Change to every group presenting every 4 yearsPeoria and Rockford were up first; not adequate time to prepare for presentationNow planning to present next year; so no change this year but should have more strategy and feedback for presentation next yearInstitutional position to limit increase of student fees. Volunteers may serve as:Schedule controllers: Keep events running on time, including hard starts and stops to events. This includes both events going on in the MAC gym as well as the 2nd floor space for the competitive E-sports.Need 4? peopleScorekeepers: Check with schedule controllers to keep track of winners for score tallying. Scoring will be done based off Track and Field Tri-Meet scoring (5-3-1, first to third, respectively). To foster intercampus interaction, each student will contribute points to her/his own campus. This will probably inflate scores, but it will allow us some flexibility in assigning teams to include students from multiple campuses while still incentivizing competition.Need 4? peopleSet-Up/Break-Down: Arrive one hour early and stay after the event to help with set-up and break-down. I do not expect this will be intensive given the staff at the Rec Center will be present and have experience hosting these events, but it would be a good show of collegialityNeed 6-7 peopleException to e-sports eventsSee 3.1.1.6.6. Tech SupportGenerally need hands on deckReferees: For competitive sports (i.e. soccer, volleyball), students with past experiences in refereeing or playing at a semi-national/national/collegiate level would be a huge helpNeed 3? peopleBack-Up: For all the things that may come up (helping coordinate catering, replacing volunteers who suddenly may not be able to make it), it would be useful to have a back-up crew that would just be on standby for the event and pitch in for whatever we needed help withNeed 4? peopleTech Support: I will refer to Nick Curran to see if he may need help regarding the E-sports coordinating that would not fall under the other five categoriesNeed 1 person to watch over livestream, 1 to collect scores and update brackets, 1-2 to answer question and monitor gamesNick is willing to teach, estimates 15-20 minutes of instructionT-Shirt Orders: We will use the original RSVPs from last April to try to project the number of T-shirts going out. I will confer with the Peoria campus administration, which has been ordering T-shirts for the past two years about best practices for projecting the orders ahead of time, particularly given we have four campuses represented.Chicago = Light bluePeoria = BlueRockford = RedUrbana = OrangeUrbana Campus Scoring: Given the historical UPR track, I think it is only fair to have the Urbana students contribute points to the Peoria and Rockford teams. I’m a bit divided, and would like to ask Urbana, whether it should be for the students to decide which campus they would like to proxy for, or whether it would be more fair to randomly assign 50-50 as Urbana students are signed up?Questions:Dean Kashima:Chicago has home-court advantageSince all participants get a point, does campus with greatest participation automatically win? Maybe average points based on participationExtremely important to RSVP and get people to show upJonathan:Ensure greater participation by giving participants a point?Nick Curran volunteers to develop fair point systemGive multiplier to UPR campuses?Award for percentage of participationDean Kashima:Weighted average by participation and points/participantGet student affairs and administrative staff to help?Historically, leadership retreat was student-onlyBudget for event?$2,500 with additional $1,000 slush fundEnforcement for RSVP / participation?Guerilla marketing strategyAward for participationT-shirt information included in RSVPE-gaming and budget:Games and equipment not available at MAC; Have asked competitive gaming club to lend equipment and supply some funding for future eventRental company:Need to get quoteNC: Re: e-gaming and budgetNot a lot currently available at the MAC or the competitive gaming club owns itself; wondering if club will be willing to reach out to membership to lend supplies (TVs, games, game consoles) If not, we will need to get that stuff from the attendees of the event itselfJJ: touch base with student rec center and coordinate with Dean Kashima to figure out how many TVs they can lendUpcoming week we can figure out our need for outside lenders after we reach out to our own student attendeesAH: question for Dean Kashima: possible faculty/dean team to compete against studentsKK: possible future direction after we’ve had success with inaugural eventKK: challenges of the spaceNC: we have the 2nd floor lounge which is where competitive gaming ?club normally holds their events anyway; very accessible, just need proper equipmentJJ: to send out emails to gather more steam via our repsTreasurerMoney, money, moneyMust be funnyIn a non-med student’s world Vice PresidentSorry I can’t be there in person! Helping family out with a new nieceContinuing to follow up with site presidents for filling college committee vacancies. Please see our website for more information on each committee, or reach out to current reps (found on the UI-COM gov’t sheet) for more information about what each committee is doing with student input. When a vacancy is nominated by a campus, the site president must submit their name to the President, VP, and Secretary to be sure that these students get added to the appropriate committee ASAP. Thanks!SecretaryNo updates from the Secretary.Webmaster/historian: Apologies I also can’t be there in person, on an interview today! What do we think of opening up specialty-specific SIGs to campuses that might not have their own, e.g. if Peoria has an ENT interest group, but Rockford doesn’t, would it be ok for them to welcome students from another campus to participate in events/lectures?JJ: Peoria hosts “specialty night” where residency programs convene and host residency dinners at the Jump center and Rockford is invitedSo there is precedent JM: cross collaboration or communication between faculty from various campuses would certainly add to group richnessJJ: at the Chicago Leadership Retreat are the SIG leaders invited to participate? JM: yes, the goal of the original event was to provide a venue whereby students on various exec boards can achieve the leadership requirement for their leadership certificatesJM: I will bring up at the Dean’s meeting this Monday/email the leadership series coordinator, figure out how we could remotely get students from other campuses, etc. involved AH: opening up to everyone isn’t hard; but making things remotely accessible will be the key to making sure the other campuses can participate in a given eventWe think opening up SIGs would be a fantastic use of our broad resources, and facilitate inter-campus connections. Even if campuses have the exact same SIG, it would be good to encourage communication between them, so they can share resources/ideas on how to cater to the interests of their members. Please email me (petra.majdak@) updated contact information for your student interest group so I can update the website!Campus presidents to communicate this information to Petra.OSRUshasi Naha (M2, Chicago) and Robbie George (M3, Peoria) attended the AAMC Learn Serve Lead conference in Austin this past weekendUshasi was elected as the National Delegate position of Diversity and Inclusion, a member of the OSR Administrative Board. This is a great opportunity for UICOM representation at the national level and to learn about other schools’ policies and interventions, especially related to D&I. If there are issues that we want to learn more about what other schools are doing to adapt for UICOM, please reach out to her (unaha2@uic.edu)Should be able to bring diversity initiatives to the local level - which will further our efforts here at UICOMUshasi and Robbie put together a short report discussing key takeaways from the conference: the information from this talk should be available on the AAMC websiteOne of the plenary speakers who spoke on depression in medical school and is a psychiatrist by training is particularly powerful, see also AAMCKK: Recognizing the unhappy match culture: overwhelmed PDs and frustrated students; more to comeAAMC is helping to facilitate some future meetingsLatest announcement is that in addition to Texas Star there is a AAMC dashboard toolTo give students the “likelihood” of receiving an interview at a given residencyTexas Star at our school: should be able to use our login information/email for access through SouthwesternCurrently just the existing M4sIf the level of participation in post-match survey is high, that will be beneficial for us in terms of data accessJM: student-entered data: is there any discussion about students giving permission for data extraction by a school administrator?KK: the problem is that the students own the data and there are legal problemsWill distribute Gold Humanism Award survey in order to nominate appropriate faculty from each campus. Will likely vote at the next UMSC meeting (similar to what we had done in the past)JJ: in generating data for Texas Star, is it addressed that students might be misreporting their own scores/data?KK: yes, there is no gain, but I don’t know specificallyNRMP Changes:Implemented new policies last year; student affairs community reacted to wording: appeared that students would violate policy