You will use this information to log in and navigate to various pages throughout the demo.Open a Notepad session.Copy and paste the tenant, user names, and URLs listed above under Demo home page and login.For <TenantName>, substitute the demo tenant name in all URLs. Optionally, save the Notepad file.Keep the Notepad session open during the course of the demo and use it as needed to log into the demo tenant.Katie Jordan sessionStart a browser session and log into your Office 365 tenant as Katie Jordan (alias katiej).In upper left, click App Launcher (,) and then click OneDrive.In OneDrive, share the Word document Pricing Guidelines for XT1000 with Garth Fort. Clear the “require sign-in” box.Click App Launcher and then click Admin.In the left navigation, click SharePoint.In the left navigation, click Settings.In the Information Rights Management (IRM) section, choose Use the IRM service specified in your configuration, and then choose Refresh IRM Settings.Click App Launcher and then right-click Yammer and select Open in new tab. For details, see the REF _Ref408211162 \h \* MERGEFORMAT Post-Install Steps.Open Word client and add a Katie Jordan account using the demo credentials.Click the File tab.In the left navigation, click Account.Under User Information, click Switch Account.If you already have a demo tenant account for Katie Jordan on the computer, exit this process and close Word.In the Accounts window, click Add Account.Enter the demo tenant credentials for Katie Jordan (see above) and then click Sign In.Minimize Word.Garth Fort sessionIn an InPrivate browser session, log in as Garth Fort (alias garthf). This session will show co-authoring.Click App Launcher, and then click OneDrive.In the left navigation, click Shared with me.Click App Launcher and right-click Outlook, and then select Open in new tab.Click the Options (gear) icon, and then click Automatic replies.If Send automatic replies is selected, select Don’t send automatic replies, and then click Save.Click the back arrow next to Options to return to the Outlook mail view.Click App Launcher and in a new tab, open Yammer. Log into the Yammer session as Garth Fort (garthf) with the demo credentials and click Home to show the posts. If not already selected, click All to show all posts.Join the Finance group:In the left navigation, click Browse Groups.Pause on Finance and click Add. Click Done to confirm.Return to the Katie Jordan session, in the OneDrive for Business tab.Administrator sessionIn a separate or InPrivate browser session, log into the demo tenant as MOD Administrator (alias admin).Click App Launcher, and then click Admin.Windows Phone 8.1:You should have a phone set up with a primary MSA account for Katie Jordan. If you have not set up the phone with the demo hero account, see the instructions in Post-Install Steps section. Turn on the phone, and on the start screen, tap OneDrive.To confirm content in the Personal account, in the Accounts list, tap Personal. You should see personal Documents and Pictures folders.Open the Documents folder and confirm that you can open an Office file. If needed, enter the MSA credentials when presented with a login screen.Tap the back-arrow to return to the files list.The OneDrive for Business view will be the starting point for the Mobile section of the demo. To confirm OneDrive for Business content:At the upper left, click the settings icon ().Tap the OneDrive for Business account that matches your demo tenant.You should see a list of folders and files (your view may not match the screen shot exactly). OneDrive for BusinessScenarioOneDrive for Business is a place to store, sync, and share your work files. As part of Office 365 or SharePoint Server 2013, OneDrive for Business enables you to update and share your files from anywhere, and co-author Office documents with others in real time. This demo shows how Contoso employee Katie Jordan manages her files, engages in co-authoring, posts documents and conversations to Yammer, searches OneDrive content, and uses the new integration features of OneDrive for Business and Outlook Web App to stay connected with her team. The demo shows both the desktop/laptop/Surface Pro experience and the mobile experience. She and her team use Office 365 and OneDrive for Business to manage and sync all their documents. OneDrive for Business lets Katie’s team update and share files from anywhere, and to co-author Office documents with others in real time.This demo will illustrate some of the great new features of OneDrive for Business as we walk through Katie’s daily tasks.OneDrive for Business – quick tourLet’s start with a quick tour. OneDrive for Business is Katie’s place to store, sync, and share her work. The site has a familiar SharePoint look and feel, with easy navigation around the site. At left is navigation to Katie’s entire document collection (Documents), documents that have been shared with her (Shared with me), and documents she is following (Followed).Documents stored in OneDrive for Business are private until explicitly shared. The sharing status of a file or folder is shown in the Sharing column; a “lock” icon means the file or folder is not shared with anyone, while a “people” icon means it is shared.Site Folders is a convenient link to reach content on sites Katie is following.There is also a link to Katie’s