Degree Congregations for the Henley Business School will be held on Friday 25 September 2015.

Email invitations to the ceremonies will be sent in August. Please keep us informed of any changes to your contact details if you are due to graduate.

The Degree Day takes place in Henley on the Greenlands campus.

Invitations

Attending the ceremonies

If you wish to attend a ceremony

Reply personally to the invitation and accompanying instructions on the RISIS web portal, by the deadline of Friday 21 August 2015. You can log in using your student number (eight digit number) as login ID and date of birth as password. Further instructions will be included in the invitation email. Please note that only two guest tickets can be guaranteed for each graduand attending the ceremony who responds by the deadline.

To graduate in absence

Reply personally to the invitation on the RISIS web portal by the deadline of Friday 21 August 2015. This is necessary in order to confirm the spelling of your name for your certificate and also to let us know to which address you would like your certificate to be sent.

Please note: Certificates will not be sent if graduands have not registered via the RISIS web portal.

Deferring

Reply personally to the invitation on the RISIS web portal and select the option to defer. You can defer to the next set of ceremonies in 2016. You will not receive your certificate until that date.

If you do not register you will automatically graduate in absence and your certificate will not be sent.

Debts

All debts must be cleared by Friday 14 August 2015. Those owing ?50 or more will not be permitted to graduate. If less than ?50 is owed the certificate will be withheld until the debt is fully cleared.

Academic Dress

You will not be permitted to participate in the ceremony if you are not in Academic Dress. The University gown hire supplier is Ede and Ravenscroft.

It is recommended that you wear a buttonthrough top or shirt. Bags and personal belongings should be left with guests during the ceremony.

Pay by credit or debit card (all major cards accepted) and receive your confirmation and order number.

Ede & Ravenscroft cannot supply an order later than 21 days before a ceremony. If you have not booked your robes, payment by cash should be made on the day. Please contact Ede & Ravenscroft for on-the-day prices.

Please note: If, nearer the time of graduation,there appears to be a disproportionate number of students at one ceremony intending to graduate in person, the Graduation Office reserves the right to move some programmes to the other ceremony. On the day

Travel

The 800 and 850 bus services run between Reading and Henley. More information can be found online at arrivabus.co.uk/800---high-wycombe-to-reading.

There is parking provided at Greenlands for those travelling by car. Directions for getting to Greenlands can be found at henley.ac.uk/about.

Tickets

Graduands sit in a separate seating block in the marquee, (see 3 on

map), and are seated in programme order. Please ensure you go to the

Processions Room, (see 12 on map), 30 minutes before the ceremony start

time to be registered and put in procession order.

Graduands who have registered by the deadline are entitled to two guest tickets. These will be issued on the day and should be collected prior to

registering in the processions room from the Bar Common Room (see 16

on map). Graduands do not need a ticket for themselves.

Suggested Dress for your guests

Dress should be in keeping with the formality of the occasion.

Arrival time

Graduands should arrive 90 minutes before the start of their ceremony to allow for collection of robes, guest tickets, alumni pin and registration in the processions room.

Collection of Robes

Robes will be ready for collection at the Greenlands site on the day of

your ceremony from the Institute of Directors room, (see 6 on map).

Remember to bring your order confirmation with you on the day. Assistance will be given with robing. Hats should be worn during the ceremony.

Please return your robes to the robing return, (see 7 on map), before

you leave the Business School.

Graduand registration

Please go to the Processions room, (see 12 on map), 30 minutes before

the start of your ceremony to register. Guests should make their way to the marquee 15 minutes before the start of the ceremony.

Marshals will line graduands up in procession order. It is vital you stay in procession order or you will be marked absent or the wrong name read out.

Please note if you are not in the processions room 30 minutes before the ceremony start time you will not be permitted to join the ceremony and will be admitted in absence to your degree.

The ceremony

A marshal will lead graduands from their seat and process them down the side of the marquee. DBAs and PhDs will be presented first, followed by the MBAs and Masters. After the presentation formula has been announced the Dean will present graduands individually. You will ascend a short flight of steps, cross the stage, shake hands with the Chancellor or Vice-Chancellor and descend by the steps on the far side. You will then collect your certificate and return to your seat.

