Helpful Hints for Completing the

2010-11 State Inventory

□ The inventory is located in the Destiny Textbook Manager under the BACK OFFICE tab, INVENTORY option, and select the “2010-11 State Inventory Count”.

□ There are two parts to the inventory. Schools must account for the items on their inventory that are BARCODED and the items on their inventory that are COPIES WITHOUT BARCODES.

□ The best practice to follow is to scan everything in BACK OFFICE/INVENTORY, especially if you do not know the status of the book.

□ Any textbooks currently checked out to students/teachers will be checked in when scanned in BACK OFFICE/INVENTORY.

□ If a book is checked out in Destiny and it is scanned in CIRCULATION/CHECK IN TEXT, it will also be accounted for in inventory. HOWEVER, if the book is NOT checked out in Destiny and it is scanned in CIRCULATION/CHECK IN TEXT, it will not account for it in inventory.

□ All textbooks must be scanned and accounted for in inventory, this includes textbooks in the bookroom or storage areas and classroom sets that are stored in classrooms. Please be sure you will have access to the necessary closets, file cabinets, etc. even if other staff are not available.

□ A physical count must be conducted and entered for all COPIES WITHOUT BARCODES. If the items are lost, enter a zero. If you are not familiar with the material, we suggest printing the COPIES WITHOUT BARCODES list from the inventory, and looking up the items in question under CATALOG/TEXTBOOK SEARCH, using the STATE TEXTBOOK ID. This will give you the detailed information about the title.

□ If a textbook that was marked lost on the 2009-10 inventory is found and scanned in Destiny, a credit will be posted. All other lost copies from the 2009-10 inventory will remain in Destiny until the State Textbook Office removes them. We will remove them before we finalize the 2010-11 Inventory to prevent duplicated charges.

□ Schools should complete any pending transfers and receive all shipments.
