AT&T Web Payment Facility

AT&T Payment Status Facility was created to allow our suppliers and employees access to their AT&T Accounts Payable records. This website will provide them with invoice, check, and remittance information. This will reduce calls to Accounts Payable Customer Service, and enable our Customer Service Agents time to handle more detailed calls.

AT&T Employees will have the option of using either standard or extended search capabilities for invoices. Standard search only requires one piece of information be provided. To narrow your search you may use the Extended Search and enter a valid Invoice Number, Invoice Date and Invoice Amount combination.

You can run standard queries by entering various criteria:

• Invoice number

• Invoice date range

• Invoice amount

• PO Number and release number if applicable

• Supplier number

A successful invoice search will result in showing the supplier name, supplier number, site code (where the payment was sent to), invoice number, PO/release number, invoice date, invoice amount, discount taken, date invoice received, date scheduled to pay, payment date, check/wire number and status. If you click on the invoice number a green box will pop up and display invoice information that was input into the description field. [pic] The status field may be populated with HOLD or CANCELLED. For HOLD we ask the employee to check back in a few days to see if the hold has been released. If the hold has not been released they can email AT&T Accounts Payable Customer Service at ap-inquiries@ for more information. If the status field is populated with CANCELLED they can click on the invoice number to see why the invoice was cancelled.

You can view the optical image of the original invoice by clicking on the paint pallet icon [pic] located in the last field. Please note: this feature is only available to internal AT&T users.

All search results may be printed or loaded automatically into an excel spreadsheet for further analysis by selecting the appropriate hyperlink at the top of the results.

EMPLOYEE PAYMENT SEARCH SCREEN

An employee can search payment information by entering either the check/wire number, or a payment date range and supplier number is required If the supplier number is not known use the Vendor Search function to obtain the necessary information.

EMPLOYEE PAYMENT SEARCH RESULTS

A successful query will show the supplier name, supplier number, site code, check/wire number, the check/wire date, and the check/wire amount, any discounts taken, the net invoice amount, and any description that was entered. It will list each invoice paid on that check along with the invoice date and each invoice amount. A difference between the invoice amount and the amount of the check indicates that other invoices were paid on the check. All search results may be printed or loaded automatically into an excel spreadsheet for further analysis by selecting the appropriate hyperlink at the top of the results.

EMPLOYEE EXTENDED SEARCH

An employee can use the extended search feature to narrow their invoice search. In order to use this functionality they must search with one of the following combinations:

• Invoice Number and Invoice Date

• Invoice Number and Invoice Amount

The employee will be able to view all information providing they have the proper data.

Note: The use of wild card characters and range searches is not supported with the extended search capabilities. Clicking on the PO hyperlink in the extended search response screen will allow you to view all payment activity against that purchase order.

EMPLOYEE VENDOR SEARCH RESULTS

A Vendor Search can be initiated with as little or as much of the supplier name available. The system will automatically place a wildcard at the end of the name. If you are not sure of the exact name putting in the minimum will provide for the widest search results.

The system returns the results from the supplier database. If the site contains additional address lines they will be populated. This will assist in performing Invoice searches based on supplier number.

Selecting the appropriate link will bring the user to the following logon screen.

Suppliers may apply for a User Id by clicking the blue [Apply for a User ID] button. If they already have a User Id they will enter it and their password here.

SUPPLIER USER ID APPLICATION

Suppliers will enter the following fields:

• Supplier Number. Suppliers with multiple supplier codes must request a user id for EACH supplier code they are receiving payment under.

• User Id – the supplier will create their own user id

• Password – the supplier will create their own password according to the User Id/Password requirements**

• Email Address – the supplier will enter their email address for notification purposes

• Name – the supplier will enter the contact name

• Phone – the supplier will enter the contact phone number

After clicking on [pic] the facility database will validate the supplier number and password rules. Once the ID and password have passed validation the system will respond back with ‘Your user id request has been created.’ The vendor may now logon to the payment status facility.

The supplier can query invoices by entering the one or more of the fields. The result will show invoices for the supplier number that they used on the user id application. The supplier will enter one or more of the following fields:

• Invoice number

• Invoice date range

• Invoice amount

• PO number with release number if applicable

The supplier can click on the check/wire number to go directly to the detailed check/wire information. All search results may be printed or loaded automatically into an excel spreadsheet for further analysis by selecting the appropriate hyperlink at the top of the results.