Children: Important Notice

Please note that Graduation is not a child friendly event as the ceremonies are lengthy and it is not easy to leave discreetly. Whilst children are allowed into the ceremony, if you bring any children on to the Business School site on the day of graduation, you are entirely responsible for their care and safety.

Children are allowed into the marquee but children aged three or older will need their own ticket, two and under can sit on laps.

The river is a particular hazard; you should exercise great care at all times and avoid the risk of any child falling into the river by ensuring that the children in your party do not go too close to the river bank. There are other areas of water, e.g. ornamental ponds and a stream on the site which may also be hazardous.

For this purpose, the definition of a child is anyone under the age of 18 years.

Admission to the Business School Grounds

Admission to the Business School grounds on the day of the congregation is limited to those who have indicated that they will attend and their guests.

Please note that dogs, except for assistant dogs, are not allowed on Business School property.

Ceremony Programme

A programme giving the order of proceedings at the ceremony and a complete list of all those graduating will be available on the day of the congregation.

Cloakroom Facilities

Cloakroom facilities are available for hang-ing outdoor coats, etc.

(see 1 on map). There are also secure lockers, which are operated by a code system. Insturctions are on the inside of the locker door, (see 17 on map).

Business School Shop

The Business School shop will be open with a range of Henley Business

School merchandise, wine and jewellery (see 10 on map on page 14).

Extra Guest Tickets

Each graduand who attends the congregation is entitled to two guest tickets. If you wish to be added to the waiting list for a third please indicate this on your portal when you reply. There is no guarantee of extra tickets.

Extras will be allocated by the Graduation Office three weeks before the ceremony so please do not make arrangements which rely on extra tickets being made available to you. There is a video relay room where guests without tickets can watch the ceremony live.

Mobile phones

Graduands and their guests are asked to ensure that, if they are carrying a mobile phone or electronic device, it is switched off during the ceremony.

Refreshments

Tea and coffee will be available before each ceremony in the marquee on

the lawns, (see 2 on map). There will be a light finger buffet after each ceremony in the Heyworth Room, (see 4 on map). Alcoholic drinks will

be on sale.

Wheelchair/Disabled Persons Access

Please advise on your portal if access for wheelchair or other facilities for disabled visitors will be required, or if you need special arrangements to be made.

Photography

The official portrait photographers, Ede & Ravenscroft Photography, will operate studios in River House at the Business School on the day of the

ceremonies, (see 10 on map).

If you wish to pre-order photography, please do so on the website at gownhire.co.uk when you order your gown. Photography can also be ordered on the day.

Accommodation

There are only a few rooms available at the Greenlands site for graduation. Rooms can be booked via reception. The websites below offer information on local facilities and accommodation.

Notification of filming

Please note that filming will take place in the ceremony. This footage will be used for the web feed and to create commercial and publicity materials. Owing to the short time frame in which these are produced it is not possible for you to opt-out and therefore images recorded at graduation will assume the permission of individuals who choose to attend.

We regret that the use of personal recording devices is not permitted in the marquee during the ceremonies.

Live web streaming

The ceremonies will be streamed live on the internet at the following address: reading.ac.uk/graduation/news/grad-live.aspx.

Graduation DVD

Visions Unlimited is a well-established company specialising in graduation ceremonies. They produce high-quality DVDs during the ceremony which are available from the DVD Sales Desk directly after the ceremony is over,

(see 10 on map).

Documents you need to bring with you if you are attending a ceremony

? Robe hire order confirmation. ? Photography order/acknowledgement form, if applicable.

International partner network graduands

Formal registration must take place on the RISISweb portal. Emails sent to your administrator cannot be accepted in place of registration.

If graduating in absence, some International Partner Offices will send certificates on behalf of the Graduation Office.

For information on travel and accom-modation, please speak to your experienced local International Office or Programme Administrator.

To enquire about lost property after graduation, please contact the Palmer Building Reception by calling 0118 378 7150 or emailing reception@reading.ac.uk. Found property will be kept by the University for six weeks, and if unclaimed, will be donated to charity.
