Please state estimated down time as well as notifying the personnel listed below:

Procedure

A. The following steps are used by Engineering Services during normal departmental work hours (1st shift), 8 A.M. to 4:30 PM Monday through Friday:

1. If the technician determines the system is down for an extended amount of time (more than one hour) in the Labs, ETC or Pharmacy, they will call Rebecca Donovan at 356-2009 or Kathy Bugg at 356-2711 and state the estimated duration for this repair. (In the event Kathy or Rebecca is unavailable the notifications will be made by the Technicians or a designee.)

2. Rebecca or Kathy will send pages to all areas or staff identified on the tube system call sheet, with the message identified in B.

3. UIHC Page Me –Group distribution list: “Swisslog Pneumatic Tube System Downtime” pager #6182. (Use message in box in B)

4. Labs are also e-mailed with the Tube System Service Interruption notice/message identified in B. The email address of those individuals identified with pager numbers are used for this communication.

5. When the system returns to service, the above steps are repeated with this notice/message: Tube System is now in service.

B. The following email message (sent to individuals identified on previous page) is used by Engineering Services when communicating a pneumatic tube service outage. This message is sent on behalf of Engineering Services:

If you have questions or concerns about this interruption, please contact the Pneumatic Tube Technician at 356-3742, computer area, or Merle Hagie at office 384-9575 or cell 319-631-1910.

C. During the hours after Engineering Services’ normal 1st shift work hours (as stated above), holidays and weekends the Technician will contact the above areas at their central phone number with expected down time and call back after the repair is complete.

D. If a hospital wide bulletin needs to issued it will be initiated by Engineering Services Administration Institutional bulletins are facilitated by the Joint Office of Marketing and are initiated on a case by case basis