by discussing rank listThis has been revised to make sure they are clear to discuss with mentors/administrators if they chooseResponsibility of applicant AND school to update any changes in statusInterviewees not showing up to interviews or canceling last minute: this reflects poorly on applicant AND the school; not goodDean Kashima’s ReportLCME ReportHow to address student satisfaction - there will be concern from the LCME if we don’t address thisCareer/academic advising as well as financial counseling/debt management JJ: Mentoring/advising is especially important because it can be make/break for a student interested in a specialtyKK: will be an important component of integrated SIGs across campusesChallenges to advising/mentoring: not getting promotion consideration, not getting reimbursed, lacking time, no feeling knowledgeable about roleKK: looking at a model where we have faculty and upperclassmen who have “circles” in which they feel comfortable to make sure students are connected and have a mentoring/support systemMeetings will be through WebEx, to create a written action plan by AprilJM: happy to be involved; also Dean Thompson has been gathering faculty to be experts/point person for each specialty KK: yes, still happening, put together a handbook and shared at a recent meetingCould be a model for other campusesCampus Presidents to select 1-2 students from their campus, get those students in contact with Dean Kashima to get the ball rollingKK: would like to have students working alongside administration to address this Want to gather a small group of students + facultyWill need to distribute more frequent surveys on satisfaction to make sure satisfaction is improvingUICOM repayment of interest program for students who don’t match will not be continued - currently only in place for existing M2-M4 classesStudent forumsForums to obtain student comment about financial aid counseling and student advising (academic and career) have occurred at Peoria (9/25) and Rockford (10/3), been scheduled at Urbana (11/13), and at Chicago (12/6). ?Student feedback has been (will be) collected and shared with campuses. Faculty feedback sessions to discuss student advising will also be scheduled. Mental Health and the University Student (COM panelists: ?Jenna Duffecy, PhD and Kathleen Kashima, PhD)Chancellor’s Task Force co-chaired by Anand Kumar, MD and Joe Hermes, PhD; Cory Reiter, MSTP, ?student representativeDeans of the Health Sciences’ Ad Hoc Committee led by Michele Mariscalco, MDOffice of the RegistrarUniversity of Illinois systemwide requirement for first year students (i.e., M1s in COM) to complete TItle IX training. ?Students who do not complete the training have a hold placed on their registration.Office of Financial AidAverage student debt at UICOM is 40-50K higher than the national averageGiven concerns about the amount of student debt, reviews are being conducted on the Cost of Attendance (COA), budget adjustments. ?The UIC Office of Student Financial Aid and Scholarships will be changing procedures to awarding financial aid and granting retroactive leaves of absence due to concerns about compliance with the Department of Education. ?Student will be responsible for direct payment to their loan servicer. When students submit budget adjustments, that raises the average debt because they’re often higher interest rates and when capitalized at graduation it’s especially expensiveMJ: Last review was 7-8 years ago; reviewing cost of attendance, travel reimbursement, residency travel, child care cost adjustments, etc. Reviewing other medical schools’ adjustments and reset UICOM accordinglyKK: LCME wants this to be reviewed because they feel loan amounts are too high. Work collaboratively with students so they know why this is happening.Webinars:Office of AdmissionsGiven the AAMC changes to this year to the Application and Acceptance Protocols the committee is revising their admissions offer process and policies for the 2018-2019 application cycle. ??The offices of Admissions, Urban Health and Hispanic Center of Excellence are in discussion to develop a strategic approach to recruitment.Searches for the Assistant Directors (Chicago, Peoria and Rockford) are progressing. ?Chicago position has been hired. Peoria position has been offered. Rockford position interviews will be scheduled.Medical Student ResearchDr. Ron Gaba has been named the Director of Medical Student Research in COM Chicago effective November 1, 2018. ?He will develop an active and innovative student research program that enriches the medical student learning experience. ?He is currently an Associate Professor of Radiology and Pathology as well as Vice Chair for Research in Department of Radiology.Active