EXTENT & CONDITIONS OF HIRE: Hire will normally mean use of the site for the event specified on the application form. Conditions of hire are as specified herein unless modified by written instruction from the Course Administrator or Manager or any reasonable instruction from a member of the Shenstone & District Car Club Limited (herein referred to as SDCC) committee or from the landowner, G&J Greaves of Curborough House. 1. ACCESS:

(a) FOR SPRINT MEETINGS - The course will be available on the day concerned and by arrangement on the preceding day if required. Note this latter may not always be available due to other events.

(b) FOR OTHER EVENTS - The course may be used only between the times specified by the Club, though access to the site is usually possible before for setting up, etc.

(c) FOR SDCC - Members of the SDCC COMMITTEE ONLY are empowered to visit the site at any time and must be given free access to all parts of the site. A letter will identify such people. See also Section 6 (Charges).

2. ADVERTISING:

No permanent advertising matter may be displayed on the site without prior permission in writing of the SDCC Ltd.

3. APPLICATION FOR USE:

In the case of a Speed event application for use of the site must be made and a deposit must be received not later than THREE MONTHS PRIOR to the date of the event. For other events confirmation of booking accompanied by payment of a deposit must be received before hiring commences. An electronic application must be made in the first instance to the Course Administrator, which must be confirmed, deposit received, and hirer indemnity signed before hire commences.

4. AUTHORISATION OF EVENTS:

See ROAD TRAFFIC ACT. (PARAGRAPH 30)

5. BOOKINGS:

All bookings are offered subject to availability of dates, facilities, and, of course, the weather and other unforeseen events beyond our control. Accordingly, SDCC Ltd., cannot guarantee that a date or session will not be cancelled due to extreme adverse weather conditions or other unforeseen events. A deposit of £300 / 25% is required at the time of booking (see hiring rules).

6. CAMPING:

During Covid 19 government restrictions and guidelines no camping overnight will be allowed. Subject to this limited overnight camping may be permitted for one-day meetings. The Course Manager must be informed if a substantial number of people wish to stay overnight, when a charge may be levied. See also paragraph 27 Security.

7. CONTROL:

All events must control / marshal the track usage for the duration of the event. For events based in the paddock or start area it is recommended that this is done from the flagpole marshals post (post 1), where the whole site is in view. Appointed personnel should wear reasonable clothing (high-viz, etc.) and have ready access to first aid and safety equipment.

ONLY ONE CAR AT A TIME MAY USE THE TRACK AT SPEED, except by special arrangement.

8. SITE CATERING:

Exclusive commercial catering rights have been granted to Jodie Bentley (sole trader) on either: 07853-857003 or email: jodiebent@hotmail.co.uk No other commercial caterers are allowed on site except by specific agreement. Licensed bar facilities are not normally available, and it is up to hirers to arrange these if required, after consultation with the site caterer (note MSUK / ACU rules about alcohol). SDCC will advise caterers of all planned events however, it is up to hirers to contact her directly.

9. CHARGES (ADMISSION):

All charges levied by hirers for entry fees, admission to the site, sale of programmes, etc., are at the sole discretion and sole responsibility of the hirer. It is a condition of these rules that individual SDCC members and one guest of same are allowed free entrance to the spectator area at events where a charge is made. These people MUST produce a numbered membership card or guest ticket when asked. Hirers will be supplied with specimen tickets and cards for reference. Carers attending disabled visitors (who may be charged) must be allowed free admittance.

10. COMMUNICATIONS:

It is usual for hirers to use their own or hire radios for communication these days. Internal telephones are installed in start, finish line and paddock offices, which are controlled by an exchange unit in the latter. (See operations manual for installation/use instruction).

11. DAMAGE:

Any damage howsoever caused (during the hire period) to the site, property on the site or to its surface by any means whatever, MUST BE REPORTED promptly and will be made good at the expense of the hirer. DAMAGE MUST BE REPORTED TO THE COURSE MANAGER WITHIN 48 HOURS FOLLOWING AN EVENT - REMEMBER THERE MAY

BE OTHER EVENTS VERY SOON AFTER YOURS. THIS INSTRUCTION INCLUDES ALL PROPERTY ON THE SITE BELONGING TO THE LANDOWNER AND SDCC.

