TUITION POLICY 2013-2014

Admissions/Registration Calendar:

1. December: Letter, Enrollment Contract and Tuition Policy to be sent home.

2. February 1: Preschool Enrollment Contract, registration fee ($75 per student) and PTF dues ($10 per family) due to the school office.

3. February 1: Grammar and Upper School Enrollment Contract, registration fee ($150 per student) and PTF dues ($10 per family) due to the school office.

4. April 16: Prepayment invoices will be mailed to parents.

5. May 2: Prepayment of 20 percent (20%) of the annual tuition is due for families who will be prepaying tuition. This prepayment is non-refundable.

6. May 20: FACTS enrollment and re-enrollment must be done by parent via e-Cashier.

7. July 5 or 20: First FACTS withdrawal made.

8. July 20: Prepaid tuition balances due to the school office.

PTF Dues:

PTF dues in the amount of $10.00 per family are mandatory. This fee is due upon re-registration.

Registration Fee:

A non-refundable $150 registration fee is due by February 1 for all returning Grammar and Upper School students. A non-refundable $75 registration fee is due by February 1 for all returning Preschool students. If the registration fee is not paid by February 1, NCCS will assume that the student is not re-registering and will begin attempts to fill the vacant spot. No student may register for the next school year until his or her account is current. A student cannot begin the school year until the registration fee has been paid and the NCCS Enrollment Contract has been signed.

Payments:

Tuition may be paid in two ways:

1. Parents may pay their entire tuition by July 20. A non-refundable prepayment amount of 20% of the annual tuition is due to the school office by May 2. If a student is accepted after May 2, this non-refundable prepayment amount will be due three weeks after the acceptance letter date. As with all fees due to the school, payment must be in the form of a personal check or money order made payable to NCCS. Cash will not be accepted. A penalty of 5% of the total tuition amount will be incurred if the entire tuition is not prepaid by July 20.

2. Parents may opt to make payments using a ten-month payment plan administered by FACTS, a tuition management service. (While families enrolled in FACTS make ten monthly payments, these ten payments are not in any sense tied to the months of the school year.) FACTS charges a once-per-year per family set-up fee of $41. Additional fees may be applicable, including a credit card fee and late fees. These fees are established and explained by FACTS. A brochure on the FACTS program is available from the office.

3. Parents must submit a signed NCCS Enrollment Contract by February 1 for the following school year. In addition, parents electing to utilize FACTS must sign up via e-Cashier by May 20. The FACTS installment plan runs from July to April. Upon enrollment, parents may choose to have payments deducted on either the 5th or the 20th of each month. Tuition payments for the current academic year must be completed before payments for the next year can begin. A penalty of 5% of the total tuition amount will be incurred if the enrollment via e-Cashier is not received by May 20.

Sibling Discount:

A 5% sibling discount is offered beginning with the third child attending New Covenant and on each additional child thereafter. The discount is applied to the youngest child.

Late Enrollment:

Students who enroll in NCCS after July 1 but before the beginning of the school year are required to pre-pay 20% of their tuition (the equivalent of two months’ tuition payments) before the school year begins. Students who enroll in NCCS after the beginning of the school year are required to pay 20% of their tuition before their first day in school.

Late Payments:

If an account has insufficient funds to cover tuition, a late fee will be assessed the family and automatically deducted by FACTS. For each missed payment attempt, FACTS will send a letter to the account holder with instructions on how the missed payment will be handled. FACTS will reattempt to collect the tuition within 15 days of the first attempt.

If the tuition has not been paid within 60 days of the due date, the student will not be allowed to return to class until all outstanding tuition is paid. Each day the student is absent from school because of non-payment is considered an unexcused absence. As stated in the Student Handbook, “Ten unexcused absences in a school year will be considered as grounds for dismissal from NCCS.” NCCS understands that circumstances sometimes arise that bring financial hardship. Good faith is assumed on the part of all parents and/or financially responsible parties. If there is financial hardship, the financial manager must be contacted so that arrangements can be made. Once a formal payment arrangement has been made, the account may be considered current.

All financial accounts must be paid in full by June 30 or a student will be removed from the admission rolls for the following school year.

Early Withdrawal:

Families Making Monthly Payments through FACTS:

If a student is withdrawn from NCCS after a signed Enrollment Contract is submitted, parents are responsible for continuing to make monthly tuition payments until the spot vacated by their child can be filled with a new student.

If a student is found to fill the spot immediately, the parents withdrawing their child are still obligated to make the monthly payment that is due in the month in which their children are being withdrawn. In other words, if a family withdraws their child on November 5 and another student begins on November 6, the parents of the child who is being withdrawn must still make a tuition payment in November. Families need to understand that in this case, a child will have attended approximately two months of schooling but the family will make five monthly payments. Again, the ten monthly payments made through the FACTS service are not in any sense tied to the months of the school year.

If, in the above case, a child cannot be found to fill the vacated spot until January, then the family will continue to make FACTS tuition payments until January, when the vacated spot is filled.

If no other student can be found to fill the open spot, then the family is responsible for paying the full year’s tuition. This is the only way we can carefully and accurately plan our budget and continue to keep tuition as low as possible.

The only exception to this policy is for our three-year-old Preschool students. Families of three year olds have until October 1 to withdraw their children from the Preschool before they are obligated to pay the full year’s tuition.

Families Who Have Prepaid the Whole Year’s Tuition:

If a prepaid student is withdrawn from NCCS and that vacated spot is filled, the family will be reimbursed a prorated amount of their child’s tuition based on the number of remaining monthly FACTS payments that would be due after the vacated spot is filled.

As with students on monthly payments, even if a spot is immediately filled, parents of prepaid students will be obligated for the amount of the payment that would be due in the month in which their child is withdrawn. For example, if a student is withdrawn in December and the spot is immediately filled, the prepaid tuition would only be reimbursed for payments that would have been due in January through April. The equivalent amount of the December payment would not be reimbursed.

No refund will be issued of any prepaid tuition if NCCS is unable to fill the vacated spot. The only exception to this policy is for our three-year-old Preschool students. Families of three year olds have until October 1 to withdraw their children from the Preschool before they are obligated to pay the full year’s tuition.

Relocation:

If a student is withdrawn as a result of a family’s relocation of more than 30 miles from the school, consideration will be given to refunding the remaining balance of the tuition.
