EXHIBITOR SCHEDULE – Exhibit Halls A/B/C

Friday, April 10: 1:00-5:00pm Heavy Equipment Move-in Heavy & Mobile Equipment Only (if you have not already submitted your forms and received a move-in time please contact Fern Exposition at 816.221.0525)

Saturday, April 11: 8:00am-5:00pm Move-in

Sunday, April 12: 1:30pm Fire Marshal Inspection of booths with motorized equipment. A PERSON REPRESENTING THE EQUIPMENT MUST BE PRESENT DURING INSPECTION UNTIL THE EQUIPMENT HAS BEEN APPROVED BY THE FIRE MARSHAL.

Sunday, April 12: 2:30pm All exhibitors must be Set-up and ready by this time.

Sunday, April 12: 4:30pm – 6:30pm SHOW TIME

Monday, April 13: 9am – 3:30pm EXHIBIT HALL OPEN

Tuesday, April 14: 8:00am – 1:00pm EXHIBIT HALL OPEN

Exhibit Access Hours

Exhibitor Access: Begins 1 hour prior to exhibit opening hours on Monday & Tuesday; 8am on Sunday.

Early Break Down

Early breakdown is prohibited. It creates an unprofessional and unsafe environment in the Exhibit Area and detracts from the event. Exhibitors that breakdown prior to 1:00pm on Tuesday, April 14 will lose their priority points and opportunity for prime location in the 2016 show. Please have your staff make travel arrangements so as to abide by the tear-down times. No Exceptions.

Directions to DeVos Place Loading Docks

There are several expressway off-ramps that will provide access to the numerous downtown facilities located throughout the downtown core. For quicker access to and from DeVos Place® we suggest the following traveling routes:

From points NORTHWEST (Muskegon): Travel I-96 East to US-131 South. The best exit is Pearl Street. At the end of the ramp turn left onto Pearl, then a quick left onto Scribner. Take Scribner to Michigan, then make a right onto Michigan. The entrance to the Michigan loading dock will be on your right.

From points NORTH (Cadillac): Travel US-131 South. The best exit is Pearl Street. At the end of the ramp turn left onto Pearl, then a quick left onto Scribner. Take Scribner to Michigan, then make a right onto Michigan. The entrance to the Michigan loading dock ramp will be on your right.

From points EAST (Lansing): Travel I-96 West to I-196 West. Use the Ottawa/ Downtown Exit (77C). Turn right on Michigan at the bottom of the ramp. The entrance to the Michigan loading dock will be on your left just past Monroe.

From points SOUTH (Kalamazoo): Travel US-131 North. The best exit is Pearl Street. At the end of the ramp is Pearl, then proceed straight onto Scribner. Take Scribner to Michigan, then make a right onto Michigan. The entrance to the Michigan loading dock will be on your right.

From points SOUTHWEST (Holland): Travel I-196 East. Use the Ottawa/Downtown Exit (77C). Turn right on Michigan at the bottom of the ramp. The entrance to the Michigan loading dock will be on your left just past Monroe.

Parking Information

Parking facilities at DeVos Place are managed by the City of Grand Rapids. Metered parking is also available on the streets near the convention center.

• Parking meters are enforced Monday through Friday from 8 a.m. until 5 p.m.

• Parking meters on Monroe Center are enforced on Saturday from 8 a.m. until 5 p.m.

• Parking meters are free after 5 p.m. -- unless they are marked as enforced.



Wash Bay

There will be wash bay onsite at DeVos Place. The bay has two hoses; no power washer. Please plan to arrive in advance of your scheduled move-in time if you wish to use the wash bay. We do have contact information for a mobile truck wash service. If this is a service you are interested in please contact Diana Forbes dforbes@.