No paint or other marking materials of a permanent nature may be used upon the surface of the site and no marking may be left upon the licensed track after the conclusion of an event except for the start and finish lines.

12. EQUIPMENT:

The following equipment is available. A charge may be made for using SDCC equipment

(a) For Sprints:

(i) For marshal’s posts (3 plus sprint start, in trolleys):

1 Red Flag, 2 x 6kg Fire extinguishers (dry powder or equivalent)

1 Broom, 1 Large shovel, 1 Small shovel, building plaster in lidded containers

CEMENT IS NO LONGER RECOMMENDED.

A reserve quantity of plaster and an MSUK spill kit is kept in the paddock office.

(ii) In paddock - 1 x 6kg fire extinguisher per 12 vehicles (5 twin trolley units).

(b) A 230v generator is required to power the paddock office light, amplifier, and telephone system. If a SDCC unit is used, a charge will be made for hire and fuel, etc. Note: The generators are kept off-site and needs to be requested at time of booking.

(c) Optionally, if a 230v generator is required to power the control / commentary box. If a SDCC unit is used, a charge will be made for hire and fuel, etc.

(d) A limited number of traffic cones are available on site for driving tests, etc. These are stored in the container adjacent to the office and must be returned there after use.

(e) Traffic lights for the start access road are kept in paddock office – see operations manual for instructions for use.

(f) Discharged fire extinguishers will be charged at cost.

13. DEPOSITS / FEES:

The current fees are scheduled separately. A non-returnable deposit is required as follows:

(a) Speed events £300.00

(b) Other events 25% of fee

Deposit to be received not later than 3 months (4 weeks during Covid 19 pandemic) prior to an event on the calendar. The balance is to be paid within 7 days after the event. In the event of a cancellation within 3 months (4 weeks during Covid 19 pandemic) of a booking, a fee of £300 (speed event) or 25% (other event) will be levied except in exceptional circumstances such as Covid-19.

14. FILM / ELECTRONIC IMAGES:

The COPYRIGHT in any film or other moving picture (electronic or otherwise) taken at an event / activity at the Curborough track shall be the property of Shenstone & District Car Club Ltd. and is permitted only for the purpose of providing memorabilia of the event taking place including publishing on social media.  Anyone wishing to take photographs for commercial purposes (including sale to participants) must seek written consent of the Shenstone & District Car Club Ltd.

15. FIRST AID AND EMERGENCY PROVISION:

Motorsport UK/ACU permit events have requirements for this, i.e. Rescue Unit / Ambulance / Doctor / Paramedic. The location of such is marked on the Track Licence plan in the paddock office. For other events it is recommended that hirers organise suitable emergency provision. A First Aid kit and defibrillator are available in the commentary box, with details of the nearest A&E Hospitals.

16. FOOTPATH:

There is a public footpath, which runs along the stream adjacent to the start to a footbridge halfway between start and paddock. Users of this path cannot be stopped, but should be (politely) restricted to the path and not allowed to linger thereon.

NOTE: The start access road is NOT the actual path, which is the grass area between it and the stream, now defined by a post and wire fence.

17. FUEL:

Fuel must be kept in a safe environment and refuelling should take place away from participants and spectators. No smoking MUST be observed during the refuelling process and it is recommended to have an appropriate extinguisher to hand.

18. GRASS AREA:

No vehicles may be driven upon the grass other than for the sole purpose of parking, except service vehicles in an emergency (such as ambulances, recovery, or rescue, etc.).

19. INJURIES & ACCIDENTS:

SDCC Ltd is required by MSUK (Section E.2.1.3 in MSUK Yearbook) to keep a register of any incidents involving injury. There is also a legal requirement (the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013) to report any serious injury incurred during an event. It is suggested that only incidents where anyone has to be taken to hospital need to be reported.

THE COURSE MANAGER MUST BE INFORMED OF ANY SUCH INCIDENT IN WRITING AND AS SOON AFTER THE EVENT AS POSSIBLE. A supply of standard forms is kept in the paddock office.

ORGANISERS OF EVENTS MUST ALSO MAKE THEMSELVES AWARE OF THE MAJOR INCIDENT PLAN IN PLACE FOR THE COURSE, a copy of which is kept in the paddock office.