Recycle bin. We’ll restoring from the recycle bin in more detail later. Document preview and optionsOneDrive for Business provides a rich inline document preview with options to view, edit, share, or download a copy, without having to leave the preview.Katie can navigate through the document, right in the preview.The preview window has a number of options for downloading or printing the document. Just click the menu drop-down to see them.Optional: Katie can even open the document in a Web App directly from this menu.Just below the preview window, Katie sees some key metadata for the document. Below the metadata are some additional options for editing, sharing, posting the document to Yammer, and more.The main EDIT option would open the document in an Office client program.Katie can also open the document in her phone by clicking the icon next to the hyperlink. This opens a new browser tab with a QR code. This is how Katie would share the document with a colleague.The context menu (…) provides even more document options: view, edit in the browser, check out, follow, and more.With versioning enabled, Katie can see the version history and options for restoring a previous version.Katie will restore a document later in the demo.Delve IntegrationOneDrive for Business integrates well with Delve. Katie’s content will show in her “my work” group, and, depending on how she and others interact with her documents, in her home view as well.The content cards show key metadata for each document, including links to the document locations. For example, Katie can quickly go to her OneDrive for Business by just clicking a link.That concludes our overview of the OneDrive for Business. We will now explore how to add documents, sync files, share and co-author with others, and more.OneDrive for Business – quick tourIn the top navigation bar, click the Office 365 App Launcher, and then click OneDrive.Show links in the left navigation: Documents, Shared with me, etc.Point out that content is private until shared.Show the Sharing column and icons indicating the sharing status of folders and documents.Click Shared with me and show the documents shared with Katie.Click Followed and show the documents Katie is following.Click Site folders and show links to document folders in sites that Katie is following.Optional – show a site folder:Click Sales and Marketing and show the Documents folder.Click Documents to go to the Sales and Marketing Shared Documents library.Use the browser back-arrow to return to Site Folders – Sales and Marketing.In the left navigation, click Documents.In the left navigation, click Recycle bin, show deleted content, and then click Documents to return to OneDrive for Business.Document preview and optionsClick the context menu (…) next to the Word document Proseware Project Budget Audit.Place the cursor in the preview and scroll through the document.Click the down-arrow next to the menu icon (just below the document preview) and show the options.Optional: Click the “full screen” icon and show the document opens in a Web App on a separate tab. Then close the tab and return to OneDrive for Business.Show the metadata: Changed by, Shared with, and the hyperlink.Click the phone icon next to the hyperlink and show that you can open the hyperlink directly on a phone using a QR code from a new browser tab. When done, close the tab.Show the options at the bottom of the preview: Edit, Share, and Post. Click Share and explore the sharing window. Do not take any action at this time; close the window when done.Click the context menu at the bottom of the preview and show the options.Click Version History and show the version history and options.Close the preview window.Delve IntegrationSwitch to the Delve tab.Show Katie’s home view.Note: her home view may not show content from her OneDrive.In the left navigation, click My work.Show content from Katie’s OneDrive.Note: there may be content from other sources as well.Explain that links take you directly to the document source.Click Katie Jordan’s OneDrive in one of the content cards and go back to OneDrive for Business.Add and Sync ContentSpeaker ScriptStepsAdd contentKatie has several options for adding new content to OneDrive. One is to create a new Office document right from OneDrive in a Web App.Katie can also upload documents from her workstation by using the UI in OneDrive, or by drag and drop.Sync filesWith OneDrive, Katie can synchronize files across all her devices and access them anywhere in File Explorer, both online and offline. When she syncs OneDrive for Business files with her computer, she can access them from her desktop even when not connected to the Internet.To sync files to her computer, she needs the OneDrive for Business sync app, available with an Office 365 subscription that includes Office 2013 desktop applications. The local sync app keeps Katie’s files synced whenever there are changes.The app creates a Favorite in File Explorer that points to Katie’s OneDrive for Business.At the top of the Documents page, click new.Show the options for creating a new Office document or a new folder.Click Word to show a new document opens in Word Web App.Click the browser back-arrow to return to OneDrive for Business.At the top of the Documents page, click upload.Show the Choose file to Upload window, then close the window.At