GASOLINE/DIESEL POWERED VEHICLES

• Exhibitor Fire Safety and Decoration - All fire, safety and DeVos Place regulations must be strictly followed. No propane, acetylene or other flammable or explosive materials are allowed. Gasoline powered vehicles may be displayed with a maximum of ¼ tank of gas. (There are no exceptions.) The vehicle gas cap must be taped or locked and the battery cables disconnected and ends taped. Tanks of compressed air or gas must be chained and secured at all times.

• Vehicle keys must be provided to Show Management for safekeeping.

• Battery cables must be disconnected

• Vehicles must have protective covering under motors, drive trains, and tires on any carpeted area.

• There shall be no refueling or defueling of vehicles/equipment while inside the building or outside the exhibit facilities

• The starting of internal combustion engines shall not be permitted other than during move-in and move-out stages.

• Vehicles shall not be moved during show hours.

• The on-site use of flammable or combustible liquids for cleaning, polishing, or enhancing appearance of exhibitor display vehicles is prohibited.

POV – Privately Owned Vehicle

Exhibitors arriving by POV (privately owned vehicle) should not treat the loading dock as a parking lot and need to unload quickly in order to make room for other exhibitors and dock users. All exhibitors should unload as quickly as possible, deliver items to your booth and remove your vehicle before beginning to set-up. You may return to the dock area later to remove empties if necessary. Parking: also refer to the attached facility parking map.

Wi-Fi Access in DeVos Place

DeVos Place offers no free wifi in the facility. Basic wifi is available for $10/day and is accessible throughout the building. Run of show wifi is available for $75 and is a bit faster than the basic.

Exhibitor Cell Phone Contact

Per the rules of DeVos Place, APWA must have a cell phone number on file for each exhibiting company. This should be a cell phone number for someone that will be present onsite. If you have not already done so, please email a cell phone number for your company representative to Diana Forbes dforbes@.

Exhibitor Badges

Please go to Registration in the Lobby in the Exhibit Hall foyer at Devos Place to pick up your badges. You must present a photo id to pick-up your badge. Exhibitor representatives and/or set up staff going to the dock first may obtain a “Move-In Access” sticker from dock staff/security upon check-in. Badges will be required during exhibit hours. Exhibitors that are pre-registered will receive a lunch ticket for Monday & Tuesday. Exhibitor Reps registering onsite will not receive lunch tickets. Concession stands on the exhibit floor will be open during exhibit hours.

Badge Color Codes

Badges will be color-coded as follows:

Red - Attendee

Blue - Exhibitor

Yellow – Guest/Spouse

Green – Exhibit Only Pass

Purple – One Day Registration

Exhibitor Service Desk

The Exhibitor Service Desk and desk for the official show decorator, Fern Expositions is located at the back of the 100 aisle.

Empty Containers

Storing boxes, crates and other materials behind your booth is not permitted. If you have empty containers that you need to store please pick-up storage labels at the Fern Expositions Service Desk at the back of the 100 aisle. At the close of the show storage items will be brought back to booths after the aisle carpeting has been removed.

Carpet

If you haven’t already done so, please place your order for carpet by going to the Exhibitor Service Desk at the back of the 100 aisle (onsite) or use the forms in your exhibitor service kit in advance of the show. Please note: per the Rules and Regulations of your Exhibit Contract all booths must be carpeted or have other professional floor covering.

Electricity

If you need electricity for your booth it is best if you order in advance so it can be put in place before carpet is put down. If you need to order power please contact DeVos Place (616) 742-6500 or use the order form in your exhibitor service kit.

Security

Although APWA provides security in the facility during the event, as a participant in the show it is your responsibility to secure any product, display, and personal items that can be stolen. APWA, Fern Expositions nor DeVos Place are responsible for lost or stolen items.

First Aid

For minor medical treatments, please visit the first aid office is in the Service Corridor behind the Grand Gallery Rooms. For major medical emergencies, please dial 911 or building security: 616.742.6640

Photography on the Show Floor

Video or still photography of another exhibitor’s booth is not allowed. Exceptions are the Press, Official Show Management/Photographer, or as approved by Show Management.