20. INSURANCE:

IT IS A CONDITION OF HIRE THAT ALL EVENTS MUST INSURE SDCC Ltd AND THE LANDOWNER FOR PUBLIC LIABILITY (to 5 million pounds) IN CONNECTION WITH THE HIRE OF THE CURBOROUGH SPRINT COURSE.

In the case of a Motorsport UK permit event it has been arranged that the appropriate extension of the master policy for Contractual Liability (see Appendix 2 in Yearbook) be affected on issue of the permit. Similarly, with ACU and other

authorised events.

For other events if hirers do not have their own cover this may be obtained from the SDCC brokers MIS Motorsport.

The Course Administrator MUST HAVE confirmation of appropriate insurance before hire commences.

21. KEY HOLDER:

Instructions for obtaining key(s) to the site will be issued. When keys are collected from a key holder they must be returned at the conclusion of the event on THE SAME DAY. This is imperative to prevent inconvenience to subsequent hirers.

22. LITTER:

IT IS THE RESPONSIBILITY OF HIRERS TO ENSURE THAT THE SITE IS LEFT CLEAR OF LITTER. This is particularly important when livestock are grazing the site. Dustbins are provided (paddock container) and these should be placed appropriately. At the end of the event, these must be emptied into the skip (situated in the top field) then returned to the paddock container. Failure to leave the site tidy will result in hirers being surcharged.

23. FACILITIES:

These consist of permanent toilets, the buildings at the start and paddock, the timing / commentary box at the finish, portable canopies, the public address and communication equipment, side covers and stools for marshal’s posts plus equipment trolleys.

24. NOISE:

IT IS HIRERS RESPONSIBILITY TO ENSURE THAT NOISE IS KEPT TO A MINIMUM. The following rules apply and must be enforced rigidly. It is suggested that hirers bring these to the attention of all participants.

1. Engines of competing cars must NOT be run at high revolutions before 09.00. (if practice at sprints is run in programme order this requirement will normally be covered automatically).

2. Public address should not be used before 09.00 and then only for essential announcements during the morning. Commentary for spectators must be restricted to the competitive runs only. The volume of the PA must be kept as low as possible. No music is to be played over it.

3. All track use and PA must stop at 18.00.

4. All Motorsport UK events must carry out a noise check on ALL competing cars to current specifications (Regulation J5.18) and noisy vehicles dealt with immediately. A copy of the results must be sent to the Course Administrator. At non-permit events, SDCC may arrange for a check on participating vehicles by a qualified person, who will have the power to exclude those over the limit. The limit is 105dBa measured at 45 degrees to exhaust at ¾ maximum revs.

25. PAPERWORK:

SDCC Ltd reserve the right to inspect any instructions and paperwork issued by hirers for events and requires copies of the following to be sent to the Course Administrator or other

person nominated when they are published:

26. PAYMENT:

See booking form under Type of Activity drop down menu.

27. PENALTIES (SPRINTS) – FOR COURSE RECORDS:

The need for penalties for hitting markers has been removed except for the bollard on the apex of the first bend and the outer bollard of the 3 at the rumble strips when turning off the main straight at figure of eight events. It is recommended that a penalty of 0.5 second be applied when these markers are dislodged. If no penalties are monitored or applied, SDCC reserve the right not to include the times taken in any course records. Apart from the above, the only penalty necessary is No Time Recorded when all four wheels cross the white lines on the edges of the course. Course markers remain between the start and paddock gate and at start of rumble strips but it is not recommended to apply a penalty for hitting them.

28. PUBLIC ADDRESS SYSTEM:

This consists of amplifier and microphones in the commentary box and the paddock office. Loudspeakers are fixed to all areas. The amplifier stays in the paddock office and is powered by 230V AC. Volume must be kept AS LOW AS POSSIBLE to avoid inconvenience to public outside the site and no music should be played. A curfew of 18.00 must be observed.

29. PUBLICITY AND SIGNS:

A direction sign to the course is erected at the turn off from Wood End Lane, Fradley.