the bottom of the document list, show Drag files here to upload.Sync filesAt the top of the Documents page, click sync.Show the Sync this library to your device for easy access window.Show the Sync now icon, but do not click it at this time.Note: to save time, the library was synced during pre-demo setup. Optionally, you may show the sync process in real time.Switch to File Explorer.Under Favorites, click OneDrive for Business.Show the synced files.Modern Attachments and Enhanced Document CollaborationSpeaker ScriptStepsA common frustration with email today is dealing with attachments. Maybe you’ve asked for feedback on a document only to have to merge back changes manually from all the recipients. Maybe you need the context from someone’s email to help inform the review of the document he or she included, and have to keep toggling back and forth. Even if you’re leveraging the cloud for storage and collaboration, sending links to files can be tedious. All of these tasks are now much simpler, thanks to deeper integration of OneDrive with Outlook Web App.Let’s suppose Katie wants co-worker Garth Fort to look over a document draft and make any needed edits before sending it to management. She of course wants Garth to have editing permissions on the file. In addition, Katie wants to co-author one “definitive” version of the document—eliminating the traditional hassles of merging or syncing changes among multiple versions.The process begins when Katie chooses to add a file as a OneDrive “attachment” to an email message to Garth.Note that she has choices for how to share the file. She chooses to share the file with OneDrive.Files shared in this way have a “cloud” image on their Office document icon, showing the document is shared from OneDrive for Business.By default, everyone in the To: and Cc: lines has permissions to view and edit the file. It is easy to change these permissions if needed.Katie sends the email to Garth.Switch to the Katie Jordan – Outlook tab. If it is not open, click the App Launcher and then right-click Outlook and select Open in new tab.At the upper left, click New.Fill out the fields as follows:To: Garth FortIf the name does not resolve, click Search contacts and directory.Subject: Document ready for editsBody: Hi Garth, please look at this document and make edits as needed. Thanks.Click Insert, and then click Attachments or OneDrive files.If you see a “Bye bye copies…” message, click Close.Point out that OneDrive as well as local files are available for attachment.In the left navigation, under OneDrive – Contoso, if My files is not already selected, click My files.Click Proseware Project Budget Audit to select the file and then in the upper left, click Next.Point out the choices for how to share the file.Click Share with OneDrive. The file shows in the email.Note the cloud icon in the “attachment” showing the file is being shared from OneDrive for Business.Click the down arrow and show the options to manage permissions or download the file. Click out.In the upper navigation, click Send.Co-authoringKatie will now co-author the Proseware Project Budget Audit document with Garth.Katie will be working in Word client, while Garth will be editing online in Word Web App.Katie opens the document for editing in Word.Garth connects to Outlook in Office 365, reads Katie’s email, and opens the same document for editing in Word Online.Garth can see that Katie is also editing the document.Garth makes some edits to the document.Now Katie can also see that Garth is editing the document.Katie makes some edits of her own and saves the document.Once Katie saves, she can see Garth’s edits.Now, Garth can also see Katie’s changes.After Garth completes his edits, he sends a reply to Katie’s original email.Katie’s sees Garth’s reply and knows the document is now ready.She closes her Word client.Co-authoringStill in the Katie Jordan session, switch back to the OneDrive for Business tab. If not open, use App Launcher.In the OneDrive Documents page, click the context menu next to the Word document Proseware Project Budget Audit and select Edit. The document will open in Word client.If your screen size and resolution allows, split the screen between the Word client and the Garth Fort Browser session.Switch to the Garth Fort browser session and if not already open, open Outlook Online from the App Launcher.Show the Document ready for edits email from Katie Jordan.Click Proseware Project Budget Audit. The document will open in a Word Web App pane, right in Outlook.At the upper right of the Word Online pane, click Edit and reply.Note that a draft reply email displays and the document opens for editing in Word Online.At the top right, click Katie Jordan is also editing. Note, this message may not display right away, but should show in 10-15 seconds.Show that Katie is editing the document offline (in Word client).As Garth, make an edit in the text on the first page.Go back to Word client (as Katie Jordan).At the bottom of the screen, show that two people are editing and click the “people sharing” icon. Click out. As Katie, edit the title of the document as shown.At the upper left, click the save icon to save Katie’s changes and see Garth’s edit.If you see a File Updated window, select the first option (Combine your changes with the other authors’ changes…) and then click