Prize Drawings

Again this year the Local Host Committee is planning to do prize drawings on the exhibit floor during scheduled breaks. If you would like to donate an item for the prize drawings please contact Diana Forbes dforbes@ (in advance), or bring your item to onsite registration at DeVos Place. We’ll be glad to include them in the drawing and announce your company and booth number as the donating exhibitor.

New Product Showcase

If you applied to participate in the New Product Showcase area please bring your posters to Registration in the Foyer of the DeVos Place by 2:30pm on Sunday, April 12, 2015.

2016 Booth Sales

The floor plan for 2016 is available for viewing in the Sales Office near registration. Stop by, see the floor plan and put in your request for space. The 2016 Conference will be in Hartford, CT, May 22-25, 2016.

Show Policies

-Absolutely, no one under the age of 18 is allowed on the exhibit floor during move-in and move-out. No exceptions.

-Product solicitation on the exhibition floor is permitted only by representatives of exhibiting companies.

-Exhibits must be set and ready for show by 2:30pm on Sunday, April 12. All packing materials and crates must be removed from the Exhibit by 2:30pm in order to begin laying down of aisle carpet. Be sure to label your boxes, bins, and crates with your company name and booth number to expedite their return at the close of the show. Storing boxes, crates and other material behind your booth is not permitted. Storage labels can be picked up onsite at the Fern Expositions Service Desk at the back of the 100 aisle.

-All booths must stay intact until 1:00pm on Tuesday, April 14. Dismantling of exhibits, packing displays, or removal of booth display items will not be permitted until after the close of the show at 1:00pm on Tuesday, april 14, when all attendees have cleared the exhibit all. This policy is mandatory and must be enforced for the overall consideration of exhibitors and safety of our attendees. Exhibiting companies that violate this policy will lose their Priority Points and prime placement in the 2016 show.

- Exhibitors are not permitted to distribute outside food or beverage at their booth. Food and beverage must be purchased from convention center catering to be given away at booths.

Snow Celebration Reception

Tuesday, April 14

6:00 p.m.

 Our APWA Michigan Chapter hosts are planning a casual and fun-filled evening at The B.O.B. in downtown Grand Rapids. The B.O.B. (an acronym for Big Old Building) is a 70,000 square-foot, four-story, red brick building constructed in 1903 as Judson’s grocery warehouse. It’s now a versatile dining, entertainment, and event complex and a landmark destination with tons of historic charm. Several popular venues are housed at The B.O.B. including Bobarinos, Gills Blue Crab Lounge, B.O.B.’s Brewery, Judson’s Steakhouse, Dr. Grin’s Comedy Club, H.O.M.E. (House of Music and Entertainment), and more. Snow Conference attendees will have exclusive use of several of these venues until 9:00 p.m. when doors will open to the public. Beer City Shuttle – Free!

Grand Rapids is so well-known for its craft beer community that it’s been voted Beer City USA the past two years in a row and named Best Beer Town by USA Today readers. And the food’s good in the brew pubs too!

Our Michigan Chapter hosts want you to experience all the great food and brew the city’s known for, so they’ve partnered with Bell Equipment Company to help you get around town on Monday evening. Four GR Hopper shuttle buses will run a 10-minute loop from the Amway Grand Plaza Hotel, with three stops at several of the city’s most popular brew pubs. The shuttle will run 6 – 11p.m. with stops near The B.O.B., Founders Brewing Co., HopCat and Grand Rapids Brewing Company. The B.O.B. is home to several of Grand Rapid’s most popular restaurants and B.O.B.’s Brewery. Founders’ Brewing Company serves one of the world’s top 10 beers and has been rated the third best brewery in the world by . HopCat has been named one of the Top 5 Great American Beer Bars by , and Grand Rapids Brewing Company is the first USDA Certified organic brewery in Michigan and one of less than two dozen in the country.
