Legacy: Faxed Images

Overview

! Important! The legacy fax feature is accessible to clients who were onboarded before July 1, 2020. This feature is not available to new clients.

Imaging is a free service hosted entirely by SAP Concur. Imaging allows Invoice users to submit invoice images and other supporting documentation for their invoice either by fax, or by scanning and uploading the invoice images. Imaging also allows Invoice users to submit a new vendor request for approval electronically, using either a fax machine or a scanner and upload process. Once the images are received by the service, they are displayed in PDF file format (using Adobe Reader) within Concur Invoice.

Imaging:

• Allows approving managers to view invoice images and other supporting documentation when invoices or vendor requests are pending approval

• Allows back-office and audit personnel to immediately access invoice images, enabling them to confirm adherence to corporate policies

• Is policy-based, allowing each imaging configuration to be assigned to a policy that causes users under that policy to follow set procedure, such as requiring (or not requiring) the electronic submission of invoice images

• Provides flexibility in allowing images to be uploaded, deleted, and otherwise changed to match changing circumstances for the unsubmitted invoice

This guide describes the fax process for invoice images.

Every group of invoices or documents transmitted by fax is preceded by a fax cover page, which is printed from within Invoice. The fax transmission serves as an entry point into the Imaging service. The page must precede the invoice images associated with the invoice. The fax is processed at the hosted facility, converted to a PDF file, and then committed into the client's system. The barcodes on the Fax Invoice Cover page indicate the person, company, and invoice or vendor request being processed. Once processed, the image is ready for viewing by the employee and other personnel within the client organization, as appropriate.

If the user faxes additional images, the additional images are appended to the initial set.

Benefits of Imaging

Benefits of using Imaging over paper-based invoice handling processes include:

• The elimination of the costs associated with mailing invoices, which are often sent using high-cost express courier services

• A reduction time by accounting personnel checking-in, handling, archiving, and retrieving invoices

• The elimination of the costs associated with storing paper invoices

• The minimization of invoice loss

• A reduction in duplicate invoices that are paid

• Greater visibility of the invoices throughout the approval process

• An improvement in audit effectiveness and productivity

• Instantaneous access to invoices by the approving manager

Adobe Reader

Every client computer that uses the Imaging service must have the correct version of Adobe Reader installed. SAP Concur recommends version 8.0 or newer. SAP Concur does not provide Adobe Reader as part of Imaging. Adobe Reader is free to download and install from .

N The first time an employee submits or prints an invoice from within Concur Invoice and Imaging has been activated, the system checks for the availability of Adobe Reader on the employee's computer. To assist the employee with the application installation, a link can be provided during configuration of Imaging that will direct the employee to the Adobe Web site to install the application, or to any other URL that is designated as the access point for Adobe Reader.

Adobe Reader must be configured to display the PDF in the browser and not in a separate window.

To use the Actions > View Image link to view the invoice images or vendor request images, Adobe Reader must be installed. If Adobe Reader is not installed, an error message appears.

If the admin has provided a URL in the Adobe Reader Download URL field in the configuration, then the link to that URL will appear to the user. If the field is blank, then no link will appear to the user.

• To add a link to the download location for Adobe Reader:

1. Click Administration > Invoice.

3. On the Invoice Imaging tab, click New to create a new configuration or select an existing configuration, and then click Modify.

4. Add the desired link in the Adobe Reader Download URL field.

IMPORTANT: After installing Adobe Reader, all browser windows must be closed, and Concur Invoice must be restarted.

Permissions

A company administrator may or may not have the correct permissions to use this feature. The administrator may have limited permissions, for example, they can affect only certain groups and/or use only certain options (view but not create or edit).

If a company administrator needs to use this feature and does not have the proper permissions, they should contact the company's Concur administrator.

In addition, the administrator should be aware that some of the tasks described in this guide can be completed only by SAP Concur. In this case, the client must initiate a service request with SAP Concur support.

Several Guides about Imaging

There are several ways for the user to manage invoice images depending on the needs and configuration of the client. There are several guides about the different processes. Choose the appropriate guide based on your company's configuration.

What the User Sees

To fax invoice images, the user takes the following steps:

1. Completes the invoice or vendor request

5. Determines if images are required, and if so:

□ Prints the fax cover page

□ Faxes the cover page and invoice images to SAP Concur

□ Checks to ensure the attached invoice images are clear and readable

6. Submits the invoice

Print the Fax Cover Page

The user first completes an invoice as required by his/her company. If invoice images are required, the user must print the fax cover page to accompany the invoices. To access the Invoice Scan/Fax Cover Page, the user clicks Actions > Print > Invoice Scan/Fax Cover Page.

For vendor requests, the user clicks Open Vendor > Request New Vendor to open the New Vendor window.

After filling out the required fields, the user clicks Apply. This activates the Actions menu and changes the name of the window to Vendor Information.