Brown chequered flag signs are installed from the A38 turn (signposted Fradley Park) and the A515 turn into Wood End Lane. The sites nearest postcode is WS13 8EJ. General publicity will be furnished through SDCC circulars, including the Curborough Yearbook and calendars. If hirers erect their own signs, they must not direct visitors from Lichfield down the lane alongside the course entrance (i.e. via Netherstowe lane off Eastern Avenue, Lichfield). For directions to the site, note that the turn off the A38 is now signed as Fradley Park.

30. ROAD TRAFFIC ACT:

This affects events which are not “authorised”. Authorisation disapplies certain sections of the Act for competitive events, reducing the possibility of participants and promoters being prosecuted for dangerous driving, etc. Sprints and some track days are authorised via permits (Motorsport UK, ACU and IOPD are 3 of the 11 permit authorising bodies). Hirers of the track for non-authorised events are recommended to inform their participants that the Act will still apply. The Act applies to the roads / areas outside the paddock and competition designated areas. For events using the return road at speed, suitably identified marshals must be posted at each end of the public footpath within Curborough boundaries.

31. SALE OF GOODS:

The sale of goods, the holding of an auction sale, car boot sale, or market for the general public is strictly forbidden and may lead to prosecution by the Local Authority. Sales of club regalia, motor sport equipment or parts to competitors etc., is allowed.

32. SECURITY:

The window shutters of ALL buildings, offices & stores MUST be closed and securely bolted and locked at the end of each event. This is important to restrict vandalism. FAILURE TO COMPLY MAY RESULT IN A SURCHARGE IF DAMAGE OCCURS.

Hirers must accept responsibility for any site equipment left unsecured or unattended overnight. It is strongly advised that equipment be stored in the Paddock Office during the hours of darkness or if the site is left unattended.

33. SPECTATORS:

Spectators are not allowed to sit upon the fence surrounding the course. Hirers are responsible

for ensuring this does not happen and frequent mentions on the public address are suggested.

NO PERSONS (other than signed on personnel) SHALL BE ALLOWED ON THE TRACK SIDE OF THE FENCE WHILE VEHICLES ARE BEING DRIVEN IN COMPETITION.

At private events (test and track days, etc.), it is recommended that the main entrance gate be kept closed to discourage casual spectators (BUT NOT LOCKED SO THAT EMERGENCY ACCESS / EGRESS REMAINS AVAILABLE).

34. TELEPHONE:

There is no public telephone on site or in the immediate vicinity.

35. TEMPORARY BUILDINGS:

The erection of marquees / temporary buildings is not permitted without the prior agreement

of the Course Manager. Two portable canopies (10'x20' and 10'x10') are kept in the Paddock Office. These have sides and weights to hold them down. Erection is quick and instructions are provided however, if used these must be correctly put away after events.

36. TOILETS:

Venue hire includes the use of the permanent toilets near the entrance and the cabin in the paddock, which are supplied with paper, etc. For events expecting a larger number of spectators than usual, hirers must be prepared to replenish these themselves during their event Note: limited spares are kept within boxes inside each toilet block.

Hirers are responsible for inspecting toilets during an event and dealing with problems such as water leaks or blockages There is a disabled access unit (code held by caterers) on site and one portable next to the start hut. The fee for these units is included in the hire charge for events that use the paddock. If additional toilets are hired, these must be removed from the site as soon as practicable after each event.

37. TRACK LAYOUT AND USE:

FOR SPRINTS:

(a) Only the approved course/s as shown on the plan displayed in the paddock office may be used. The areas shown as prohibited to spectators must be strictly controlled.

(b) The inner gates must be kept closed at all times when the course is in use.

(c) The finish line must be marked with chequered boards (supplied).

(d) Bollards should be fitted as follows; 3 into cats’ eye sockets on dividing line between start and paddock, 1 on left at apex of first rumble strip (in direction of course) and 3 at each start of the next 3 rumble strips on the right-hand side of the course. The latter are to deter straddling of the rumble strips. See also PENALTIES (paragraph 23).

(e) For double lap sprints 50 & 100 marker boards must be installed in the positions marked alongside the finishing straight. There are sockets for these in the ground adjacent to the track.

(f) For Figure of Eight sprints there is one “S” marker board which must be installed in sockets on approach to crossover between marshal post 1 and 2.

