After this date, the registration fee increases to $80 per scout. The fee for registration at camp is $90 per scout. Any newly registered scout will be given the $70 rate when they register for camp. (Ex: A new Tiger joins on June 1st his camp registration would be at the $70 rate). With your registration, each Scout will receive one patch and one t-shirt. Scouts joining your pack from other units must register with their home pack.?Each pack will need to ensure that all Cubs attending day camp are registered with BSA and that all full time adults are also registered. Day Camp rosters will be verified against Pack charters. An updated charter can be obtained from the Scout office. If you have registered new Scouts since the middle of May, they may not be shown on our copy of the charter. So please have their stamped registration form with you for verification. When completing any forms for day camp, please be sure to list all scouts the way they are listed on the charter. The majority of paperwork problems occur when a scout is listed on the form as “Johnny Doe” when he is listed on the pack charter as Thomas J. Doe. It will save everyone time and frustration if they are listed the way that they are listed on the charter. This fund assists deserving youth members in attending local council events with a percentage of the cost based on need, but is not intended to provide the full fee. Families, units and/or the chartered partner are expected to provide a substantial portion of the fee. Campership is aid for only ONE camping experience. DAILY UNIT CHECK-IN / CHECK-OUTPlease check in at Administration. Walking Leaders should check in to administration each morning. At Check in you will be given with all your Administrative Day Camp needs for the day including the Daily Attendance form. (See appendix for example) The Lead Walking Leader should attend a brief meeting with the Director/Program Director about the day’s schedule and activities. The Pack leaders will then complete and turn their attendance sheet back into administration before attending your first rotation. In the case of a scout absence, please notate why the scout is absent. After lunch, pick up your attendance sheet to use for check out.Please look over and complete your attendance sheet for afternoon check-out. Return your checkout sheet to administration BEFORE you leave. LATE ARRIVALS Any Cub arriving at camp after the Unit has completed check-in MUST be checked in at Administration prior to joining his pack. This is a security protocol to insure everyone knows who is and who is not on the property during camp hours. Administration will also be able to quickly get that Cub Scout to the right program area so he can be with his friends and leaders.EARLY RELEASE PROCEDURESAny campers leaving camp early (before closing flag ceremony) will need to follow the following early release procedure. This is a security issue and there will be NO EXPECTIONS! Please take the time, to explain the policy to your parents, so there are no misunderstandings at camp. Every camper leaving camp early must have a signed note from his parent on file with registration. A separate note will be required for each day. This note must contain the time the Cub is expected to leave and who will be picking him up. You will find the early release form at registration, please complete the top portion and turn this note in with your morning paperwork. When it is time for the Cub to leave: The walking leader from the pack will escort the Cub to registration for pick up. The scout’s health form will be pulled to verify authorization to pick up scout.The person picking up the Cub will be asked to present a photo ID before the Cub will be allowed to leave camp. This rule will apply to everyone including parents.An early release form will be signed by the Walking Leader and Camp Director. These procedures are set by HOAC and we cannot make exceptions. Removable name-tags (labels/masking tape, etc.) are highly recommended. Names can also be written very carefully using a thin tipped Sharpie along the back-collar seam band just above the “tag” area. If you write using a light hand, you can prevent the ink from bleeding through. This is considered a serious safety issue.ALCOHOLIC BEVERAGES & ILLEGAL DRUGSThe Heart of America Council will not tolerate the presence of alcoholic beverages, narcotics, drugs, orpersons obviously under the influence of same, at any of our council camps. Violators will be asked toleave camp immediately.Leaders are expected to set an example for their Cubs to follow.OFF LIMITS AREASThere may be areas marked off with bright orange streamers and yellow caution tape. These areas are off limits to all leaders and Cubs. These areas are marked for your safety so be sure your parents show the Cubs that the rules apply to everyone. GENERAL INFORMATIONWALKING GROUPS Your pack may be combined with another pack in a “walking group”. That means you may be sharing an activity area with another group. Please be kind and helpful to your “buddy” packs. DAILY SCHEDULESEach day you will be given a schedule of the day’s activities. This schedule will indicate your walking group and what activities your pack is scheduled for that day. (For an example see Appendix) Please be respectful of the schedule and only attend the activity that you are scheduled to attend. These young men and women will be assisting the adult staff throughout the week. Their week long commitment truly shows their leadership skills in action. Let’s give a big cheer to these young men and women ... we could not do it without them. Walking Leaders are expected to aid the Day Camp Staff in carrying out the programming in each rotation. The level of hands-on help needed at each rotation will be different. Walking Leaders are expected to help Cub Scouts stay on task and be respectful. TRADING POSTThe Day Camp trading post is stocked with various souvenirs, t-shirts, toys and scouting items. It will be open at posted times during the week. It is suggested that Scouts bring spending money to camp. While at camp, packs may wish to operate a "bank" to hold money for Scouts. Be sure to check the Trading Post schedule for your camp.CELL PHONES952592710If you have a cell phone, please bring it (adults). It is a good idea to program the phone number of a parent of each boy in your unit ahead of time. Phone numbers for the Camp Director, Program Director and District Executive are posted throughout camp and are included in the walking leader guide. Call them with any emergencies, questions or concerns. STRESS MANAGEMENTCamp may create stress in staff, unit leaders and even the Cub Scouts. The most important thing is that the Cubs have fun – as adults we hope you’ll relax and have a good time too. Please monitor your leaders and take a break if necessary to ‘cool off’. The medication bottle must have the Cub's name, name of medication, doctor’s name and dosage requirements. The First Aid staff will have access to a refrigerator to store medication if needed. THE ONLY MEDICATION ALLOWED IN THE SCOUT’S POSSISION ARE INHALERS and EPI-PENS. Our First Aid Volunteer and the Cub’s Pack Leaders should be aware of his need for and possession of inhaler medication and epi-pens. All ticks removed at camp must be placed on a card and logged.KEEP SAFE… DRINK PLENTY OF WATERSTAY HYDRATED - Walking Leaders are responsibility for ensuring water is available for their scouts and that each Scout has an individual water bottle. Water coolers will be at each Program area. You may want to bring a water cooler and ice for your pack. Remember have your scouts drink, drink and then drink! Any adult or staff member who suspects, knows of, or witnesses a child being abused at camp, or at a unit meeting or activity, is mandated by the state of Kansas and Missouri to notify proper officials. At camp, this is the Camp Director or District Executive. TRANSPORTATION AND VEHICLE POLICYYou can plan to arrive at camp a little early on the first day. The drivers of vehicles at camp must be at least 18 years of age, and possess a current and valid driver's license. Be sure all cars and buses transporting your Cubs have adequate insurance. No individuals may be transported in the bed of pick-up trucks! Cub Scouts of America regulations prohibit using the cargo area of trucks (including pick-ups with camper shells) and trailers for the transportation of passengers; persons riding on the tailgates of station wagons or trucks is also prohibited. Absolutely no vehicles of any kind are allowed in the campsites.The Heart of America Council is not responsible for loss or damage caused by fire, storms, theft, or vandalism to any personal vehicles, or for any loss or damage to articles left in said vehicles. ACCIDENT, HEALTH AND ILLNESS INSURANCE COVERAGEThe Heart of America Council provides supplemental accident and illness insurance coverage for each registered member of our council. This council-wide coverage protects each member all year long while attending official Scouting functions. TOBACCO USEThis is a non-smoking camp. As such, smoking on the property is no allowed. This includes the use of electronic cigarettes, personal vaporizers, or electronic nicotine delivery systems that simulate tobacco smoking.
