Executive Meeting Minutes

Call to Order: Commander Willis Gray called meeting to order at 7:00 PM at Casa Helotes Senior Center,

Welcome Remarks: Commander Willis Gray III welcomed all executive members present and guest Judi Oliver was present on the meeting to speak on behalf of Historian/Hubmaster Sean Oliver who was attending the rosary of a fellow legionnaire.

Reading of Last Meeting’s Minutes: David Kottwitz moved to not to read the minutes from the previous meeting and approve them as written. Mike Gilmour 2nd the motion and unanimously approved.

Committees Reports:

Sgt-at-Arms/Welcome Committee: Mark Ochoa Jr. welcomed all in attendance and reminded everyone to make sure their cell phones are set to the silent mode or turn them off as to not interfere with the meeting.

2. Post had a WAA/membership booth at the Helotes Market day on 1 June. Jaime and Ma. Eugenia Caratini manned the booth. Also N’De Narvaez and Raul Narvaez Jr. were manning a WAA booth at the Walmart on Culebra and Tezel on 1 and 2 June. Commander Gray joined them on 2 June.

Adjutant/Public Relations/Resolutions:

1. Need input for CPR

2. Reminded officers to encourage members to sign-up for and the legion life insurance included in their membership.

3. Need to remind members of the $10 discount for those members who renew 2yrs. Members renewing 2019-2020 and 2020-2021 will pay $72 instead of $82. They will also be entered in the respesctive early bird drawings.

4. Notification of Post Commander & Adjutant, Post Certification form, Certification Eligibility for Officers,Reviewed and Approved Constitution andByLaws were mailed to Department of Texas on 25 May.

6. Received letter from the Auxiliary secretary asking us to share the mailing addresses of the post members to invite the spouses to join the Auxiliary Unit 309. The information will be shared at the next membership meeting to see if there are any objections to sharing the addresses.

7. Information was shared on the new VA mission act.

Finance Report: We are still having problems filing our first IRS form 990 due 15 May. The IRS has not processed National’s request to add Post 309 to the group 501c19 tax excemption. David Kottwitz gave the following financial report:

David Kottwitz moved to approve the finance report. Carlos Vela 2nd the motion and passed unanimously.

Service/VA&R/ROTC: Department Service Officer James Pospisil continues to work on 4 VA cases on behalf of Post 309.

Historian/Hubmaster: Judi Oliver spoke on behalf of the Humbmaster. Expressed concern that no one had done a buddy check on him when he did not attend executive and membership meetings. We explained that the Buddy Check is to have members check on their fellow veterans occasionally to see how they are doing. Also that National had done a campaign encouraging post to do the Buddy Check program during the month of March. She also presented the executive committee with the receipt for the cost of the webpage. Not sure if the webmaster is asking for reimbursement or just pointing out the expense. Need to request password and webpage related information needed to matain the webpage.

Legion Riders: Although the Post 309 Riders had stated they did not need the Post to cater the South Central Texas Quarterly meeting on 8 June to be held at Post 179 in New Braundfels, the Post will step in and provide the plastic and paperware, coffee and doughnuts for the event. Jaime Caratini will be in charge of the catering of the event. The Riders estimated that 8 dozen doughnut will be needed.

Judi Oliver requested to be excused from the meeting after her presentation on behalf of the Hubemaster/Riders’ Director.

Auxiliary Unit: Department presented the Unit 309 confirmation paperwork at 3rd Division meeting on 2 June.

Sons of The American Legion: Will be asking post members to sign-up for dual membership and once the Squadron is up and running concentrate in looking for more members. Dues will be set at $10 for members 18 years or older and free for younger than 18. DD214 or other document confirming eligibility will be required to confirm membership. Mike Gilmour, Jaime Caratini and Carlos Vela (chairman) will be the SAL organizing committee.

Unfinished Business:

a. Post dedication postponed. Date TBD. Al’s computer is down and can’t access the needed information.

b. Last WAA check was received and funds will be disbursed as agreed.

c. Still waiting for Bonded Titles to arrive. Should they not arrive Jaime Caratini will be requesting duplicates of the titles. We are hoping to start repairs on the bikes soon so it can be decided what will be done with them and free up space for the members who are storing them for us.

d. The installation of officers is scheduled during the next membership meeting on 19 June. John Hafner will be the guest speaker and installing officer.

e. Sending 4 boys to Boy State. The cost is $295 plus $50 for shirts per candidate and $100 contribution to the District for transportation.

f. Lubbys fundraiser held on 22 May was a success . We are waiting for corporate to process the receipts.

New Business:

a. We still need to decide if we are going to have a booth at Bandera Pointe or Helotes Market Day in August.

b. Fuddruckers fundraiser is set for 31 July from 4 to 9 PM.

c. Other fundraiser still need to be worked on. (Walmart, HEB and Food Plate Sale)

d. N’De Narvaez will have a list of female hygiene items for Homeless female Veterans to be collected from now until November.

e. We’ll continue to promote that members participate in the Buddy Check programs to make sure all veterans are taken care of.