Then the user clicks Actions > Print Fax Cover Sheet.

N The user must print the fax cover page in Portrait mode.

The fax cover page contains these sections:

• Fax number and Payment Request Summary: Includes the fax number to send the invoices to and general information about the invoice or vendor request including Request Name, Vendor Name, Remittance Address ID, and Invoice number. The cover page also includes the name of the person who submitted the invoice or vendor request, the invoice date and due date, vendor information, and the Company ID and Request ID.

N The number used to fax invoices may vary by company and/or by policy. The number that the employee should use appears at the top of the fax cover page that is printed from Invoice. SAP Concur will supply the fax number that you will use for your configuration.

• Instructional Text: This page defines the procedure for faxing documents and includes tips for ensuring a successful transmission.

N To speed up printing and to reduce paper usage, the client can omit the Instructions for Faxing Documents page from the fax.

• Barcodes: The barcodes are used to route the invoice or vendor request to the appropriate location in the system. The barcodes serve as an indicator of the person, company, and invoice being processed. Barcodes must be legible before submitting the fax.

Fax the Invoice Images

After printing the fax cover page, the user:

• Reads and follows the faxing instructions on the fax cover page

• Arranges the invoice images or the supporting vendor documentation for the new vendor along with the printed invoice in a clear plastic sleeve or tapes them to a separate sheet of 8.5"x11" (or A4) paper for faxing

• Places the fax cover page – followed by the invoice(s) or supporting vendor information – into a fax machine, ensuring the fax machine resolution is set to Fine mode, and then transmits them using the Imaging number that appears on the fax cover page

N When transmitting invoice images information for multiple invoices, each set (cover page and invoice images for each invoice) must be transmitted separately, letting the fax machine disconnect between transmissions. Otherwise, multiple fax cover sheets faxed at the same time will be attached to the invoice identified in the initial fax cover sheet.

• Click the Details > View Image link from Invoice to access the invoice images, confirming the invoices have been sent and received successfully

Additional Images

If the user faxes additional images for an invoice or vendor request, the additional images are appended to the initial set.

View Invoice Images

After faxing, the user waits a few minutes and checks the images.

To view the invoice images in PDF format, the user clicks View Invoice on the invoice details page.

Status Page

A status page may be appended to the PDF, indicating that files failed to process.

The status page does not provide file names or the reason for the failure. It does, however, indicate which file(s) failed, such as File #1 Succeeded, File #2 Failed, and File #3 Succeeded. The user can then review the PDF and determine which files need to be corrected and faxed again.

Note the following:

• If no files fail to process, there is no status page

• If some files fail to process, the status page appears with the successes and failures listed

• If all files fail to process, the PDF will consist of only the status page

Compression

The Imaging service compresses larger PDFs. Images are not affected immediately; however, if a user views a PDF later, the user may notice that the image is now grayscale and may not be quite as clear.

Email Notification

An email notification can be sent to the user indicating that an invoice image was successfully received and is available for viewing. Within the email, a link appears that when clicked, displays the Invoice logon page. The employee enters his/her logon ID and password to display the Invoice page with a link to the invoice for viewing.

The email notification can appear as the following:

The employee can choose to receive or not receive email by setting preferences in Profile > Profile Settings > Invoice Preferences. The user selects (enables) the A payment request image is received check box.

Delete Invoice Images

If the user faxed the wrong images, they can delete and try again. The user can delete the images only if the invoice has not yet been submitted or if the invoice has been returned to the user.

The user opens the invoice and clicks Actions > Delete Image.

Note the following:

• The entire set of invoice images (PDF) will be removed from the invoice

• For invoices that have been returned to the user:

□ Invoice creates an audit trail entry indicating that invoice images or the vendor request have been deleted.

□ If Invoice had marked the invoice images as received (in Processor), the delete process will mark the invoice images as not received.

Submit Invoices

Once the user ensures that the images are attached correctly, they submit the invoice as usual.

What the Approver Sees

The approver can access and view the invoice images or images supporting the invoice for a new vendor by selecting Actions > View Image or by clicking View Image on the Invoices List page.

If necessary, the approver can attach additional documentation by opening the invoice and clicking Upload Image in the Actions menu.

If no image is associated with the invoice the image window appears with a message indicating that the images are not available.

What the Processor Sees

After the appropriate managers approve an invoice, the invoice appears in Invoice Processor for processing.

• To view invoice images in Invoice Processor:

1. Click the invoice in the Process Requests window.

7. Click either Actions > View Image or the View Image button. Adobe Reader opens in a new window displaying an image of the invoice.

What the Delegate Sees

Delegates can be given the option to view invoice images for invoices they have prepared on behalf of another employee. The Invoice Admin sets this option when defining delegates. The individual who is selecting their delegate can also set this option.