FOR WEEKEND CLUB TRACK DAYS (INCLUDING BANK HOLIDAYS) - To a maximum of 35 cars:

(a) No start or finish lines or other lines involving braking (i.e. astride or baulk lines) may be sited on the sprint course other than where the course is straight.

(b) The track between the paddock entrance and the start MUST NOT be used in order to keep noise to a minimum near our neighbours (see Appendix C).

FOR WEEKDAY TRACK DAY AND PRIVATE HIRE - The track layout to be used must be as agreed beforehand:

a) 10 cars maximum can use the full course

b) 11 to 20 cars maximum MUST use the top loop

THE COURSE MUST NOT BE USED FOR “DRIFTING” AT ANY TIME.

FOR COMPETITION CAR TEST DAYS:

The full sprint course is used for these, in any format at the driver’s choice (following track bias). It is recommended that the paddock is used as a base and cars travel down to the start area before their run and return after completing the course, before releasing the next car. Drivers of competition cars should wear the kit they compete in, i.e. helmets, overalls, etc.

Track day terms and conditions (see Appendix A) apply however, a greater standard of car preparation is expected.

38. TRACK LICENCE:

A copy of the Motorsport UK track licence (S/2020068 - Inter Club) is posted in the Paddock Office.

39. COVID 19 REGULATIONS AND GUIDELINES

All government and MSUK Covid 19 regulations, guidelines, and best practice in existence at the hiring date must be adhered to. These are subject to amendment with no notice and are currently detailed in Appendix E / F to this agreement.

APPENDIX A: TRACK DAY - TERMS & CONDITIONS.

INDEMNITY:

The following indemnity must be signed by all drivers and passengers. Minimum age for all is 12 years, and anyone under 18 must be countersigned by a parent or guardian,

“I have been given the opportunity to read the rules published for this event and agree to be bound by them. I declare that I am physically and mentally fit to take part in the event and I am competent to do so. I acknowledge that I understand the nature and type of the event and the potential risk inherent with motor sport and agree to accept that risk. I understand that motor sport can be dangerous and accidents causing death, injury, disability, and property damage can and do happen. I understand that these risks may give rise to my suffering personal injury or other loss and I acknowledge and accept these risks.

 

In consideration of the acceptance of this entry I agree that neither any one of or any combination of the SDCC Ltd, the organisers, the track owners or other occupiers, the promoters and their respective officers, servants, representatives and agents (the “Parties”) shall have any liability for loss or damage which may be sustained or incurred by me as a result of participation in the Event including but not limited to damage to property, economic loss, consequential loss or financial loss howsoever caused. Nothing in this clause is intended to or shall be deemed to exclude or limit liability for death or personal injury. To the fullest extent permitted by law I agree to indemnify and hold harmless each of the Parties in respect of any loss or damage whatsoever and howsoever arising from my participation in this event

 

To the best of my belief I possess the standard of competence necessary for an event of the type to which this entry relates and the vehicle entered is suitable and roadworthy

for the event having regard to the course and the speeds that will be reached.”

VEHICLE(S):

Track days are organised to cater for a wide variety of cars, mostly road going. There is the

opportunity for competition or historic/classic cars to be driven on track.

The safety of your vehicle is always your responsibility. The organisers reserve the right to

refuse entry to any vehicle if any fault or feature is believed to compromise the safety of the vehicle, its occupants / other people. We recommend that drivers thoroughly inspect their vehicles before going on track and pay particular attention to the following items. Any uncertainty or wear should be discussed with a qualified vehicle engineer. Note: An MOT certificate should not be taken as evidence of the general condition of the vehicle.

Electrical:

The battery must be secured by a suitable strap or fixing, and cell caps tightly fastened.

Condition of wiring in flammable areas such as near fuel tank, injection, or carburettors.

Steering and Suspension:

General condition of road springs and shock absorbers.

Steering joints and wheel bearings.

Tyres, Wheels, and Brakes:

Tyres checked for correct pressure, adjusted for use on track.

Tyres checked for cracking of sidewall or between treads.

A minimum of 2mm tread depth is recommended for road tyres.

