Policy and Guidelines for Deleting Information

Policy and Guidelines for Deleting Browsing Information

DRAFT Policy 2008-01-31

Policy

CSU’s IT security policy is that personal and private information on IT systems is to be kept to a minimum. Because cookies and files that exist on computers as a result of web browsing may contain sensitive information and subject to access via spyware, malware and other illicit means of access, their existence on IT systems should particularly be minimized. Items associated with an individual user’s browsing history should be deleted periodically at a frequency in accordance with the degree of potential sensitivity of the information on the system.

Practice

Periodically, at least once per week and more frequently if significant amounts of sensitive information may exist on computers, users should delete the cookies and files on their computers that exist as a result of web browsing. Users must take individual action to delete this information, as described below.

Instructions for Users Running Internet Explorer (IE)

1. Move the mouse to the upper right corner of IE, and click on the ‘Tools’ menu.

2. Navigate down to and click on the menu item ‘Delete browsing history…’

3. A new window, ‘Delete Browsing History’ opens. Take the following actions:

a. In the ‘Temporary Internet Files’ box, click on ‘Delete files…’

b. In the ‘Cookies’ box, click on ‘Delete cookies…’

c. If you have accessed forms since the last time you cleaned up your browsing history, in the ‘Forms’ box, click on ‘Delete forms…’.

d. If you have any passwords stored, in the ‘Passwords’ box, click on ‘Delete passwords…’, if you wish all of your stored passwords to be deleted. (Note, it is exceptionally bad practice to store passwords to secure sites and sites where sensitive information might exist. Never store any passwords associated with CSU systems.)

e. You may accomplish all of the above with only one action by simply clicking on ‘Delete all…’ at the bottom of the window.

4. After all of the above has completed, click on the ‘Close’ box at the bottom right of the window.
