DRJ JUSTIFICATION KIT

DRJ JUSTIFICATION KIT

Providing Justification for Attending A Conference

Attending an industry conference is an excellent training tool, but getting approval to travel to and participate can sometimes be difficult. How can you justify the time off work and travel expenses? While the return on investment is high, you may need to validate to management your reasons for needing to attend.

DRJ has compiled a kit that will help with those needs. We have included several helpful items, including a return on investment letter and a customized letter to management.

It is important management knows the valuable education you will receive at DRJ’s conference. When completing the forms, you should the classes, workshops and courses you will attend and how they will be beneficial to you and your organization. A few ideas to include when compiling your request:

▪ Create a trip report after the conference. This report should discuss the sessions you have attended and how you will apply those to current projects in your organization. Once your managers see how much you have learned during the conference and how it can be applied in your organization, they will be more likely to send you to a conference again. Click here for a sample trip report that may be used when presenting your request.

▪ Offer to share the information with co-workers. Bring home your conference materials to let co-workers share in the conference experience. If desired, you can create a slideshow or other presentation to report to others in your office. DRJ provides complete conference materials to our attendees online. In addition, some class material is handed out directly through speakers. In your request, include the benefits of having this material return to the office with you. For a list of conference materials attendees receive, click here.

▪ If you’ve attended the conference in the past, make note of changes you have implemented in your organization based on information you learned at the conference. Be sure to include mention of specific sessions that were instrumental in the changes. If possible, list any cost savings that resulted from the change. To view past brochures of our conferences, click here.

▪ Calculate the cost of meeting with a consultant. At Fall World 2013, you will have direct access to dozens of industry consultants. Information sharing, question-and-answer sessions and networking are a vital part of the conference experience. The solutions you can find at the conference can save you hundreds or even thousands of dollars in consulting fees. For a list of sessions and speakers who will be at Fall World 2013, click here.

▪ The exhibition hall runs concurrently with Fall World 2013. Attendees have ample time to explore the hall, see product demonstrations and talk with vendors about their services. It is the perfect time to investigate products your company may need, without the expense of doing independent research and travel to the vendor’s site. To see a past exhibitor guide, click here.

▪ Interact with peers who share the same goals in the industry. These networking contacts can be invaluable once you return to work. The contacts you make at the conference can provide input far into the future on a variety of work-related topics. To view a selection of companies who have sent employees to a past conference, click here.

▪ Provide an accurate estimate of expenses you will occur. Be sure to include all travel costs, dining and lodging expenses, and cost of materials. DRJ has many money saving features for Fall World 2013, including meals, travel discounts and more. For a list of DRJ’s money-saving features to include in your report, click here.

A Customized Letter To Management

I would like to register to attend Disaster Recovery Journal’s Fall World 2013 conference. This conference will be held Sept. 22 – 25, 2013 in San Diego, Calif. It offers a number of educational opportunities that I feel will be beneficial to me and to our organization. These opportunities include in-depth sessions, hands-on exercises, workshops and courses. I will be able to attend a number of sessions that directly apply to my ongoing projects at this organization.

Many of the sessions will offer tips on reducing business continuity costs, allowing me to implement cost-saving measures upon my return. A few of the sessions that I am particularly interested in include < insert titles >. I would like to attend these because I feel I will gain < insert > and be able to implement the findings in < insert projects or departments that will benefit >.

This conference offers the best value in the industry and is also the largest dedicated to business continuity. I will be able to interact with hundreds of continuity planners from around the world, allowing me to make invaluable contacts for future problem-solving endeavors.

Sessions are led by some of the most well-known consultants, managers and instructors in the industry. By attending these sessions, I can potentially save hundreds or thousands of dollars in future consulting expenses.

DRJ has been conducting conferences for nearly three decades, and each conference has an excellent reputation for providing reliable and useful information that can be implemented immediately upon my return to the office.

The conference fee is the lowest in the industry, with early registration discounts available for a certain time period. I am asking for funding for the conference fee, travel costs, food and lodging.

DRJ has arranged travel discounts, located the conference in an affordable hotel, and they provide breakfasts, lunches and snacks on three days of the conference. In addition, there are two hospitalities I can attend at no cost where food and refreshments are provided.

I feel attending Fall World 2013 is a valuable experience that would greatly benefit this organization. I will be able to bring home all conference materials, allowing me to share with others in the office and possibly train them if needed.

Thank you for considering this proposal. Please let me know if there is any additional information I can provide to help make your decision.

Return On Investment Letter

DRJ’s conferences have been valuable to thousands of contingency planners from around the world. In the more than 20 years that we have hosted conferences, more than 10,000 business continuity professionals have received a stellar education through our sessions, workshops, courses and more.

DRJ conferences offer the lowest attendance cost of any in the industry, providing a highly cost-effective method for gaining education, certification, networking and awareness training.

At a typical DRJ conference, attendees participate in more than 25 hours of educational sessions, as well as more than 15 hours of direct networking events. Industry professionals who can impart their years of experience onto attendees lead sessions. Many of these speakers are employed as consultants and educators in the industry, often charging more than the conference fee for a single visit with a client.

Most DRJ speakers are accessible to conference attendees both before and after each session, allowing attendees to gain unprecedented one-on-one time with industry experts.

In addition, Fall World 2013 features a concurrent exhibition hall, filled with many of the industry’s top companies and their personnel. Attendees are given free access to the exhibit hall, allowing networking, research and discussion opportunities. This is an extremely good opportunity to explore the newest technology and products, without adding additional costs.

To calculate a Return on Investment, calculate the cost-savings you will gain by attending Fall World 2013. Also make a list of costs incurred from attendance. Third, note the savings.

An example is below to get you started. Fill in the appropriate dollar amounts for your situation. Customize to provide all the gains/expenses you will incur.

Costs Avoided by Attending the Conference

▪ 25 hours of training = $2500 (25 x $100 –cost of in-house training per hour)

▪ Training materials = $200 (average cost of educational books, papers and CD in your field)

▪ Access to vendors = $1000 (10 x $100 – hours spent researching x hourly wage)

▪ 3 meals, breakfasts and snacks = $450 (average cost of hotel meal, snacks and beverages x 3 days)

▪ Networking with peers = $500 (cost of monthly local group meetings x hourly work rate)

▪ Admission to hospitalities, receptions = $300 (entrance fee, food beverage x number of events)

Total = $4950

Expenses incurred by attending the conference

▪ DRJ conference registration fee = (insert your cost depending on discounts/time of registration)

▪ Travel/lodging costs = $175 x 3 (average hotel fee x average time of stay)

▪ Meal costs = (include costs incurred outside of conference hours for meals)

▪ Time away from office = (insert cost of being away from the office)
