Dear Virtual Enterprises and Practice Firms,

You are cordially invited to attend the Fifteenth Annual California State Virtual Enterprise Trade Show which will be held in Bakersfield, California, on December 3-4, 2013, in conjunction with the Kern High School District. International Virtual Enterprises and Practice Firms are especially welcome to attend and participate in this exciting event. This will also be a celebration of the 15th Anniversary of Trade Show events held in California and the 16th Anniversary of Virtual Enterprises, International in the Western Region of the United States.

The Fifteenth Annual California State Trade Show will be held at the Rabobank Convention Center, 1001 Truxtun Avenue, in the city of Bakersfield north of Los Angeles. Many California Virtual Enterprises from all over the state, plus Virtual Enterprises from other states and the world will be showcasing their virtual products and services. This show is the largest in California & the Western Region attracting over 100 firms last year. Students in these enterprises will be demonstrating their competencies in a wide range of areas: business planning, marketing, selling, self-management, financial planning, public relations, interviewing, e-commerce and communications. This event provides an opportunity for healthy competition, self-assessment and benchmarking!

The opportunity to participate in the California Trade Show events provides a unique advantage to see Virtual Enterprise entrepreneurial skills development. A series of business education competitions will be held for enterprises. The public will be provided with virtual checks to enable them to take part as customers in the Trade Show.

This is also a very special year for the Western Region (formerly California Network) of Virtual Enterprises, International as we will be celebrating our 16th year of being a part of this outstanding entrepreneurial program.

Trade Show Program: December 3-4, 2013

The Trade Show encompasses two days of activities. Day 1 is for Student Competition Day which will focus on showing company projects, setting up Trade Show booths, and meeting colleagues while getting to know the layout of the venue. Multiple oral competitions will take place in various areas.

Day 1 is also for selected companies focusing on participating in the VE State Business Plan Competition. This event will determine the California VE teams that will be state VE representatives in the spring of 2014 at the National Business Plan Competition, April 1- 3, 2014, in New York City.

Day 2 sees the launch of the Trade Show to celebrate the CA Network’s 15th Anniversary of state Trade Shows and 16th year of Virtual Enterprise in California. A major focus of Day 2 is on promoting Virtual Enterprises, International to the public, which includes business leaders, parents, teachers, students and administrators from across California. Business trading will occur throughout the day, with a special awards ceremony ending the event. The fourth and Final Round of CA VE State Business Plan Presentation Competition will be completed on this day also.

Any cancellation of exhibit space must be in writing to Nancy Phillips at nphillips@khsd.k12.ca.us or to address above. A $150 fee will be charged for any cancellation on or before November 16, 2013. TRADE SHOW Registration and Purchase Order Instructions

In order to complete your trade show registration process and secure a booth space at the event, please complete these steps several weeks prior to November 13:

1. Complete the “Trade Show Registration” form. These forms are available through the CA Virtual Enterprise State Office and are emailed to all coordinators in the California Network. Booth numbers will be assigned after November 13th.

2. Complete your district “Request to Purchase” form which initiates a Purchase Order for the registration fees for 2013 Trade Show. These forms should have a number assigned to the valid Purchase Order.

3. Attach your completed “Trade Show Registration” form to the “Request to Purchase” form, make a copy for your files, and submit to the appropriate person within your district. SEND copy of Trade Show Registration and Intent to Participate Form to VEI Office. Be sure to designate that the registration form should also be submitted to Kern High School District with the purchase order.

The purchase order process time varies from district to district however, in most cases

the purchase order will be submitted to the Kern High School District within 2-4 weeks after

you begin the process. The early submission of your paperwork will ensure you a booth at

the event. Be sure to start this process by no later than October 23rd to ensure receiving

PO or payment by deadline.

Payment in the form of a PO or Check MUST be received by November 13, 2013 to avoid

a late fee charge. Both PO and Check should be made out to Kern High School District/Virtual Enterprise or Kern High School District/Regional Occupational Center/Virtual Enterprise and mailed to 501 S. Mt. Vernon Avenue, Bakersfield, CA 93307.

Virtual Enterprise T-shirts - There may be a sale of VE Trade Show Commemorative T-Shirts

at the event for $5.00 each.

Trade Show Breakfast (December 3) – Breakfast is not included in your registration.

There will be breakfast burritos, sandwiches, & yogurt available for Trade Show attendees for

about $3-$5 at the Bakersfield Marriott Hotel.

Trade Show Lunch (December 3) – Lunch is not included in your registration. There may

be box lunches or a buffet available for about $5-$10 at the Bakersfield Marriott Hotel. No

outside food may be brought into the Convention Center.

