The person in this role should be comfortable dealing with confidential information, working flexible hours (depending on Executive's needs), and be eager to assist on any task that supports the organization's goals.Location:Washington, DCReports to: Chief of Staff This position is:Exempt; Non-union; Management Confidential, Level 1Salary Range: $49,467 - $56,533Responsibilities and Scope of Work:?Maintaining calendar —The SEA will balance short and long-term scheduling priorities, convene and run scheduling meetings, and strategically set the calendar and communicate about it to all stakeholders. Preparing President for meetings and events – The SEA will gather and compile relevant documents for the President to be prepared for her appointments. This includes communicating the needs to various departments, reading through documents to be certain that they are accurate and complete, and preparing summaries and cover sheets for the President as needed.Administratively manage leadership meetings – The SEA is responsible for attending leadership meetings during which they will take notes, track action items, and prepare follow-up. Prepare Board meetings – The SEA will schedule, prepare agendas, and otherwise communicate with the Board about meetings and other necessary tasks. The SEA will need to be comfortable navigating confidential environments and interacting with people at many levels to be municating needs, priorities, and decisions – The SEA is the center of both incoming and outgoing communication for the President. As such, the SEA will communicate in an organized and concise fashion with the staff and the President on what decisions must be made, what decisions have been made, what questions remain unanswered in order to make decisions, and what information is required to make any given meeting, day or trip a success. Managing Administrative Tasks – The SEA is responsible for all administrative processes in the President’s office including timecards, receipts, invoice processing, credit card reconciliation, expense reimbursement, correspondence and routing contracts that must be signed by the President. This will include assistance to other Executive Team members as needed.Assisting in Special Projects – The SEA will have the opportunity to help with special projects out of the President’s Office including, but not limited to, preparing presentations, assessing organizational best practices, and managing planning processes.Requirements:2+ years of experience in a scheduling or executive administrative role (e.g., supporting executive-level staff and/or Board of Directors) required.Eagerness and ability to take on work with a positive attitude with an eye towards the crucial role administrative tasks play in the success of the organizationExcellent organizational ability, attention to detail and strong verbal and written communication skills Ability to work both independently and as a team player in a fast-paced, dynamic environment and handle multiple priority tasks simultaneously.
