It is specifically recorded that no Performance Deductions, or warning notices, will apply to the Value Added Services.The Private Party shall be entitled to revise this SDP from time to time and within its sole discretion, provided that such revision shall not in any way detract from the Private Party’s obligations to provide the Services in accordance with the provisions of clause 2.5 of Schedule 6 Part 1 B (Facilities Management Specifications).The Private Party shall, within 5 (Five) days of any revision of the SDP, provide the CoT with a copy of such revised SDP.SERVICE DELIVERY PLANScope of ServiceValue Added Services will be provided by the Private Party through the co-ordination of external service providers who will provide the following services on site:Car Wash and Valet Service (in the sole discretion of the Private Party);Vending Machines.Operational ElementsCar Wash and Valet ServicesThe Private Party will within its discretion engage the services of a micro enterprise that will provide private Car Wash and Valet Services on site in accordance with the provisions of clause 2.5.1 of Schedule 6 Part 1 B. The service provider will operate their business on a pay per wash basis. This means that individuals requiring this service will have to pay the service provider directly to have their cars washed. The Car Wash and Valet service could also be extended to include the washing of CoT owned vehicles and a suitable account/payment system would be agreed upon between the CoT and the service provider.Vending Machines (See clause 2.5.2 of Schedule 6 Part 1 B)The Private Party will engage the services from one or more vending machine operators. Vending machines, which may include machines for hot beverages, will be placed in the pause areas inside the building. Beverages will be sold through the vending machines and will be driven by supply and demand. Prices and price adjustments will be discussed with the CoT, the Private Party and the vendor. The Private Party will check market related prices compared to other similar vending sites to determine whether the staff receive value for money. This service shall be provided at the Private Party’s sole discretion and shall be on a Pass Through Cost basis in relation to the hot beverages, and on a commercial basis to be paid by individuals directly in relation to the cold beverage and other vending, as per the provisions of clause 2.5.2 of Schedule 6 Part 1 B.EquipmentThe following equipment may be provided/used on-site:Cash operated vending machines with refrigeration and or heating as required by the products on offer;Car washing equipment and vacuum cleaners. No specific wash bays have been designed, so it is intended that the operator will make use of a bucket or dry wash system.The type and style of vending equipment installed will be agreed upon between the various vendors and the Private Party in consultation with the CoT. The same principles will apply in the approval of vending equipment before allowing it to be installed on site.Quality ControlQuality control is measured in various ways, each of which is described below:The value added service points will be captured onto the FMS. Any query or request relating to the Car Wash and Valet service, or equipment, will be logged by the Service Desk staff onto the FMS. A call to address the query or request will be logged with the service provider for action.All consumables refilled into the various machines will be recorded onto the FMS. This will enable to Private Party to track accurate usage and provide reports on a monthly basis about usage of the machines.Quality at the car wash will be self-monitored but concerns about the Car Wash and Valet service will be recorded onto the FMS and will be taken up with the car wash service provider with the intention of resolving concerns and improving service. Appropriate performance management clauses will be written into the service provider’s contract so as to protect all parties if the services fail completely.TrainingTraining on the use of the coffee machines and vending machines will be provided to all CoT staff on or about the Service Commencement Date. Thereafter training for new CoT staff will take place during the new staff members’ induction and instructions will be included in their welcome prehensive training will be provided to the cleaning staff on how to properly clean the coffee machines and what the refilling procedures are.The cash operated vending machines will be refilled by the vendor who will train their own staff. The vendor staff will be required to go through an induction program to familiarise them with the building and relevant site procedures.The car wash team will be trained by the service provider. The team will however be required to attend environment sensitivity training and the efficient use of water and electricity in carrying out their activities. Compliance to minimum standardsOccupational Health and Safety Act 85 of 1993;SANS10400 Application of the National Building Regulations;National Environmental Management Act, 1998.Service SchedulesFrom the items listed under the Service Output Requirements in Schedule 6 Part 1 B, and thereafter matching that to the Service Level Matrix, the typical Service Schedules are developed and included in REF _Ref366223412 \r \h Annexure 1.Self Monitoring PlanService monitoring check lists will be generated by the Facilities Management System and used to evaluate levels of service across value added services and will be aligned to the typical service schedules contained in REF _Ref378766681 \r \h Annexure 1 hereto. This will enable the managers to check and feed back into the system any non-compliance or service impact issues that may be identified.