ongoing activities: Development of Research/Scholarly activities website as student resource; implementation of searchable research database to facilitate student-faculty interaction; expansion of MD-MS/CTS program across clinical department; others to follow. Contact Dr. Gaba at rgaba@uic.edu if any thoughts/suggestions/concernsWill also review criteria for James Scholars. Student MistreatmentDr. Tim Lacy is continuing his visits to our campuses. ?He will be in Urbana on November 13th, in Peoria on November 15th and back to Rockford on November mittee Reports (30 min):CCSPNo updates. CCIA8 IM+8 surg +6 peds+6 FM +6 OB+6 psych= 40 week credit for core required clerkshipsPhase 3/M4 includes 12 weeks of selectives28 weeks for electives (combined during M3 and M4 year?)Meded data:JB: is neuro still going to happen?AH: Two different proposals: one without, one with neuroNeuro will be implemented for M2s and beyondJB: for Rockford specifically...how will requirements actually work for Rockford given limited bandwidth of faculty/spaceKK: my understanding is that the people in charge know about Rockford’s unique situationWill NOT be made a requirement at Rockford until there are specific spots JB: Are electives pass/fail? Will they be included in MSPEs?KK: I will check with Dean Curry to see if he can rejoin and participate in this discussion…AH: Surgical vs. Primary vs. Inpatient tracks There are not enough options for people involved in subspecialties It might be adversely selective for M4s or those who are exploring their career optionsSome feedback that it might be better to have an opt-in option Feedback from M3s - logistical issues, some crowding, timing isn’t always ideal; some dissatisfaction with implementationEx. in Peoria there is a requirement for CUPS (chronic disease, urgent care, public health, scientific connection) - one class in for these 3 requirements, people think that it does not help their education JJ: would encourage CCIA to ensure students have time and are given opportunity to do aways because they are powerful formative experiences JB: what we run into a lot in Rockford is that students worry about lectures/mandatory events that are cumbersome and not valuable to studentsEx. surgery has 40+ hours of required lecture within the clerkship that may or not be helpful Student concerns: slightly below national averages for passing CSProblems in interpersonal communication skills Respectful, etc.ICE portion is history, physical, writing the note, etc.Pass rate has decreased to 94, can hinder interviews/match etc.Other schools may have dedicated time to prepare students for CSJJ: what is urbana doing right? Some introspection requiredAH: talked about what the OSCEs look like at UrbanaRemember that they “complained” about how they have so many OSCEs - but maybe this is working? Will talk to themBut have to remember how they will look statistically with such a small denominatorCCANo updates at this SASRegular meeting schedule will be followed this year. First meeting 11/01/18 and scholarship offers will be sent out earlier than last year to attract more top students to UIC. In light of LCME results and the high student debt figures at UIC, all scholarships will emphasize student financial need and the committee will be working on revisiting scholarship criteria. The final budget for scholarships for the coming year has not yet been decided but is expected to be similar to last year.HPSCBlair Wright stepped down from position → replaced by Nicole Blumenstein, M2 from RockfordPeoria withdrew HPSC transfer on 10/9/18. Also received budget report from previous years to trend HPSC transfers with student fee increases and enrollment increases at Peoria campus - analysis pendingMatt ?added to HPSC listserv, awaiting addition of Nicole; Next General Board Meeting is 11/29/18 → any updates from UMSC to provide to HPSC?CTSFSummary of Meeting w/Dean Van Neck and Dean Kashima- Nick CurranMost of the material covered above during Dean Van Neck’s updateTimeline: for the next year, we will set up a series of meetings that lead up to the tuition proposals (which typically happen in early Nov)Student feedback on purchases and capital investments to inform future financial decisionsMonthly meetings will help us gather regular student feedback to keep tuition decision makers informed Concrete changes in tuition: increases/decreases in tuition, frozen four year, in-state after medical students have been in for a year, etc.The upside is that this year, at least, the tuition has been frozen this is most likely how the proposal will be accepted, but it is not yet final***AH: differential tuition weighted toward the later years?NC: not sure this is a discussion yet, I will bring it