1.0 SCOPE: This procedure defines the practice used to process requests from parents or guardians who have children enrolled in Guilford County Schools (GCS) and do not want to receive Connect-ED ? messages.

The online version of this procedure is official. Therefore, all printed versions of

this document are unofficial copies.

4.0 DEFINITIONS:

4.1 Blackboard Connect Inc. ? Provider of mass messaging and notification solutions for educational and government organizations.

4.2 Connect-ED ? - Platform used by GCS to send messages.

4.3 Out Reach Message ? Automated calls/messages categorized by; Community Outreach, Attendance Notification, Emergency Communication, and Interactive Survey.

4.4 Opt-Out ? Option to discontinue automated Out Reach Messages.

5.0 PROCEDURE:

5.1 A parent or guardian may at anytime contact Guilford County Schools' via phone, email, in writing or face-to-face with a request to no longer receive Connect-ED ? messages.

5.1.1 If the request is received via phone or face-to-face, the requester is instructed to access the Connect-ED ? Opt-Out Form located on the Guilford County School's website.

5.2 In order to process the request the parent/guardian is required to submit the following information in writing or via email box: ConnectEdoptout@

5.2.1 Within approximately five working days of receiving this request via e-mail or in writing via standard letter (mail to GCS, Attn. District Relations, 712 North Eugene Street, Greensboro, NC 27401) GCS will not contact parents/guardians via the Connect-ED? messaging service for any outreach school messages, attendance issues or time-sensitive situations that may arise. This type of request is forward to Blackboard Connect Inc. to flag the contact number(s) and enable automated calls.

5.2.2 Outreach messages include, but are not limited to, information regarding medical issues, report cards, schedule changes, picture day, upcoming exams, Open House, scholarships and other special events. Attendance calls report daily absences, including period attendance. Time-sensitive calls include, but are not limited to, information regarding school lockdowns, school cancellations and/or delays due to weather, intruders on campus and evacuations. Many early dismissal and school cancellations due to inclement weather are also sent as a Community Outreach message since emergency notifications go to up to six phone numbers or contact points per person.

5.3 Handling requests from other parties. Other requests from parties who do not want to receive Connect-ED ? messages from Guilford County Schools may include; Guilford County School employees or individuals who do not have children enrolled in GCS and are not employed by GCS.

5.3.1 GCS employees cannot Opt Out of Connect-ED ? messages. However, employees may opt to change their contact information. (i.e. cell number vs. home number) Employees may make changes by accessing the GCS website.

5.3.2 Individuals who are not employee by GCS and do not have a student enrolled in GCS will be removed from Connect-ED ? outreach calls. Information is first verified for accuracy and then removed from the GCS data base.
