Administrative Assistant to the Executive Assistant

Job Summary:

Provides administrative secretarial support. Maintains administrative schedules and general calendars for the Nursing Managers in the Operating Room, Post Anesthesia Care Unit, Pre Operative, and Surgical Nursing Unit departments. Maintains strictest confidentiality and discretion in regards to Administration, company business, and patient records.

MAJOR TASK, DUTIES AND RESPONSIBILITIES:

• Administrative support

• Maintains departmental calendars of Nursing Managers

• Tracks use of Paid Time Off (PTO) and Clinical Manager Call Schedule

• Provides detailed secretarial support to Nursing Administration Department Managers

• Manages, oversees and coordinates annual Clinical and Non-Clinical Staff competency completion and reporting

• Maintains Director of Clinical Services filing system

• Forms Librarian: creates, revises and database tracks hospital-wide forms

• Policy and Procedure Librarian: creates, revises and database tracks hospital-wide policies

• Contracts Librarian: organizes Business Associate Agreements and Contracts/Agreements

• Attends committee meetings as directed

• Creates and revises EHR e-form

• Tracks and prepares Continuing Education for clinical staff

• Performs backup duties to Executive Assistant

Education: BS required, Masters preferred

Experience:

• Minimum three years of experience in administrative support

• Requires advanced Microsoft Office software skills
