Position Description eCommerce CoordinatorMissionMotivated by our Christian heritage, and in partnership with others, we work across the generations for positive change, strong families and healthy communities.Position Purpose and Primary ObjectivesPurposeThe primary purpose of the role is to effectively and efficiently manage the online sales and operations for Presbyterian Support Otago’s (PSO) Retail Team.Primary ObjectivesManagement of Shop On Carroll Online.Manage and execute paid boosts/promotions within budget.Financial management.Collaborate with the Retail leadership team to develop and implement an effective PSO Retail Strategy.AccountabilityExpected Outcomes / Key Performance IndicatorsManagement of Shop On Carroll Online.Manage the online sales process, including high quality photographing of the items, creating and managing the listing and posting of the items online within the agreed timeframes.Take responsibility for any customer enquiries and ensure these are resolved or escalated to the Retail Manager within the agreed timeframe.Identifying, researching and pricing of items for the online shop in accordance with the Manager’s approved process and guidelines., if required the final decision sits with the Retail Manager. Develops effective relationships with external agencies and organisations and customers.There is an expectation of the number of items listed weekly is within the agreed range of 50 items or more.Processes for the online sales reviewed, and are working effectively.The online shop atmosphere is friendly, inviting and inclusive.Sales and goods are handled in compliance with PSO policies.Manage and execute paid boosts/promotionsThe shops have an effective social media marketing campaign to build strong customer loyalty and attract new customers.Work with the Marketing Coordinator and the Retail Manager as key contributors to our social media presence for the Retail Shops on Facebook and Instagram.Develop a plan to identify opportunities to expand our social media presence.Post regular content across nominated social media channels and receives increasing engagement from a growing audience.Our social media activity is tracked, analysed and monitored effectively, with reporting provided on a monthly basis.Financial Management Annual income budget is achieved.Monitor income and expenses against the annual budget.Accurately record, reconcile and report daily, weekly and monthly online sales transactions.Reconcile the daily banking in the online sales portal.Monitor sales trends and adjust business operations to maximise profitability.Accurate financial reports for the online shop are created and submitted within the agreed timeline.Budgeted expense are not exceeded.Bank statements and cash reconciliation balances are accurate, and any discrepancies are investigated.Sales are managed securely within agreed processes.Retail LeadershipCollaborate with the Retail leadership team to develop and implement an effective PSO Retail Strategy.Contribute to the development and implementation of our retail policies and procedures manual for the online shop.Model best practice retail operations and organisational values.Participate in and contribute to scheduled retail leadership meetings with the Retail Leadership Team.PSO maximises the values of donated goods, holds a strong niche in the Dunedin retail sector and contributes to advancement of PSO’s mission.The Coordinator exemplifies organisational values.The Coordinator contributes to the development and implementation of the effective strategies applied across the PSO retail business.Manage volunteers and staff who support the running on Shop On Carroll Online.Expectations of all PSO EmployeesCommunications / Interpersonal relationshipsPositive and collegial relationships are developed and maintained.Verbal and written communication is at a high standard, relevant and appropriate to the audience.Performance development and learningActive engagement with personal development review process.Personal and professional development goals and objectives are established.Be responsible for own ongoing education and skills required in designated role.Continuous improvementMake recommendations for improvement to services, work practices and / or workflow.
