{A} Summary of the Civil War Soldiers and Sailors System (CWSS)

The CWSS is available online at . It is a database of basic facts about Union and Confederate soldiers and sailors who served in the American Civil War. The source records are available at the National Archives (NARA) in Washington, D.C.

Information included in CWSS:

 

Over 4 million Union & 2 million Confederate soldiers from 44 states and territories.

 

Over 4,000 Union and Confederate regimental histories, with links from the soldiers serving in them.

 

Prisoner-of-war records for Union prisoners held at Andersonville, GA and Confederate prisoners held at Fort McHenry, MD.

 

Cemetery records from 14 National Cemeteries managed by the National Park Service (NPS).

 

Over 1,200 soldiers and sailors who received the Congressional Medal of Honor.

 

Sailors will be added eventually, but the Navy records are not as well organized as the Army records. Currently the sailor database consists of about 18,000 African American sailors.

 

The source data for the soldiers are the General Index Cards in the Compiled Military Service Records at the NARA. During the Civil War, company muster rolls, which included every soldier's name, were taken about every two weeks. In the 1880s the army indexed the muster rolls for pension purposes, using cards. These Compiled Military Service records had many cards for each soldier representing each time his name appeared on a muster roll. A General Index Card, which lists the soldier's name and rank at the time of enlistment, and the date and rank at the time he left the service, was inserted at the beginning and end of a service period. These General Index Cards are the basis for the CWSS database. About 3.5 million soldiers actually served in the Civil War, but soldiers serving in more than one regiment, serving under more than one name, and spelling variations resulted in 6.3 million General Index Cards.

 

In 1903 Frederick Dyer published the Compendium of the War of the Rebellion, a history of all the Union regiments. Dyer used information from Union veterans and from the Official Records of the War of the Rebellion, published by the Department of the Army. Dyer's book is the source for regimental histories on the CWSS database.

Military service records and pension files are separate series of records and are requested separately. Original records and microfilm copies are available at NARA. Copies can be requested online or by submitting NATF forms 85 and 86. You should have the veterans full name, the state in which he served, the military branch, and whether he fought for the Union or Confederacy.

 

If a file is found for the veteran, NARA can supply copies of the documents for a fee. See instructions at the National Archives Order Online Web Site or on the NATF Forms 85 and 86.
