DECEMBER SIA MEETING- DECEMBER 29TH, 2020ALTERNATE CHAIR (Lee)- Joyce from Home for Dinner read the 12th tradition and Lee read the 12th concept. Usually, Lee does orientation for new group reps at 7pm before the SIA meeting but due to COVID, he is putting his phone number in the chat box so the new group SIA reps can call him, and he can walk them through the orientation process. The new reps are - Pinky from A Moment of Clarity, Patty from Bayshore Sunrise Sobriety, Adrienne from Eastport Serenity, and Kathy from Smithtown St. Patrick’s, and we want to welcome Joyce back from Home for Dinner in Deer Park.TREASURER- (Laurie)- Laurie shared the December 2020 Treasurer’s Report. Groups are still making donations, so are individuals. Bills are getting paid. Treasurer report in the chat box. David placed link to the report in the chat box and the was approved.CORRESPONDING SECRETARY (Stacy)- Mailings went out last month. Starting to get new mailings on this week.RECORDING SECRETARY (Zoie)- December secretary report is on the SIA website. Taking minutes now. The secretary report was mailed out with December's mailings. Will type out the minutes out and email them out by Sunday and go to the SIA office on Monday and print 430 copies for the mailing and fold them and get them ready to send them out with the rest of the mail.ARCHIVES (Bob)- Great month. Nine people wrote about their experience, strength, and hope on the coronavirus and how it affected their sobriety and/or their group's sobriety. He is encouraging others to write their experiences and email it to him. He is putting his contact information in the chat box. All these stories will be stored in the SIA office for future generations. He is looking for people to take pictures of meeting places and the history of AA of what these meeting places represent. He is also looking for a website Archives chair. Someone who is tech savvy to help him. Also, he made known to us that there is a meeting in Africa and people all over the world go to it and they need speakers, and you can contact them via email, so he put the contact email information in the chat box if you are interested in speaking at that meeting. He suggested that speaking there is an awesome experience.BULLETINGS (Fran)- not hereCORRECTIONS(Rob)- Nothing much to report. Riverhead jail and Yaphank jail are still not allowing us to come bring AA meetings to the jails due to COVID. After the first of the year, he is going to reach out and email the jails and find out when they think they will allow us to go back in. If anyone is interested in speaking at jails or chairing a meeting there, there is a specific application guideline you must follow. It takes time to get approved. He is posting the application in the chat box if you are interested in applying. Make sure you don't have a warrant out for your arrest - most importantly! You must get clearance by two sergeants. You can fill out application online and they need a copy of your driver's license.GRAPEVINE AND INSTITUTIONS (Jackie)- First of all, I want to thank Jackie for doing both positions. She is doing a phenomenal job! She didn't get a chance to do a grapevine raffle this month which she started last month, and the winner receives one of the newest grapevine books. If you are interested in participating in next month's raffle you can call her or email her, she is putting her contact information in the chat box. She has all the newest grapevines and all the newest books and all the books that grapevine published, along with cassettes, CDs, pictures, and slogans. She is moving inventory. If you are interested in purchasing a book, a grapevine or a CD or any of the above, all her information is in the chat box. As far as institutions are concerned, she is looking for people to chair meetings at St. Charles at 7:30 pm on weekdays and 10am on weekends. Again, if interested, her information is in the chat box and she will walk you through it.LITERATURE (Tommy)- He is running low on beginners’ packets. Hard to get a hold of the people he is ordering from. He calls for orders every 3-4 days and sometimes he must wait ten days to get return phone calls.HOTLINE (Jeff)- January is completely filled. His new assistant is Pinky from the A Moment of Clarity group so if you get a phone call from her don't be alarmed, she is in charge of the google sheet and volunteers to call people who are doing the hotline. There is a new system that is in place with the hotline that David installed called the Grasshopper and he authored a new Hotline Quick Start Guide available at for the benefit of all future volunteers. If you get a call from someone calling you for help you will be shown a number which is 631-676-8025 and that is the number that shows up on your phone telling you that it is someone from the hotline that is calling you so you can differentiate the difference between hotline calls and personal calls so you can answer your calls properly. It tracks all hotline calls. If you are doing the hotline and want a book, Jeff put his number in the chat box and he or someone else will get you a book, but all the information that you need to do the hotline is on your phone or on your laptop, or any electronic device you use. Jeff is going away in January so someone else is taking his place. I just talked to David, website chair, and he is in charge for the first week in January. The phones are back to 8am-8pm, but with the Grasshopper you now can split up the shifts to having them for just a few hours if you want which, will break down the day, so you don't have 12-hour shifts.MEETING LIST AND WEBMASTER- (David)- There is a New Year’s Eve and Day marathon at the Trinity Group and David posted it in the chat box with the id number and password. It is also on the meeting guide app and on the SIA website. The Virtual Speaker Exchange is doing exceptionally well. This month 15 groups attended. Meeting list is up to date. This month because of various reasons related to COVID or the Holidays, a dozen groups had to close temporarily. At the end of February NYIntergorup will no longer be providing Zoom meeting IDs anymore. To learn more visit this link. SIA kindly ask that you submit a Meeting List Update Form if you need a change made to your group’s listing To denote an online meeting use place an ONL before the meeting format/time. A reminder again that starting in March, if you group received it’s Zoom Meeting ID via NYIntergroup’s Zoom license, you will instead need your own Zoom account and Pro License. PUBLIC INFORMATION- (Danny)- He emailed all libraries in Suffolk County. Out of 50-65 libraries, only 5-6 responded. Some wanted Big Books in Spanish. He will send out an email for a public relation meeting he wants to have next month.OFFICE MANAGER- (Big Mike)- SIA office doing well. Nice group of volunteers. 1-2 people are waiting for positions to open at the office. He wants Danny from public relations to put in an order form when he gets literature for libraries, and other institutions so he can track the literature that is going out and the money that is going in and out.CHAIRPERSON- (Jean Marie)- No old business to discuss. Jeff will explore eliminating the Verizon line for the hotline, now that we are migrating to Grasshopper. We’ll wait a month or two before make this decision. The hotline 12 step volunteer list that was previously distributed via a private link that expired once a week, will now be available on the website on a password protected page, where the password will change on a weekly basis.NEW BUSINESS- 7th tradition now takes credit and debit cards, Paypal and ACH Bank Transfers.
