Annual General Meeting

Literary Institute, Cork St, 10 October 2017 - 7.30

1. Present. Peter Firth, Caroline Milne, Ron Miller, Allen Gibson, Sue Burns, Justin Barwick, Allan Cummine

2. Apologies. Kaye Walmsley, Richard and Judy Andrews, Helen and Kevin Curtis

3. Minutes from 2016 AGM. Moved they be accepted, Sue Burns, seconded Peter Firth.

4. Reports

o President Peter Firth thanked everyone for their work on the main event for the year, the exhibition at the Wine Bar It was pleasing to see people interested in the history of the village. Peter encouraged the committee to consider how we engage public in showcasing our work.

o Treasurer - Allan reported we had $2,386.00 as at the end of the $2016 financial year

o Membership - 53 members at the end of the 2016 financial year, some not financial.

5. Election - All positions were declared vacant and vacant positions filled, unopposed as follows.

o President Peter Firth, nominated by Ron Miller, seconded Caroline Milne.

o Vice President Ron Miller, nominated by Caroline Milne, seconded by Justin Barwick

o Secretary Sue Burns, nominated by Justin Bar wick, seconded Allan Cummine

o Treasurer/Membership nominated Sue Burns seconded Allen Cummine

o Achive Officer Caroline Milne, nominated by Ron Miller, seconded Peter Firth

o Publicity and Promotion – Ron Miller, nominated by Sue Burns, seconded Caroline Milne

o Committee member – Justin Barwick, nominated by Ron Miller, seconded Caroline Milne,

6. Public Officer - Allen Gibson nominated by Sue Burns, seconded Caroline Milne

7. Fee setting for year. Proposed by Peter Firth that membership fee remains at $5. Agreed by all. Allen Cummine suggested a minimum fee of $10 be considered at the 2018 AGM.

9. Post AGM - Catch up on general business

• Calendar – Sue and Ron will progress work on the calendar. We need to get it out ASAP.

• Literary institute open day (Xmas event) proposed we have a pre Xmas Bar-b-que on 16 December at the Institute, details to be planned at November meeting including contingencies for hot weather i.e. Marquee

• Clemenger Memorial upgrade and Heritage Week event 2018 - general delegation was given to Ron and Justin to progress the work. Ron gave an update on the Clemenger Memorial and work proposed. Flagging stones had been found locally. Wayne Kotzur to make caps for the posts, Ron has liaised with Telstra on painting and screening the Telstra post. Justin offered to assist. In the interim we need to start putting together any research on Clemenger we can find. Hall to be booked for the event and a date set. Sue to liaise with Sylvia Gleeson to book the Nest , who have offered accommodation for Clemenger family

Caroline Milne - Guest speaker.

Caroline provided a very informative and interesting presentation on preserving photos and other historic family and other paper records people have. Suggested that Caroline give another presentation next year for those unable to attend.