OK.Show the changes by both authors.Go back to the Garth Fort browser session.Show the same changes by Katie in Garth’s online session.In the email pane, send a message back to Katie saying, “OK, I made some edits, it’s good to go!” and click Send.Switch to Katie’s Outlook Web App in the browser and show the reply from Garth.Switch to Katie’s Word client app and close the app.Return to Katie’s OneDrive for Business tab.Yammer Integration: Document ConversationsSpeaker ScriptStepsNote to presenter: at of this writing (December 2014), the Document Conversations feature was enabled on select tenants only, and for a subset of users. If you do not see the Yammer icon as described in step 2, skip this section and move on to REF _Ref408211575 \h \* MERGEFORMAT Smart Search.In addition to collaborating on documents via modern attachments, Katie’s team can also engage a social experience while doing so. Increased integration between Yammer and Office now enables document conversations. Simply put, this feature embeds the social collaboration capabilities of Yammer into the Office apps Katie and her team use to get work done every day. Document conversations are a simple way to collaborate on the content they produce with Office Online and store in the cloud in SharePoint Online or OneDrive for Business. Katie and her teammates can now share their ideas and expertise around Office documents, images and videos right from within the content they are editing or reviewing. Because it’s Yammer, the team can also view and participate in conversations outside the document, on a mobile device, in Microsoft Dynamics CRM, or any app with an embedded Yammer feed.Katie starts a collaboration session with the Finance team on a pricing guidelines document.Garth sees the Yammer post and opens the document in Word Online directly from Yammer. Now, he can edit or co-author the document with Katie or with other team members. At the same time, Garth can contribute to the associated Yammer conversation, right in Word Online.In Katie’s OneDrive for Business, click the Word document Pricing Guidelines for XT100. The document will open in Word Online.Click the Yammer icon at the upper right of the page.In the Yammer Conversations pane that opens, click into the message box and type Hi team, let’s get together to review and revise this document before the end of this week.Click the X next to All Company and then in the pull-down, click Finance.Click Post.Switch to the Garth Fort browser session and then switch to the Yammer tab. Refresh the page.Show the post by Katie asking to collaborate on the pricing guidelines document.In the post, click the title link next to the Word icon. The document opens in Word Online.In Word Online, if not already open, open the Yammer pane and show the conversation started by Katie.Smart SearchSpeaker ScriptStepsSearching for documents within OneDrive for Business is fast and intuitive. A new interface, called Smart Search, enables users to find the most relevant files quickly. It begins to retrieve results as you type.Search results display in a popup that shows key metadata such as the document type, author, and location.Optional: Katie can open the document directly from the search results list.By default, the search scope is OneDrive for Business. However, Katie can also search across the entire site collection by clicking Search Everything.Search Everything takes Katie to the Search Center, where a more comprehensive search experience is available.At the upper left, in the search OneDrive field, type budget and press ENTER.Show the search results pop-up with the search term highlighted.Point out the various source locations (for example, My Documents, Shared with Me, Contoso documents).Click the down-arrow next to one of the documents and show additional detail: highlight the search term, “modified by” author, and (if appropriate), a sharing icon (circle with dots).Optional: Right-click the title and select Open in new tab to show the document opens in a Web App. Then close the tab and return to the documents list.Click Search Everything and show results from the entire site collection.Use the browser back-arrow to navigate back to OneDrive for Business.Document RecoverySpeaker ScriptStepsDocument recovery—versioningIf we make many edits to a document, undoing all of them individually would be impractical. With versioning, it is much simpler to roll back to a previous version of the document.Katie decides to undo the changes that she and Garth made to the Proseware Project Budget Audit document.Document recovery—recycle binOneDrive for Business has a recycle bin, just like other SharePoint libraries. Katie can restore a file from there very easily.Here, she restores an Excel file that she accidentally deleted earlier.Still in the Katie Jordan browser session, switch to the OneDrive for Business tab.Click the context menu for Proseware Project Budget Audit.In the preview, click the context menu again and then click Version History.Note the version list. There may be multiple versions of the document.In the pull-down next to the original version (1.0), click Restore, and then click OK to confirm.Show the restored version. It will have the latest version number and will now be the “current version”.Close the Version History window.In the left navigation, click