?JOB DESCRIPTIONJob Title: Pre-sessional Administrative Assistant Campus: HendonGrade: 3Salary:?19,635 - ?22,282 per annum including London Weighting, pro rataPeriod: 8 May – 13 October 2017Reporting to: Pre-sessional Administration CoordinatorJob Holder: N/AOverall Purpose:To provide administrative support to Pre-sessional Programmes.Principal duties:The postholder will be responsible for the following duties in close collaboration with the Administration Coordinator:Deal with email and telephone enquiries from students and applicantsPerform pre-sessional reception duties by answering face-to-face enquiries Process application forms and input other data onto the pre-sessional database and ensure it is kept up to date (Access)Liaise with regional offices, offshore admissions, agents and students Make preparations for induction and enrolment – merge and print forms and attend staff meetingsParticipate in induction, enrolment and graduation eventsSend or e-mail offer letters and pre-arrival information to studentsMaintain records of attendanceLiaise with other university services, including Summer School, in support of the coursesProvide administrative and clerical support for the Pre-sessional Academic Managers/ Director International Preparatory Programmes & Short Courses Scan, upload and print documents from MEDSOrganise the filing of students’ applications and documents Print student lettersAssist with the organisation of student social and other events, including supervising occasional outingsUndertake any other duties and specific projects as requested by the Pre-Sessional Administration Coordinator, or (in their absence) AdministratorPERSON SPECIFICATIONJob Title: Pre-sessional Administrative Assistant Campus: HendonGrade: 3Essential: Previous administrative experienceGood communication and interpersonal skillsGood level of software applications skillsGood customer care skillsAbility to manage intensive periods of activityAbility to meet the needs of a diverse communityDesirable: Educated to GCSE standard or equivalentExperience of working in Higher EducationExperience of working with second language speakersHours: 35.5 hours a week, actual daily hours by arrangement.Leave:25 days annual leave pro rata plus University days and BankHolidays.Flexibility:Occasional Saturday working may be required.
