Managing Legacy Data

Legacy data are data that are attached to inactive event types, sub-event types, locations, sub-locations, sub-sub-locations, questions, and answer options.

Anytime you contact the Help Desk to deactivate one of these options, we will ask you the following question: What would you like to do with the data? Options include:

• Overwrite the name (replacing the old verbiage with the new verbiage, this means events previously submitted will display this new information)

• Map it (to a new option or to a previous answer option)

- A spreadsheet can be provided to show options

- Mapping can be done by Clarity Group either manually or automated depending on the number of events affected by the change

- The minimum turnaround time for this is 30 business days

• Leave it as Inactive Only (running reports on the inactive answer options in the analysis area)

Areas that are affected by the change:

• Submission Page – Answer options will no longer be available to submit on

• My Review > Live Event Tab – The answer option will appear blank because it is no longer an active answer option on the form

• Analysis – Answer options that have been deactivated will appear with (Inactive) next to them

• User Maintenance – The inactive event types and locations will appear with “(Inactive)” next to them. Anyone that has a user rule attached to the inactive category will need to have their rule updated to include an active one. Affected users should be notified of any changes so that they can still complete necessary follow-ups