Wheels correctly secured, i.e. nuts / bolts tightened to specified torque.

Wheels checked for cracks, kerbing, or pothole damage.

Brakes should have good firm pedal and not pull to one side under heavy braking.

Engine & Fuel system:

The engine should be in good order. It should not leak oils or fluids. Hoses should be in good

order and well secured – everything tends to move when cornering at speed.

Catch tanks should be fitted to cars without crankcase breathers.

Carburettor and injection control cables checked for smooth operation.

Fuel tank not over or under filled.

All fluid levels checked.

Noise:

Static noise limits will be applied. For track days the limit is 105dB max measured at 0.5m and 45degrees from the exhaust pipe with the engine running at ¾ max revolutions.

Any vehicle found over this limit will not be allowed on track without successful modification to the system to make it pass.

DRIVING:

Driving at speed is dangerous and can involve injury or death. Despite the organisers taking all reasonable precautions, incidents can happen. In respect of these, everyone is present at their own risk. By taking part in this track day all must agree:

1. That they are or have been made familiar with the nature of track driving activity, and acknowledge the risks involved.

2. That they are in good health, and not suffering from any medical condition or disability which is likely to adversely affect your normal control of a vehicle or which might make it unsafe for you to drive or participate in this event.

3. That the organisers / representatives of the course management reserve the right to remove you from the venue if they consider your actions to be dangerous or detrimental to other venue users.

4. That you accept that they will be solely responsible for any decision to drive any motor vehicle or use any equipment at any time whilst it is in their possession or under their control. They must acknowledge that should become dissatisfied / aware prior to or whilst driving a motor vehicle or using equipment as to its satisfactory condition of the motor vehicle or equipment, they must discontinue immediately.

5. That as the person taking part in this event, they accept responsibility for ensuring that they and anybody who accompanies them are always familiar with all rules and guidelines and adhere to them.

6. That they understand that standard road insurance does not cover them for driving on a track unless you have organised it yourself. They will be required to sign an indemnity before going on track. If they do not want to do so they will NOT be allowed to take part.

If there is debris on the track report it to control and clear it away before the next car.

Spins – if drivers spin or crash it will be necessary to suspend track use. Therefore, they should drive to the prevailing conditions and their own ability at all times – and not beyond!

Clothing – Driver’s and passenger’s arms and legs should be covered.

TOP LOOP USE - Helmets are recommended, seat belts are mandatory.

FULL COURSE USE - Helmets and Seat Belts are mandatory. When worn, they must be fastened securely at all times when on the course. It is the responsibility of the driver to ensure passenger’s safety equipment is fitted correctly.

Windows should be closed when driving on course.

Refuelling should be carried out away from spectators and other participants.

No naked flames in the paddock (smoking, welding, etc.).

When manoeuvring in the paddock, ask for someone to assist, especially when reversing.

TIMING:

ANY TIMING MUST BE PURELY FOR INTEREST AND NOT PUBLISHED ON ANY FORM OF MEDIA AFTER THE EVENT.

Anyone found to be publishing times may not be allowed to partake again.

PHOTOGRAPHY AND FILMING:

Images and footage must be used responsibly. Any images taken at the event are for personal use only must not be used for commercial purposes. This includes on-board cameras. If an accident is filmed, the imagery must be made available to the Course authorities and not posted on Social Media, doing so means you may not be allowed to partake again.

BRIEFING:

All participants must receive a briefing at the start of the day, or when they arrive. This should cover the above points, the format of the day, times for track use, catering, and any special instructions from the organiser; Appendix D refers.

APPENDIX D – SAFETY BRIEFING

DRIVING:

Driving at speed is dangerous and can involve injury or death. Despite the organisers taking all reasonable precautions, incidents can happen. In respect of these, you are present at your own risk. By taking part in this track day you agree:

1. That you are or have been made familiar with the nature of track driving activity, and acknowledge the risks involved.

2. That you are in good health, and not suffering from any medical condition or disability which is likely to adversely affect your normal control of a vehicle or which might make it unsafe for you to drive or participate in this event.

3. That the organisers / representatives of the course management reserve the right to remove you from the venue if they consider your actions to be dangerous or detrimental to other venue users.

