Beta Club Requirements Hillgrove High School Chapter



Students agree to meet the minimum requirements outlined below in order to maintain active membership in Beta Club. Failure to meet any of the requirements below will result in permanent revocation of membership.

1. Attendance is expected at all meetings with a minimum of 5 per school year.

(meetings are not just for attendance purposes; we use them to complete components of our annual service projects)

o Meetings take place on the 1st Thursday of each month and will last 30 minutes, you may not leave early from ANY meeting before the club is dismissed! You may choose to attend either the morning or the afternoon meeting.

o Any member not actively participating in the community service project during the meeting may be asked to leave. If you are asked to leave, that meeting date will not count towards your required number of meetings for the year.

2. 3.5 or higher GPA

3. No OSS (out-of-school suspension)

4. ISS (in-school suspension) infractions may be grounds for revocation of membership

5. 10 hours of community service approved and completed by 5/1/20

o In order to be approved, community service must be voluntary; no payment of any kind for services may be accepted. You cannot count hours from events or responsibilities required by another sport or club.

o Tutoring hours must be done through an approved school program (HHS, LMS, Still, Dowell)

o You must collect the contact information from the mentoring adult who supervised your community service

o Hours served for one club may not count toward another club (i.e. 1 hour of service cannot count for both NHS and Beta)

o Hours must have been completed over the summer or during the current school year

o Hours must be correctly submitted through x2VOL

6. Yearly dues paid and contract submitted by 11/1/19: $25 new members / $15 returning members. You can pay on mypaymentplus (parents should get an email to pay the Beta fee), or bring exact cash or a check made payable to Hillgrove High School to Mrs. Scroggs(RM2212) or Mrs. John(RM1211).

Probation/Membership Appeals

• If your official GPA drops below a 3.5, you will receive a probation letter and have one semester to bring the GPA back up to a 3.5 minimum. Failure to do so will result in revocation of your membership. Should your GPA drop below 3.5 again, your membership will be automatically revoked.

• If your membership is to be revoked for failure to meet the required GPA, hours, or meeting attendance and you wish to remain a member, you must request an appeals letter within 30 days and schedule a membership review.

MOWR/Dual Enrollment/WBL/Internship & Early Graduation Requirements

Meeting Dates for 2019-2020

• The first Thursday (school days only) of each month, we will meet in the theater. You must either attend the morning meeting (7:40-8:10 A.M.) or the afternoon meeting (3:40-4:10 P.M.) Some afternoon meetings may be held in a different location.

• There will be 9 meetings this school year, on the following dates: 9/5/19, 10/319, 11/7/19(Morning only), 12/5/19, 1/9/20, 2/6/20, 3/5/20, 4/2/20, 5/7/20*Same day as NHS

• If you are enrolled in dual enrollment, WBL, MOWR, or internship and as a result, are only able to attend 3 or 4 of your minimum required meetings, you must submit documentation to prove this by February 1st, 2020.

*Induction of new members will be held at our morning meeting on 1/9/20

x2VOL Agreement

What is x2VOL?

x2VOL is a premier online Volunteer tracking program that allows you to enter your Service hours, search and register for volunteer opportunities, and print a service hour log for college applications. 

How do I use x2VOL?

• Visit the x2VOL tab on the Beta Club website . Follow the instructions to set up your account.

• When you have completed a community service, go to x2VOL and create a project for it.

• To document the number of hours, you may either enter in your mentor’s contact information for them to verify via email or you may upload a picture of a service form that your mentor has signed in pen.

• Your completed project must be linked to Beta so we can verify and approve your hours. See the Mrs. John’s blog () for linking instructions.

Important x2VOL Information:

• Please add support@ to your email address book. This will prevent their emails from rerouting to junk mail.

• How are hours approved?

o Please read the volunteer’s guidelines in requirement #5 above to ensure your hours will be approved.

o The verification process requires two steps.

▪ First, it will require an email address from your service coordinator. It is up to you that you remind your service coordinator to check their email (including spam) to sign off on the hours. If you can’t get them signed off digitally, you MUST provide paper documentation with a signature. You may attach the image of the paper documentation within x2VOL.

▪ Second, Mrs. John will sign off that the hours have been successfully submitted.

• All students must create their x2VOL account by November 1st, 2019, or they will be required to attend a mandatory x2VOL meeting with the Beta Club sponsor at 7:40am on November 8th, 2019 in Room 2212.

• Hours are due on May 1st, 2019. There will be NO EXCEPTIONS for late hours, including technology problems.

• Every time you submit hours you will check this statement: “The hours that I am submitting are accurate and the details (including hours, dates, location and contact information) are truthful. I understand that the information I am submitting may be audited for accuracy. If inaccuracies are discovered, I understand that I may be removed from x2VOL and additional consequences may be imposed by my school.”

• As with any online activity, you need to let your parents know you are using this system. Your parents must sign the statement below.
