Am I required to use Microsoft Exchange and Outlook?

Absolutely not.

The Microsoft Exchange with Outlook email system is offered as an alternative to U-Connect, not a replacement. There is no requirement to make a transition from U-Connect to Exchange. It is entirely a departmental choice.

Exchange is offered because it has more business and collaborative features (e.g., task management, shared calendars, public folders, etc.) than the U-Connect email system.

Who is eligible for an Exchange account?

Under the University’s Microsoft campus-license agreement, regular full-time and regular part-time UK faculty and staff are eligible for Exchange 2000 accessed via Outlook. (Note: Confirmation of employee status can be obtained from college and/or department business officers.)

Who do I contact about implementing Exchange?

Because the transition from U-Connect to Exchange requires minor adjustments at the desktop level to support a new software program, the assistance of your college and/or departmental technology support personnel is required.

Medical Center/Hospital colleges and departments interested in implementing Exchange 2000 should contact Eric McWhorter, Medical Center Information Systems (323-9138 or emcwh2@email.uky.edu).

All other colleges and/or departments should contact the IT Customer Service Center (257-1300). The CSC will work with your college technology support team to develop an Exchange-deployment strategy for your department.

What is the process for getting an Exchange account?

University computer accounts can be activated in two ways.

• Complete the Computing Accounts Form found under Forms on the UK Site Index (). (Note: The Sample Form posted to this site will give you an idea of the information required. Also, please remember that your department chair, director, business manager or security liaison must sign the form and provide an FRS Account number.)

When completed, send or bring your form to the IT Customer Service Center (111 McVey Hall, 7 a.m. to 6 p.m. M-F). You may also fax it to the CSC: 257-9374.

• If you are unable to access/download the online Computing Accounts Form, your department chair, director, business officer of security liaison may email the required information (see Sample Form) to: accounts@lsv.uky.edu

Exactly what is “Microsoft Exchange accessed through Outlook”?

Microsoft Exchange Server is software that runs on a network server to provide email delivery and other groupware services. Outlook is software that runs on your computer to provide access to the email and groupware services provided by the Exchange server.

Why is the University providing Microsoft Exchange?

The University is committed to providing UK community members with a top-tier electronic communication and collaboration environment. The collaboration tools offered by Microsoft Exchange respond to this goal.

What is the cost of this new service?

The University is providing this new option at no charge to regular full-time and regular part-time faculty or staff.

How will I access my Exchange account?

You can access your Exchange account via the Microsoft Outlook program on your computer. Please refer to the Exchange documentation (uky.edu/email/exchange/docs.html) for information on downloading and installing Outlook.

If you are away from your computer, you can login to your mailbox via Outlook Web Access (). This site allows you to reach your Exchange account by using a web browser (Netscape Navigator 4.7 and up, Internet Explorer 4 and up).

Note: Exchange accounts are only accessible through the Outlook client and Outlook Web Access. No other email client (e.g., Eudora) or Web access client (e.g., U-Connect) is capable of accessing an Exchange account.

I’m already an Exchange user. Do I need to do anything?

If you currently use Exchange accessed via Outlook, please be aware that Exchange email services will be moved from the University’s old server to a new Exchange 2000 server. Therefore, you should contact your departmental desktop support person or team to confirm that your email has been switched to the new server. (Note: Switching from the old Exchange server to the new Exchange 2000 server should not result in the loss of Exchange email or services.)

I’d like the collaborative advantages of Exchange, but I also need to retain my U-Connect email account. Can I have U-Connect forward my mail to my Exchange account?

Yes, U-Connect mail can be forwarded to an Exchange account. UKIT has developed documentation to guide you through the forwarding process. Documentation to assist you in using your browser to access your Exchange 2000 mailbox is also available.

Can multiple users access their Exchange accounts from one computer?

Multiple users can access their individual Exchange accounts from one computer by using the Outlook Web Access client. For more information, please review the Outlook Web Access documentation ().

How can I get the full Outlook client to install on my home computer?

University of Kentucky regular full-time and regular part-time faculty and staff may download the Microsoft Outlook for Windows client from download.uky.edu. For details, please refer to the Outlook installation instructions ().

Is Outlook available for Macintosh computers?

Although Outlook Web Access does work in supported Internet browsers for Macintosh computers, a significant number of Outlook features will not perform on Macintosh machines. Therefore, the University of Kentucky currently does not recommend the use of the Outlook client for Macs. (Link BOLD TEXT to a page listing the features that do not work on Macs)

What are the hardware requirements for this new software?

The current University Standards* note the following minimum requirements for your PC:

• Pentium 133Mhz processor

• 32 Megabytes of RAM

• 135 MB of Hard Drive space

• Microsoft Windows 98, 2000, NT, ME or XP