4. That you accept that you will be solely responsible for any decision to drive any motor vehicle or use any equipment at any time whilst it is in your possession or under your control. You acknowledge that should become dissatisfied / aware prior to or whilst driving a motor vehicle or using equipment as to its satisfactory condition of the motor vehicle or equipment, you must discontinue forthwith.

5. That as the person taking part in this event you accept responsibility for ensuring that you and anybody who accompanies you are always familiar with all rules and guidelines and adhere to them.

6. That you understand that standard road insurance does not cover you for driving on a track unless you have organised it yourself. You will be required to sign an indemnity before going on track. If you do not want to do so you will NOT be allowed to take part.

APPENDIX E – COVID 19 REGULATIONS AND GUIDELINES

A) In accordance with government guidelines all personnel in attendance must answer the following questions.

Have you returned from, or had close contact with anybody who has travelled from overseas within the last 14 days?

Have you had close contact with or cared for someone diagnosed with COVID - 19 within the last 14 days?

Have you experienced any of the following symptoms in the last 14 days .  A new continuous cough or high temperature or a loss of, or change in, normal sense of taste or smell (anosmia)

If the answer to any of the above questions is Yes then those personnel are not allowed onsite at Curborough.

In addition to all the standard conditions in the hiring contract the following must be specifically observed in accordance with Covid 19 requirements.

B) Entry Gate. The Entry Gate to Curborough must be kept closed during the arrival and after all participants have entered for the duration of the event. No public are allowed in the venue only the participants of the event. No overnight camping is allowed.

C) Toilets. Toilets will not be available except on request to the Course Manager and they will only be provided if the hirer can demonstrate that the toilets in use will be controlled on a basis of ‘one in and one out’ and will be cleaned and disinfected after each use in accordance with government instructions.

D) Catering. Provision of catering will be on request to the Course Manager and if provided will be subject to all government guidelines in existence at the date of hire.

E) Social Distancing. Social distancing rules as enforced by government legislation and guidelines must be adhered to.

F) Sign-on forms. To be conducted online prior to the event or by operating the social distancing rules in force at the time.

G) Drivers briefings and interactions between individuals and vehicles. To be conducted in compliance with the Social Distancing rules in existence at that point in time.

H) All participants/attendees of any event at Curborough must be supplied with a copy of Appendix F to this agreement.

ACTIVITY AT CURBOROUGH SPRINT COURSE

HOW WE MUST KEEP CUSTOMERS SAFE

Following latest advice from the Government and MSUK on all Covid 19 regulations and guidelines, SDCC have implemented a range of procedures at Curborough to minimise the need for contact between people when attending any event. These changes are intended to be both practical and more convenient for customers, whilst providing reassurance that we’re doing everything we can to keep everybody safe.

REGISTRATION

• All pre-event registration must be online, in advance. This new check-in system is mandatory and could involve uploading a digital copy of your licence (e.g. a photograph or scan) and completing an indemnity form electronically depending on the nature of the event.

• On arrival and throughout the whole of the event participants must observe 2 metre (or whatever is in existence at the date of the event) social distancing rules at all times.

• Hand sanitiser must be provided by the event organiser.

BRIEFINGS

• Briefings will be online, accessed as part of the check-in process. Where possible the briefing must be provided online and watched in full before your event

FOOD AND DRINK

• Our catering facility will be offering a takeaway service only with a limited hot food menu and a number of additional safety measures in place for certain specified events only.

• All customers are welcome to bring their own food and drink to the circuit

PADDOCK AREAS

• Paddock must be made available to assist with venue-wide social distancing measures

ADDITIONAL POINTS

• Only participants and their essential helpers may attend any event. No-one else, including spectating friends or family members, will be permitted unless government guidelines at the date of the event determine otherwise.

• In-car instruction is not available.

• On trackdays, passengers and additional drivers are only permitted if they are from the same household. On test days, there should be no more than one person in the vehicle at any time. Where the car is shared between drivers it must be wiped clean prior to each change over.

• Helmets are not available to hire.

• Under current guidelines, overnight stays at the course are not permitted until further notice.

IMPORTANT: You must not attend an activity if you have any symptoms of Covid-19, or you are required to self-isolate under Government guidelines.