up; especially because drop-out rate is actually quite lowOld Business (10 minutes)UMSC 2018-19 Budget - bring up for a vote to adopt this budget by Majority Vote, 2:21 PM 11/10/18RD: if we don’t use our entire budget, what happens to the money?JJ: it goes back to the UniversityKK: some budget is from HPSC (those return to student fee fund); the rest is from the Dean’s Office (which requires accurate estimates from year to year in order to receive requested funds)Confirmation for positionsNew Business (30 minutes)M3 ElectivesAre they pass/fail (Class of 2020)?Dean Curry: I believe the 2 week electives are all P/FKK: the specialty interest ones are P/F but it does depend on the elective - check in the catalogueDean Curry: going forward Phase 2/3 task force:More ?of a fluid boundary between 2 to 3 than there is between M3/M4Phase 2 will have more ability to engage in “career discernment” electives, once they complete prerequisites Students taking the same electives that are at different points in their careers ?Are those comments included in the MSPE?Yes those would be included in the MSPE in line with the chronological order - including the comments from the clerkshipAll courses without grades are P/F and noted as P if no grades givenStudents are concerned they are being graded more harshly in certain electives. Specifically when:There is not a rubric or syllabus for the elective in questionThe elective comes before any core rotations (for example, some surgery electives can be taken without a surgery rotation)JJ: let me clarify, is this about fairness when comparing stage of student? I.e. are M3s being graded as M4s when side by side on a clerkship?Dean Curry: we haven’t readdressed this for the current year as there may not be any higher proportion of M3s in electives than last yearBut we can make it known to clerkship directors that they should take this discrepancy/inequality into accountWe do intend to keep addressing this going forward and ensuring that clerkships are criterion based and not normative basedFor students from away campuses doing electives/rotations in other sister campuses, are they being treated like visiting students or as equals? I have heard concerns among students that they are being treated more like visiting students.Dean Curry: the aspect that i’ve heard before has more to do with scheduling these rotations KK: intent is NOT to have any difference Some of it may have to do with awareness with the departments KK: on a case-by-case basis, make sure to let Dean Kashima know so that we can ensure equal treatmentAre the reciprocal elective opportunities being taken advantage of in Chicago/Peoria/Rockford? Are students taking advantage of this?Students have been concerned that Chicago (I have not heard anything about Peoria) has been hesitant to take M3 students on electives.Phase 1/2 CurriculumNeuroAny updates on Neurology as it pertains to Rockford?Block 8What is the current status of Block 8 - students are VERY concerned about how this is going to look, what they are going to be required to do, and what their schedules are going to be. Aside from Step 1, this seems like the biggest cause of academic concern for the Phase 1/M2 class.DoCS CourseWhat is the policy of moving forward in the academic curriculum as it concerns the DoCS class. I have been told that students are not able to sit for Step 1 until they have passed their DoCS OSCE? If that is the case, I have heard that Rockford students take OSCEs earlier than Chicago students, but the OSCEs are graded in Chicago (I am not sure of this information - simply relaying student concerns). Will students in Rockford have to wait for Chicago to grade then?Students have told me that Chicago Administrators have access to access to the DoCS OSCE Cluster exam but have not shared it with Rockford administrators?Diversity and InclusionIs there a university committee on this topic? Do they have student reps? Is there a way to incorporate a committee in Rockford that is within the university system?Dean Curry: the UHP is a college-wide endeavor and has a satellite on each campusSame thing with the Hispanic Center of ExcellenceAlso have a college wide director of D&I, each campus then has a dean working with herJB: is this unified? D&I might have different aim than UHPDean Curry: know that there is a student committee in Chicago, the Dean in Chicago meets regularly with Asst Deans at each individual College campus Dr. Rodriguez- Rockford, Dr. Vazquez-Melendez- PeoriaBut there may not be a single faculty + student committee that spans each campusKK: work on outreach with cultural centers on the Chicago campusStudents should feel free to contact the cultural centers on campus Adjournment ................
