It is essential that both new and long-time users of Global2 read and understand the requirements and recommendations contained in this Guide to ensure students are safe and their information is kept private.Where possible, recommended/required actions for users of Global 2 that are outlined in this Guide are supported by technical changes that will be made by the Department to Global2 over the Term 1, 2020 school holidays.Global2 guidanceThe following guidance for schools and teachers consist of one requirement and nine recommendations. Guidance relates to:Student blogsSchool/class blogsAll blogs.Student blogsRecommendation: Use ‘My Class’ functionality to create student blogsAll student blogs should be created using ‘My Class’ functionality. This enables teachers to assign themselves as the administrator of their students’ blogs and to control the privacy and moderation settings. As a teacher, you have two methods of ensuring your students’ blogs are attached to the school/class blog through My Class:Create new student blog(s) directly from the My Class menu option. Please see the instructions at: help.student-blogs/, or;Connect to already created student blogs from My Class retrospectively. Please see the instructions at: help.join-class/To find out more about My Class visit: help.my-class-overview Recommendation: Set privacy of student blogs to ‘discourage search engines’ as a minimum settingSome student blogs are set to ‘open and searchable’; this allows anyone to read the content of your students’ blogs. This setting also allows search engines, such as Google, to index the site, and the blog will be listed in search engine results. The recommended minimum privacy setting that should be selected is ‘discourage search engines from indexing this site’ (Figure 1). This setting still allows for the blog to be shared with the desired audience, such as parents and carers, but provides for some protection from access by the general public. It also reduces the likelihood that it will be indexed by search engines and appear in search engine results. Any student blogs that are set to ‘open and searchable’ will be changed centrally by the Department to the recommended setting during the Term 1, 2020 holidays.To find out more about student blog privacy and settings please use this link: help.student-blog-privacy/.Figure SEQ Image \* ARABIC 1Recommendation: Moderate student blogsModeration ensures that the content of student blog posts or comments left in response to a blog post are checked by the teacher before they are published. Moderation reduces the risk that personal, private or inappropriate content is published on student blogs. Teachers should select moderation settings that ensure they are moderating student blogs and comments. The recommended settings are:‘I [teacher administrator] must approve all posts’ and, ‘I [teacher administrator] must approve all comments’ (Figure 2). Any student blogs that do not have both boxes checked will be changed centrally by the Department to the recommended settings over the Term 1, 2020 holidays.To find out more about student blog moderation and settings please use this link: help.moderate-student-blogs/Figure 2School/class blogsRecommendation: Set privacy of school/class blogs to ‘discourage search engines’ as a minimumSome school/class blogs have privacy of blogs set to ‘open and searchable’. This allows anyone to read the content of your blog and it also allows search engines, such as Google, to index the site (display in the list of search results). The recommended minimum privacy setting is ‘discourage search engines from indexing this site’ (Figure 3). This setting still allows for the blog to be shared with the desired audience, such as the wider school community, and provides some protection from access by the general public. Any blogs that are set to ‘open and searchable’ will be changed centrally by the Department to the recommended setting over the Term 1, 2020 holidays.The Department is aware that some schools use Global2 for outward facing school websites. This is not the intended purpose of Global2, however these users will be able to change their school blog site back to ‘open and searchable’ if required. School leaders in these schools should consult with their school technician to discuss more appropriate alternative hosting options for your school website.To find out more about school/class blog privacy and settings please use this link: help.blog-privacy/Figure 3Recommendation: Moderate school/class blogsModeration ensures that the content of blog posts or comments are checked by the teacher administrator of the school/class blog before they are published. Moderation reduces the risk that personal, private or inappropriate content is published on school/class blogs. The recommended setting is ‘comment must be manually approved’ (Figure 4). Any blogs that have ‘comment author must have a previously approved comment’ box checked will be changed centrally by the Department to the recommended setting over the Term 1, 2020 holidays.Alternatively, your school can decide to switch off comments altogether.To find out more about school/class moderation and settings please use this link: help.moderating-comments/Figure 4All blogsRequirement: Always provide privacy information and the option to opt-out to parents and carers Under the Privacy and Data Protection Act 2014, schools are required to give parents and carers the opportunity to be informed about Global2 and to opt-out of its use. The Department sets out the relevant requirements of the Act in the School Privacy Policy which can be found here: education..au/school/principals/spag/governance/Pages/privacy The Department has developed the Global2 Information for Parents booklet that schools can provide to parents. It can be found alongside this User Guide on FUSE: fuse.education..au/?APJ5B6Recommendation: Plan for the closure of the account/blog at its inceptionAccounts/blogs that are dormant or idle have a greater risk of unauthorised use, as such use will not be detected by the account’s (inactive) owner. There are additional concerns that owners of idle blogs that are set to ‘open and searchable’ may have inadvertently posted information that is personal, private or inappropriate and their privacy may be compromised. Schools should develop and implement a process to ensure that any students or teachers leaving the school or no longer using Global2 have their accounts/blogs closed. Implementing this process for the closure of accounts/blogs reduces the risk of unauthorised access. Creating a process also provides students the opportunity to export their blog content (their schoolwork) and take it with them as a digital portfolio or transfer it to a new blog provider when leaving the school or no longer accessing Global2. To export, navigate to the menu item ‘tools’ and then click ‘export’. If any assistance is needed to export, then please contact the Edublogs Support Team at global2@Over the Term 1, 2020 holidays, blogs that have been idle for more that twelve months will have their privacy settings updated to ‘registered user only’ centrally by the Department. This means that only the account holder will be able to log in to view the blog. If and when they do log in, this setting can be changed back if required. Recommendation: Ensure you and your students understand the implications of copyrightStudents hold the copyright to their own schoolwork, which in this case is the content they create and post on their blog. If their blog is set to ‘open and searchable’, their work may be replicated or reposted elsewhere without their permission. Schools and teachers should set the privacy of student blogs to ‘discourage search engines’ as a minimum privacy setting to reduce risk of copyright infringement of student’s work/intellectual property.Recommendation: Ensure parents and carers are not added as ‘users’ of Global2Global2 is provisioned for student and teacher use only. When parents and carers are added as ‘users’ they may inadvertently be provided with administrative rights, which means they can access personal/private content that would otherwise be restricted by password. Schools can still provide adequate access to blogs and allow parent/carer commenting by providing a link to the blog. Recommendation: Ensure you and your students do not post personal information The publication of personal information increases the risk of students being identified and their information being used for things like spam, scams, fraud, unwanted contact and grooming. This is particularly the case with blogs that have ‘open and searchable’ privacy settings.Teachers and students should ensure they follow best-practice when it comes to protecting personal information on Global2:Never post more than three?pieces of information that together could identify a student (consider that the student’s school is one such piece of information that is most likely already identified)Never use full names or email addresses?online?Never?label a photo, or its file name with a student’s full nameWhen taking photos for Gloabl2 consider using photos that obscure student faces or that are taken from behind?Gain?informed?consent before posting images of students online or allowing students to post images of others.Other best-practice considerationsUnderstand the technology?you are usingUse this Guide to understand privacy recommendations/requirements for Global2. As a minimum, you should know how to delete a comment, archive a blog, view your student blog posts and comments, and export content. When commenting on blogs, parents should be encouraged to use their first name only when leaving comments so as not to identify their child. The following example is the preferred approach, Jane - Sally's mum and not Jane Brown.Ensure students understand how to export their schoolworkStudents may not have been shown how to export their data from Global2. Student content is their schoolwork and owned by them.