To allow delegates to view invoices, select the Delegate can view invoice images for payment requests check box in the Add Delegate Configuration window. This window is available by clicking Administration > Invoice > Delegate Configurations > New (or Modify, if existing configuration).

Although the configuration allows a delegate to view invoice images, the employee can elect to override this setting. When an employee assigns a delegate, they can choose whether specific delegates can view invoice images by selecting the Can View Images check box on the Invoice Delegates page by clicking Profile > Profile Settings > Invoice Delegates.

Troubleshooting

The tables below display error messages or scenarios that the employee may experience while faxing or uploading an invoice image, or while viewing invoice images using the Imaging service.

Troubleshooting Fax Transmissions

Troubleshooting tips are divided into two categories:

• General error messages seen by the employee or processor (Table 1)

• Potential printer or fax issues (Table 2)

Error messages associated with faxing receipts:

Potential Printer or Fax Issues

Some issues that the employee may encounter while faxing invoices may occur due to printer or fax issues. These issues can be avoided with an understanding of the recommended "best practices" for Imaging.

• If you faxed the wrong invoices, the invoices you faxed appear unclear, or you want to send additional invoice pages for the same invoice or vendor request, send the missing or additional pages using a fax cover page printed from the original invoice. The subsequent transmission will be appended to the original transmission.

• If when you click View Image, you receive an error message indicating that the browser does not recognize the format of the file, or requesting that you need to open the file with another application, then you must download the latest version of Adobe Reader (SAP Concur recommends version 8.0 or greater) to install the browser plug-in. The error message may include a link to the Adobe Web site or to an internal site as determined by your configuration administrator, enabling you to access and install Adobe Reader.

• The Invoice user must transmit each invoice separately, allowing the fax machine to disconnect between transmissions. Sending multiple sets of invoices at the same time may result in the fax machine grouping them and sending them as one transmission – even though you placed a cover sheet in front of each set of invoices and even though you received separate fax confirmation sheets. Imaging will interpret the grouped transmission as a single invoice to be associated with all of the associated invoice images. The entire set of faxed invoices will be available for viewing for the invoice associated with the cover page that was sent first. Other invoices will not have invoices associated with them.

□ Fax the cover page and invoice for invoice #1;

□ Let the fax machine disconnect; and then

□ Re-dial and send the fax cover page and invoice for invoice #2.

• If you lose your fax cover page, print another page from the same invoice.

Fax Barcode Issues

The following are common issues that do not allow Imaging to read the barcode; and thus, produce an unsuccessful fax transmission:

• The barcode may be illegible due to printer resolution, low toner in printer, torn pages, and so on. Make sure printer resolution is set to high, and that toner level is sufficient.

• When the fax cover page is printed, the edges are blurred or fuzzy. This issue may arise if the cover page was printed on an Ink Jet printer or a low-resolution dot matrix printer.

• When faxed, the faxed image is off center (not lined up straight) and produces "jaggies" in the barcode (angling of the straight lines of the barcode). Send the fax again; making sure the paper is positioned properly in before pressing Start or Send.

Imaging Configuration

The basic configuration steps are listed here and described in detail on the following pages.

2. Create or modify an invoice imaging configuration

3. Assign the configuration to a policy

4. (Optional) Modify the delegate configuration

N Some of these steps are completed by SAP Concur; some are completed by the client. The client and SAP Concur should work closely to coordinate efforts.

Enable the Imaging Service

SAP Concur enters the client's unique company ID and public key in Imaging Settings.

Create or Modify an Invoice Imaging Configuration

The administrator uses Image Handling to create their Imaging configuration. Since a configuration is assigned to a policy, several configurations can be created allowing multiple fax numbers to be used depending on geographical region, telephone services, and so on.

• To create an invoice imaging configuration:

1. Click Administration > Invoice (in the sub-menu).

8. Click Image Handling (left menu). The Image Handling window appears.

9. Click the Invoice Imaging tab.

10. Either:

□ Click the default row to edit the existing default configuration.

– or –

□ Click New to create a new configuration. A new row appears.

11. Complete the appropriate fields.

Assign to a Policy

Once an imaging configuration is set up for Invoice, the client must assign it to a policy. This allows employees to utilize Imaging to view and print a fax cover page and submit invoices electronically. The View Image link will appear on the Invoice page and is available to the Invoice Processor.

• To assign an imaging configuration to a policy:

1. Click Administration > Invoice > Policies (left menu). The Policies page appears.

13. Either:

□ Click the desired policy and click Modify.

□ Double-click the desired policy.

The Modify Policy page appears.

14. From the Imaging Configuration list, select the appropriate imaging configuration.

When an employee assigns a delegate, they can choose whether specific delegates can view invoice images by selecting the Can View Images check box on the Invoice Delegates page by clicking Profile > Profile Settings > Invoice Delegates.
