Job title: Admin Assistant

Timeframe: This is a 3 month contract from April 2008

Location: Tavistock Place, London, W1

Hours: 14 hours per week (including Fridays from 9-5)

Salary: £8 - £10 per hour

Responsible to: Business Support and Training Manager

Purpose of the post

• To support the development of The Reading Agency’s databases

• To help with The Reading Agency’s sales ledger

Main areas of responsibility

Database

• Updating existing mail out lists

• Adding new contacts from training days

• Adding new contacts from external requests

• Modify existing contact details when information is supplied

• Working with bounce-backs to update contacts and clean the mail out lists

• Working with online form to update contacts

• To research contacts for the new young people’s website

Sales ledger:

• Maintain customer records ensuring they agree with the details held in the database

• Issue invoices and dispatch notes

• Input receipts

• Help with credit control

• Deal with external enquiries by e-mail and telephone

General administration & office support

• As a member of the team at Tavistock Place, to take part in rotas which support the running of the office (washing up etc)

• Other matters necessary for the smooth operation of the administration of the organisation

Person Specification

Experience

• Experience of working to deadlines

• Experience of work or responsibilities requiring initiative and proactive approach

• Competence in all Microsoft Office applications

Skills, abilities and knowledge

• Accuracy and attention detail

• Ability to prioritise own workload and work independently

• Able to remain calm and work effectively under pressure, adapting and reprioritising as necessary for changing circumstances

• Excellent telephone communications

• Able to present a professional and welcoming image

• Able to work without discrimination to colleagues and users.
