left952500Reference Sheet- How to Code Baltimore County Master Gardener Volunteer HoursKnowing how to record Master Gardener volunteer/education hours properly is extremely important for our organization. Ultimately, we want to record our hours as specifically as we can within the online data base system so that at the end of the year we can provide an accurate summary of our activities. These reports help us to evaluate the impact we had within our community throughout the year and can be used to secure county/state/federal grant money. When recording your hours, please select the Activity Code that best reflects the topic you were teaching about or the committee under whose auspice you were doing the work. For example, any and all activities done with Grow It Eat It are recorded under Activity code #6. This includes GIEI committee meetings, working in the demo garden, educational workshops, transporting harvest to food banks, teaching at a library/school, etc. To distinguish between the many different activities under the site code #6, we use site codes.Here are some of the basics:All volunteer hours should be recorded on the Tracking System ( agnr.umd.edu/MG). Detailed descriptions for how to use this system can be found on our AGNR Groups website.Please make entries in 15 minute segments of time (.25 hours, .50 hours, .75 hours). Log hours include planning meetings and events, committee and administrative work, and time spent preparing for activities. Log hours may include travel time for volunteer activities and MG Monthly meetings. Note: Continuing Education does not allow use of travel time.The Tracking System database is designed for entry of single dates of your volunteer work, so please record your hours by single days rather than a block of time. For example, if you volunteered on Mondays and Wednesdays in June for 1 hour each, indicate which individual dates and how much time each date, rather than saying you did 8 hours for June.All log hours must be for activities must be pre-approved by the MG Coordinator. The process for getting approval is outlined on our AGNR Groups website.Tracking System Due Dates: first request December 15th; second and last date- February 15th. After the January deadline hours may be viewed but no changes are accepted.Please see the below descriptions for each activity code to better understand how to record your volunteer hours with the Baltimore County Master Gardeners. Activity Code 1: IPMAll pollinator committee activities.Any other activities (pre-approved by the Coordinator) associated with pest identification and management.Activity Code 2: Plant ClinicsAll AMG committee events.Any other activities (pre-approved by the Coordinator) related to plant ID, pest diagnostics, etc.Activity Code 3: Soils/CompostingAll composting committee activities.Activity Code 4: Environmental Horticulture All children’s garden committee activitiesAny other activities (pre-approved by the Coordinator) related to children’s gardening or environmental horticulture.Activity Code 5: Bay-wiseAll Bay-wise committee activities.Any other activities (pre-approved by the Coordinator) related to Bay-wise landscapingActivity Code 6: Backyard and Community Food ProductionAll GIEI committee activities.All Herbs committee activities.Any other activities (pre-approved by the Coordinator) related to backyard and community food production. Activity Code 7: Community Greening (Beautification)This activity code should not be used very often as the main mission of the Master Gardeners is EDUCATION, not community beautification. If you have a project that you feel might fall under this activity code, please get approval first from the BCMG Coordinator.Activity Code 8: Therapeutic HorticultureAll Therapeutic Horticulture committee activities.Any other activities (pre-approved by the Coordinator) related to therapeutic horticulture.Activity Code 9: Demonstration and Historic GardensWork in the BCMG Demo Garden should be placed under the site code best reflecting the committee under whose auspice you were doing the work, NOT under Activity Code #9. However, if you are involved in a general demo garden meeting, mowing, or other general maintenance, you can use the code #9. Deer resistant garden is also here. Remember to use the site code “BCMG Demo Garden” for all of these entries.You can also use this activity code if you are helping another group (such as school, library, PAL center, community center, church, nonprofit, etc) to establish a demo garden or teach lessons in another demo garden (such as a state park or nature center). Remember though that regular maintenance for these other demonstration gardens does NOT count as BCMG volunteer hours. --“Physical labor should generally be confined to the initial set-up or installation of garden projects so that the MG can demonstrate sustainable practices and techniques. It must be kept in mind that our mission is educational and not to provide free labor for other agencies and community groups.”#10 Special Events: Some examples of BCMG approved Special Events include: Garden Fest, Baltimore County 4-H Fair, Maryland State Fair, MARC Family Farm Day, LocoPour, Home and Garden Show Ladew Garden Festival, Towson Market Day.Any other special fair/event that has been pre-approved by the Coordinator.#11 Internal Administration:If you are doing administrative work for a specific committee, please use that Activity Code rather than 11. Events that do count as Activity Code #11 include:MG monthly Meetings Steering Committee Meetings and activitiesHospitality committee activitiesPublicity related activitiesPlant Sale related activities Writing for newsletter#12 Subjects not covered:There is no reason to use #12 #13 Continuing Education: Any event you attend where you are learning about sustainable horticultural practices. This includes presentations at monthly MG meetings, garden clubs, University programs, tours of local botanical gardens, arboreta, nature centers, etc.*Please note - any time spent doing research to prepare for a presentation should be coded with the same code as the presentation. This self-study does not count as continuing education. #14 Phone Banks: Baltimore County does not use this code. #15 Speakers:This code should only be used by Master Gardeners who have coordinated their speaking presentation through the Speaker’s Bureau Committee Chair. It includes speaking at garden club events or other community events where an honorarium of $75.00 is typically paid. It does NOT include speaking events at the public library or schools. ................
