WHO Regional Office in Brazzaville could be contacted and requested to act as a liaison enhancing links to WHO in this respect.

10. Planning for IFLA 2012 Helsinki

- Open session

Considering the IFLA Helsinki conference theme: Libraries Now: Inspiring, Surprising, Empowering and the President’s theme Libraries – a Force for Change, as well as the interests of health sciences librarians, after some intensive discussion the theme was formulated as follows: Using assessment to drive change: demonstrating the value of health information.

- Satellite meeting

The theme of the IFLA Helsinki Satellite was discussed in Gothenburg and was formulated as The future of health information implying drastic changes in publishing, suggesting enriching use of social media with a possible subtitle: changes and challenges.

The satellite meeting has been accepted by IFLA HQ and the title features on the Helsinki Conference First Announcement programme: It will be held on Friday 10th August 2012 at Biomedicum Helsinki, Haartmaninkatu 8, 00290 Helsinki, Finland. The contact person is a new HBS member Terhi Sandgren, Meilahti Campus Library – Terkko, Helsinki University Library,

11. Planning for IFLA 2013

- Open session

Attendees discussed the theme of the open session at IFLA 2013 on the basis of its location in east Asia. In conclusion the theme became formulated as Indignous knowledge systems and health traditions impacting health promotion in the digital age.

- Satellite meeting

Since the 11th International Congress on Medical Librarianship will take place in Boston, USA, in May 2013, and it could be considered a ‘satellite’ in which IFLA HBS members would be involved, it was agreed no additional satellite meeting at IFLA 2013 would be planned.

12. 11th ICML 2013

- Update on planning

Carla Funk, MLA HQ, and Michael Homan, ICML11 Programme Committee Chair, gave an update on the planning process.

Michael reminded that the IFLA HBS ‘keeps the ICML ‘alive’ recommending locatings and organizing committees. The 11th ICML will take place in Boston, MA, USA, May 3-8 2013. It will be a federated international meeting

with a theme One health: information in an interdependent world;

with a superstructure incorporating

MLA´13 – Annual Meeting and Exhibition of the Medical Library Association;

ICML11 - the 11th International Congress of Medical Librarianship;

ICAHIS – the 7th International Conference of Animal Health Information Specialists;

ICLC – the 6th International Clinical Librarian Conference.

Carla noted that the federated meeting will also incorporate MLA’s extensive continuing education courses reaching out to the international community.

Carla and Michael distributed Call for papers and posters promotional leaflets with the key dates: Paper and poster abstracts submissions will open in November 2011 and will close May 1st 2012.

Carla also handed out Cunningham Memorial International Grant Application forms explaining that for 2013 the Cunningham Scholarship fund will be repurposed to support international attendees, excluding Canada, of the MLA´13-ICML11-ICAHIS-ICLC federated meeting 2013 with up to 10 awards of $2000 each.

13. Any other business

Ann informed about the following EAHIL events and extended a warm welcome to all::

the 13th EAHIL Conference: Health Information without Frontiers, which will be held in Brussels, 4-6th June 2012 and which will mark the 25th Anniversary of the European Association of Health Information and Libraries;



EAHIL Workshop 2013 Trends for the Future – Creating Strategies to Meet Challenges, which will be held in Stockholm, Sweden, 12-14 June 2013

Heather announced that the HBS business will be continued at the II meeting Tuesday 16th at 9.45-11.5, Room 102b.

Heather thanked all those present for their contribution and closed the meeting at 13.45.
