2095500-50482500RECEPTIONIST JOB DESCRIPTION Reports to:Facility ManagerFacility:Functional RelationshipsInternal: Multidisciplinary Team Support staff (e.g. kitchen staff)Committees:Health & Safety committeeInfection Control committeeRestraint Minimisation & Safe Practice committee External:ResidentsFamilies/whanauHealth ProfessionalsMain Purpose of the Position To support the accurate and timely communication of resident information and efficient operations of the facility by providing general office clerical, accounting and administration duties as required.KEY ACCOUNTABILITIES Accountability: Provision of Reception and Telephonist dutiesKey Result Areas:Staff, guests and residents are greeted in a warm and welcoming mannerTakes guests to their required destination within the facilityCalls are answered in a timely and professional mannerCalls are screened and transferred to the appropriate personMessages are taken and passed on to the appropriate person if they are unavailable at the time of the callAccountability: Managing stationery in conjunction with the Office ManagerKey Result Areas:Collect requisitions for stationery and place orders on a regular basisDistribute stationery on receiptMaintain adequate levels of general stationeryMaintain the stationery shelves in a neat and tidy orderAccountability: Undertaking other activitiesSupport Office ManagerInternal maintenance recording and reportingMaintain tidy work area and efficient filing systemOffice duties as appropriateProvides typing, ordering, photocopying and other miscellaneous duties as required by the Facility Manager or Office ManagerPrepares and files associated documentation for admissions, assists with orientation of residents and families/whanau to the facility and takes a role in organising family and multidisciplinary meetings Key Result Areas:Enter maintenance dockets into internal maintenance systemPrepare and distribute monthly internal maintenance reportsEnsure archiving is carried out in accordance with Radius Residential Care policyKeep desk and working surfaces clear and clean with:No records, files, etc., on floorFiles, etc., put away each nightFiling kept currentUndertake other office duties and special assignments from time to time as requested by the Facility ManagerEnsure there is an adequate paper supply in the photocopier and fax machine at the close of each dayService is provided in a timely and accurate mannerFiles and documents are available at time of admissionResidents & families/whanau receive adequate orientation and family/multidisciplinary meetings are organised in a timely manner and in consultation with nursing staffKEY COMPETENCIESCompetency: Resident FocusAlways focusing on individual residents’ needsMake residents feel importantTreat residents with respectRespect residents’ privacyBe polite and friendly to residentsEncourage residents’ families to be involvedHelp solve residents’ problemsHandle difficult residents well and seek assistance, if requiredRespond to residents’ requestsCompetency: Teamwork, Interpersonal Skills and CommunicationWorks with others to build a strong team and good working relationshipsActively participate as a team memberEncourage and support co-workers;
