E-data Cheat Sheet

✓ Access E-data at (Notice there is an “s” after http)

✓ You will need a user ID and Password. The data administrator (Kim Gavlick) will be creating these and contacting you with your ID and Password.

VERY IMPORTANT--Keep this information in a secured location.

✓ You will have VIEW ONLY status within the system. This means, that you will not be able to add, change, or delete any information. If you find data entry errors, please report them to the data administrator or the data entry person (TBA).

✓ At the Welcome Page enter your USER ID & PASSWORD as provided to you. **Remember, the first time you log in, the system will ask you to create a password that only you will know.

• Must be at least 8 characters in length

• Contain at least one numeric character

The next time you access E-data you will use your new password.

**If at anytime you have forgotten your password, it will have to be reset by the data administrator.

✓ Use the tabs at the top of the Main Page to access the information on Adult (Learners), Families, Child(ren), Class(es), etc.

✓ Within each file type, you will find a search page. Use this to search for learners’ by their first or last name. Click on the FIND button to see a list of everyone in the file type.

✓ **Remember E-data operates as a website. Any word highlighted Blue and/or underlined is a link that will take you to another screen.

Accessing an Adult’s file:

✓ After you have searched for and clicked on the adult’s last name, the first screen you will come to is all the information that has been provided on the enrollment form. (You will need to scroll down to see all the information.)

✓ Links on the left side will take you to Goals, Assessments, and Hours information.

Accessing Class files:

✓ Clicking on the CLASS tab at the top of the screen will bring you to the Class Search screen.

✓ As with the Adult files, you can search for a class by typing in the class name or see the entire list by clicking on the FIND button.

✓ Once you click on the class you want to view, you will see all the students in your class by clicking on the ADULT ENROLLMENT link to the left. You will also see how many hours each student has for this fiscal year.

✓ [pic]You can print the pages you see at any time by clicking on the PRINTER icon in your tool bar.

Accessing Family files:

✓ If an Adult is enrolled in Family Literacy, she will have a Family file as well. You can view family information from the FAMILY tab at the top of the screen.

✓ Search criteria is the same and once you have found the family you are looking for you will see all the information provided on the intake forms.

✓ To the left, you will see links that will take you to the FAMILY GOALS and ASSOCIATED ADULT & CHILDREN files.

**Please Note**Reports in E-data are for showing performance standards. E-data does have the capability to export information to Access or Excel for further analysis. At this time, we are not trained thoroughly enough to say whether we will be able to provide similar reports to each instructor as we did with LitPro. For now, we will be depending on you to keep track of your students through E-data. As the E-data system becomes more advanced and we obtain more training, we hope to be able to provide more in depth reports to you. Please bear with us during the time of change.
