The Permanent Mission of Australia to the United Nations – New York invites applications for the position of Executive Assistant to the Deputy Permanent Representative.

The terms of employment will be in accordance with the Conditions of Service and New York-Based Staff Employee Handbook. Employment will be offered on a contract basis, for an initial period of two years. The salary will be $51,009 per annum.

This position is being offered for employment in New York.

The Permanent Mission of Australia to the United Nations in New York will not be responsible for any costs incurred when applying for a US visa, relocation costs, nor the return of the officer and family to their country of origin at the end of the contract.

The Permanent Mission of Australia to the United Nations in New York will arrange the necessary work authorisation for the successful applicant.

Job Description

As a member of the Permanent Mission of Australia to the United Nations – New York, manage the office of the Deputy Permanent Representative. Coordinate staff development opportunities and compile statistics for annual reporting purposes. Provide advice on IT issues and administer the Mission Internship Program. Contribute to the overall effectiveness and team approach of the Permanent Mission of Australia to the United Nations – New York.

Continuously review and improve processes to ensure the highest levels of efficiency and productivity within the Mission Team.

Tasks and Functions

• Manage the Deputy Permanent Representative’s program. Assist with liaison, scheduling, correspondence and general office administration

• Assist visiting delegations, in particular for the United Nations General Assembly (UNGA), including logistical arrangements and staffing Ministerial offices. Coordinate arrangements for Australian UNGA Parliamentary advisers, interns and Youth Representatives

• Provide IT support to the Mission Team, monitor and respond to systems maintenance issues

• Perform duties of the Executive Assistant to the Permanent Representative on a relief basis

• Prepare monthly preview cables on mission activities and collect data for post evaluation purposes

• Coordinate staff training opportunities and prepare statistics for annual reporting purposes

• Assist the Deputy Permanent Representative, and other officers as directed, in organising receptions and other representational functions

• Assist in campaigns to promote Australian candidates for UN positions

• Performs other duties as required.

Selection Criteria

1. Demonstrated experience as an Executive Assistant

2. Proven ability to take initiative, work under pressure and prioritise workloads in order to meet tight deadlines. Demonstrated flexibility and ability to adapt to different work environments.

3. Strong verbal and written communication skills including ability to build productive working relationships; professional manner and ability to liaise effectively with senior members of the United Nations community, government officials and members of the public;

4. Knowledge of United Nations systems and Australian policies and priorities within the UN;

5. Current Australian Government national security clearance preferable.