Trade Show Dinner (December 3) - Dinner is not included in your registration. If you would

like to leave the hotel area for dinner on your own from 5:00-7:30 PM, we recommend John’s

Incredible Pizza, 3709 Rosedale Hwy, Bakersfield, California, (661) 859-1111. You can make

reservations for the special non-profit rate by calling John’s directly. If you do not call to make

reservations, you will be charged the regular rate + tax per person. They offer an all-you-can-eat

pizza, salad, dessert and drink. You will also receive special game tokens with your reservations.

Their website is . Several other restaurants are within walking

distance of the Convention Center if you choose not to go to John’s Incredible Pizza.

Maps will be provided at registration desk.

Trade Show Breakfast/Lunch (December 4) – These meals are not included in your

registration. The Marriott may offer breakfast items for quick pick-up. Two Snack Bars will be

open from 9:00 -1:00. They will be offering hotdogs, chips, sodas, popcorn and other snack

bar type items. No outside food may be brought into the Convention Center.

If it is necessary to send display materials, materials should arrive no earlier than November

27, 2013 and not later than December 2, 2013. Label all cartons “Hold for Virtual

Enterprise Trade Show.” We will not guarantee delivery to Convention Center if boxes

arrive on December 2, 2013.

Cancellation Policy

Trade Show Accommodations

We are recommending that you stay at the Bakersfield Marriott Hotel. It will be the

headquarters for the Trade Show and is part of the Convention Center facility hosting the

show. If you identify yourself as a Virtual Enterprise, you will be given the Trade Show rate for

your room. You may have up to four students staying in one room. The hotel can be contacted

by phone at 661-323-1900. A 12 midnight curfew will be strictly enforced by hotel security

during the Trade Show for all schools staying at the hotel.

Trade Show Regulations

 

General Rules:

The exhibitor agrees to abide by show regulations as set forth by Kern High School District show management.

Food: No food may be brought into the Rabobank Convention Center from an outside source such as fast food, pizza, etc. Snack bars will be open for food purchase. Food from outside sources may be eaten outside of the Convention Center.

Booth Giveaways:

Giveaways combined with a booth should generate traffic at the Trade Show. If you choose to use this method to attract customers to your booth, you must follow these guidelines set by the Convention Center:

1. Nothing is to be sold for real money. This is not a fundraising event!! We will be penalized by the Convention Center if this happens.

2. Only individually wrapped food items may be given away. All food items must be individually wrapped before arrival to the Trade Show. Be sure to wear food serving gloves while handling any food item.

3. Beverages must be no larger than 4 ounces and must be related to your company.

4. Foods must be no larger than 2 ounce servings, which is sample size. Popcorn must be made prior to show and passed out in small bags no larger than 2 ounces.

5. No full cans or bottles of beverages may be distributed at the Trade Show.

6. No food or beverage making appliances such as blenders and chocolate fountains. Blended beverages, such as smoothies, may be frozen in 4 ounce cups, wrapped and brought to the Trade Show.

Failure to abide by this regulation will disqualify participants from booth and salesmanship competitions.

Booth Numbers:

All booths will have an assigned laminated number on the top right of the 8’ back drape. This number must remain in this location throughout the Trade Show. Once assigned a booth number, companies are not to exchange numbers or booth spaces with other companies. These numbers are used by the judges for judging booth and salesmanship on Trade Show day. If removed, the company will be disqualified from the booth and salesmanship competitions.

Shared Exhibit Space:

Shared exhibit space is limited to two companies from different school sites per booth. Only a single school site with multiple enterprises may have more than two companies per booth. Failure to abide by this regulation will disqualify participants from all competitions for prizes.

Exhibit Staffing:

Booths must be continually staffed by at least two people during all official exhibit hours. A coordinator for each company must be on the premises available at all times during all scheduled hours.

Exhibit Setup and Teardown:

Setup December 3rd from 10:00 am to 3:30 pm in the Rabobank Convention Center. No early birds! The setup will be done by students. Adults are asked to refrain from assisting students in the physical setup of the booth. All booths must be fully decorated by no later than 3:15 pm as judging of the booths will begin at 5:00 pm. If a coordinator wants to remove expensive item(s) from the booth, they may do so with a student after judging is over about 7:00 pm. The item(s) may then be put back in the booth between 7:00-8:15 am the next morning prior to the Opening Ceremony. This is not the time to decorate the booth or change booth decorations. Teardown at 2:00 pm after the awards presentation on December 4th… Any company that initiates teardown before 1:45 will be disqualified from all competitions unless special permission has been given to the coordinator by the VEIC State Coordinator.

