Job Description for an Administrator

The administration role is approximately 6 hours per week during Pre-School term time, with 4 weeks holiday pay per year. The rate of pay is £6.08 per hour.

The pre-school administrator:

• Reports to the pre-school committee chair

• Works under supervision of the treasurer

Purpose of the job:

• To maintain all records relevant to the day-to-day running of the pre-school, to fulfil legal and statutory requirements, liaising closely with staff/parents/carers, to contribute to and implement pre-school policies.

It is his/her duty to:

• Administer the LEA grant claim, EYDP forms, headcount and forecasts.

• Assist parents in completing necessary documentation.

• Calculate fees and issue bills.

• Collect money and bank.

• Calculate wages, PAYE and NI.

• Keep accounting records up-to-date.

• Reconcile bank statements.

• Arrange for float to be available for fundraising activities.

• Arrange for insurance and PLA membership.

• Order stationery, new equipment, sweatshirts etc.

• Attend committee meetings, preparing and presenting necessary reports to the chair and committee.

• Update the pre-school website as necessary.

• Keep chair and committee advised of changes in legislation i.e. from Charity Commission, Devon County Council, PLA policies etc.

• Represent the pre-school at such meetings as the chair and/or committee require.

• Liaise with statutory bodies (OFSTED, Social Services, LEA) as necessary.

• Health and safety matters.

• Maintain and up-date staff contracts and training files.

• Arrange staff training courses.

• Attend in-service training.

• Maintain and up-date prospectus, register of interest, application forms etc.

• Encourage parental involvement.

• Implement all pre-school policies and procedures especially those on equal opportunities.

• Keep confidential any information regarding any children, their families or other staff which is learnt as part of the job.

• Prepare parent helper rota, distribute to parents/carers as well as staff and put up on notice board (half-termly).
