Direct Mail Campaign Checklist

• The Chapter (along with the Director) should earmark a regular Chapter meeting to which potential candidates for membership should be directed.

• The Chapter should proofread the draft letter to determine whether or not the Chapter specific information (i.e., date, time and location) is accurate and that the letter has the appropriate tone.

• Do training related to the 30 Second Commercial prior to the Guest Drive.

• Set up temporary officers for Chapters who do not have established officers yet for the purpose of running a structured meeting during the Guest Drive.

• Have each member target approximately 5 to 10 prospects by brainstorming on specific categories the Chapter is trying to fill (see next page). Have them provide a complete list, guest name, company name, address and phone number to enter into the database. Do this approximately three (3) weeks before the Guest Drive.

• For each name provided, the Chapter Member should provide one of their business cards for each prospect.

• The Chapter will produce a personalized letter for each name provided (and will include with the letter a business card for the Member providing the name of the potential candidates for membership.

• Prior to the letters being mailed (which is typically seven (7) calendar days prior to the slated meeting), each Chapter Member should contact their potential candidates and indicate that they will receive a letter inviting them to the slated meeting.

• Make sure everyone does his or her part the day of the Guest Drive. Each Chapter Member should arrive to this meeting at least 15 minutes early to assist with welcoming guests. The Hospitality Chair meets each prospect. Name badges and guest lists should also be completed for each guest. (Speaker will need guest list to use during presentation.)

• The speaker the day of the Guest Drive is the Director, doing the presentation for 20 minutes on AMSPIRIT BUSINESS CONNECTIONS. Give examples of referrals and core groups. (Try and use guests as examples so they can see how it will work for them.)

• Membership Chair follows up with Thank You notes, welcoming the guest back again, and each member should contact their guest after the meeting for follow-up.