Recycle bin.Click the box next to RD And Engineering Costs Q1.xlsx previously deleted from OneDrive for Business.Click Restore Selection.Click OK to confirm.In the left navigation, click Documents.Show the recovered document.OneDrive MobileSpeaker ScriptStepsNote to presenter:While this demo illustrates the Windows Phone 8.1, similar experiences are available on other devices including the iPhone, iPad, and Android devices. She no longer needs to log in and out of multiple accounts just to switch contexts, saving time and making it easier for Katie to balance work and home documents, schedules, and tasks.Katie starts by reviewing her work documents.Browse OneDrive for BusinessIn OneDrive for Business, Katie can view or add files, create new folders, or select files from the context menu.Katie can open a document and scroll through it.She can also share, edit, save, and search the document.Switch to the Windows Phone 8.1 and awaken it if needed. It should show Katie’s OneDrive for Business content.Browse OneDrive for BusinessShow the folders and files on Katie’s OneDrive for Business.At the lower right, click the context menu (…) and show the options. When done, click the context menu again. Scroll down if needed, and then tap the Word document Proseware Project Budget Audit. Show it opens on the phone.Scroll through the document.Tap anywhere in the document to open the menu.Tap the context menu (…) to show the full menu options.Tap the back-arrow twice to return to the file list.File optionsKatie can manage her files right on her mobile device.Options include deleting, moving, sharing, or downloading files.File optionsTap the select icon.Tap the Word document Proseware Project Budget Audit to select it.At the bottom right, tap the context menu.At the bottom of the screen, show the options that display for the document: delete, move, share, and download. Browse Personal OneDriveKatie can switch between her business and personal OneDrive content quickly. While taking a break, she switches over to her Personal account.Katie can view and manage personal schedules, recipes, shopping lists, vacation plans, and photos, and similar files right from OneDrive.After her break, Katie can return to her work documents in the same way that she switched to her personal content: right from the Settings menu.Browse Personal OneDriveTap the Settings icon at the upper left.Under Accounts, tap Personal.Tap Documents.Show the personal documents list (your view may not match the screen shot exactly).Optional: Open an Office document to see it on the phone.Tap the back-arrow to return to the folders list.Optional: tap Pictures to view image files (your view may not match the screen shot exactly). When done, tap the back-arrow to return to the folders list.Administrative controls and eDiscoverySpeaker ScriptStepsWe will now explore some administrative controls that apply to SharePoint and OneDrive for Business. For this section, you will use the MOD Administrator browser rmation Rights ManagementInformation Rights Management (IRM) enables you to limit the actions users can take on files downloaded from lists or libraries. IRM encrypts the downloaded files and limits the set of users and programs allowed to decrypt these files. IRM can also limit the rights of the users allowed to read files, so they cannot take actions such as share or print copies of the files or copy text from them.On a site, you apply IRM to an entire list or library, rather than to individual files. This makes it easier to ensure a consistent level of protection for an entire set of documents or files. IRM can thus help your organization to enforce corporate policies that govern the use and dissemination of confidential or proprietary information.In addition, you can sync your IRM protected documents on OneDrive for Business. The IRM protection stays in place whether you open file on Office Online or on a local folder and continues to apply the settings even if you make edits to the file in both locations.To apply IRM to a list or library, you must have administrator permissions for that list or library.Stay in or switch to the MOD Administrator browser session. You should be in the Office 365 admin center.In the left navigation, under Admin, click SharePoint.In the left navigation, click rmation Rights ManagementEnable or disable IRMShow the settings in the Information Rights Management (IRM) section.Set IRM options for a list or libraryUsing the App Launcher, navigate to OneDrive for Business.Click the Library tab.In the Settings group, click Library Settings.Under Permissions and Management, click Information Rights Management.Click Show Options.Review the IRM options and settings. Each user in your organization is the owner of their OneDrive for Business site, which is located in the site collection named default, an Office 365 global administrator or compliance manager can’t use the eDiscovery Center in SharePoint Online to search any OneDrive for Business sites. If you closed the tab, Click App Launcher, and then click Admin, then in the left navigation, under Admin, click SharePoint.If not already shown, in the left navigation, click site collections.Click the site collection the pop-up, click the Web Site Address link.Click Create new case.Give the case a title Test case 1 and a site collection link test1.