Exhibitor Name Badges:

Every participant must have their school ID with picture and display a name badge for entry to the Trade Show and all events on December 3rd. It is the responsibility of the exhibiting firm to produce name badges for each participant. Badges must include each participant’s name, title, company name, school name, city, and state. Badges must be worn at all times during the show. Picture school IDs must be carried by participants at all times.

Professional Behavior:

All exhibitors must keep their booth area neat and litter free. On the trading day, participants must dress in professional business attire or in a manner that is representative of the business or booth theme. Any disorderly conduct or inappropriate behavior is prohibited and cause for immediate dismissal from trade show activities and disqualification from all competitions. Smoking is not permitted in any facility at the Rabobank Convention Center.

Disability Provisions:

Exhibitor represents and warrants that its exhibit will be fully accessible to wheelchair movement and that it shall indemnify and hold show management harmless and against all claims and expenses, including attorneys fees and litigation expenses, that may be incurred by or asserted against show management, its officers, directors, agents, or employees on the basis of the exhibitor’s breach of this paragraph or non-compliance with any of the provisions of the A.D.A.

Exhibit Considerations:

No exhibitor may engage in any activity or employ any individual or device that tends to create unreasonable congestion in aisles. Sufficient space must be provided within the exhibit area and be arranged so that persons watching demos and other activities are contained within the booth.

 

Moving displays, motion pictures, slide projectors, TV monitors, etc. must be operated so as not to attract or create a crowd that would obstruct adjacent exhibitors.

 

Music or other amplified sounds are NOT allowed unless heard through individual head phones. No Strobe Lights are allowed as they may cause seizures in susceptible individuals. Loud sounds are distracting and disrupt participants and guests often preventing hearing any announcements regarding safety issues on the trade show floor.

 

Booth Design:

The exhibitor agrees to abide by booth wall height restrictions (8’ high; 3’ high sides). All displays, devices, and decorations that serve to distinguish a company’s booth must fit within the 8’ deep x 10’ wide area designated as the booth dimension.

➢ No part of the design features may extend into the aisle or outside the booth.

➢ No full tenting of booth – sides above three feet high need to provide 50% or more sideways visibility to neighboring booths.

➢ No Helium balloons in booths.

Failure to observe this rule will automatically disqualify the company from the Best Booth competition. Floor captains will make decisions to acceptable booth design standards.

Exhibitor Compliance:

The exhibitor assumes responsibility for compliance with all pertinent ordinances, regulations, and codes of duly authorized local, state and federal governing bodies concerning fire, safety, and health, together with the rules and regulations of the operators and/or owners of the show facility, and agrees to comply with all federal, state, and local laws. Upon request and at the sole expense of the exhibitor, show management will assist the exhibitor in its efforts to comply with applicable federal, state, and local laws, but will not, in any event, be responsible or liable for any failure by the exhibitor to comply therewith.

Rights of Termination:

The Kern High School District reserves the right to terminate the privileges of any exhibitor if it determines in its sole discretion that an exhibitor is conducting himself/herself in a manner that might reflect unfavorably upon the show. In the event of termination, the exhibitor shall promptly remove all equipment and personnel from the exhibit area. No portion of payments paid or owed will be refundable.

Show Cancellation:

If the show facility becomes unfit or unavailable for occupancy, or becomes substantially interfered with by reason of picketing, striking, embargo, injunction, act of war, act of god, fire, or state emergency declared by any government agency or by reason of any municipal, state, or federal law or regulation or by reason of any other occurrence beyond the control of management, show management may cancel or terminate the show. In the event of such cancellation or termination, the exhibitor waives any and all claims for damages or expenses and agrees to accept in complete settlement and discharge of all claims against the exhibitor’s pro-rated share of the total amount paid by all exhibitors, less all cost expenses incurred by management in connection with the show.

 

Interpretation of the Amendments to Regulations:

The exhibitor agrees that the show management shall have the right to make rules and regulations or changes to rules and regulations.  The Kern High School District shall have the final determination and enforcement of all rules, regulations and conditions. The Rabobank Convention Center will also have the right to enforce any rules that apply to their facility.

Security:

Although the Kern High School District will take every precaution to provide adequate security during the event, it does not assume any responsibility for lost or stolen articles. Security is provided by the hotel and conventions center, but they do not assume any responsibility for lost or stolen articles. Items such as money, jewelry, personal stereos, computers, exhibitor display items, or other valuables should never be left unattended anytime during the show. Do not bring expensive personal belongings with you. Please report any security issues, which would affect the event, to Trade Show management.

Due to Labor Union guidelines it may be possible that no booth construction and design work may be done on the floor of the Convention Center using power tools. Additional information will be forth coming regarding this…
