Description

The Director of Events reports directly to the Head of Development. The Director of Events¡¯ primary

responsibility is to ensure that all events advance the mission of St. Francis and support the cultivation,

solicitation, and stewardship goals for St. Francis.

Essential Functions

? Determines and manages event strategies for all school-wide advancement related events (e.g.,

fundraising events, campaign events, stewardship events, Head of School¡¯s events, cultivation

events, etc.).

Creates and maintains detailed timelines and budgets; coordinates event logistics and

communications; and oversees all advancement events.

?

Collaborates with the Marketing and Communications department on branding, collateral materials

and promotions for each event.

?

Sets and maintains best practice standards and goals for events sponsored by the school¡¯s

advancement department. Develops the guidelines necessary for the promotion and execution of

these activities.

Determines the appropriate leadership and volunteer structure, secures necessary and sufficient

volunteer support and effectively manages the volunteer structures for each event.

?

Plans, develops and coordinates goals, prospect engagement and gift strategies with Head of

Development and key school leadership by regularly identifying gift prospects from event

attendance, committee members, co-chairs, and honorees. Ensures that all events comply with

board policies, school fundraising policies, internal timelines, and industry best practice cost ratios.

Assists in maintaining congruency between the school¡¯s board-approved Mission Statement, the

Long Range and Strategic Financial Plan and all activities of the advancement department.

Assists in assuring that donors are familiar with and adhere to school policies in all areas of the

school¡¯s operation.

Supports the Employee and School Handbooks and assists with revisions and updates, when

necessary, of the school¡¯s fundraising policies and procedures.

Is assessed through the Professional Growth and Evaluation Program.

Essential Tasks

? Plans and implements marketing materials such as invitations, letters and other items for events.

? Plans and implements timely and ongoing personal/written/phone contact with volunteers/major

donors/potential donors attending events including thank you letters and data documentation.

? Sets and maintains individual event budgets and proposes financial goals for events.

? Evaluates all advancement events on an ongoing basis, looking for areas to adjust costs, improve

events, better utilize volunteers, better thank volunteers, and overall enhance the donor experience.

? Maintains all advancement events¡¯ presence on the school¡¯s website.

? Knowledgeable about Senior Systems and uses Senior Systems¡¯ development module and/or

other school management software programs.

? Completes various Tasks related to the employee¡¯s yearly goals and the school¡¯s long range and

strategic financial plan.

? Performs other tasks and duties as assigned by the Head of School and/or supervising director or

head.

Bachelor¡¯s degree required, Master¡¯s degree preferred; CFRE or related certification a plus.

A minimum of three years event planning experience (or the equivalent), preferably in an

independent school environment.

Impeccable attention to detail, exemplary organizational skills and a strong ability to maintain

confidentiality.

Excellent verbal and written communications skills.

Proven skills in planning, implementation, and follow-through with the ability to articulate the

School¡¯s vision for fundraising and to execute a plan capable of sustaining that vision.

Physical Requirements and Work Environment

? Occasionally lift up to 30+ pounds.

? Generally, works in standard office conditions and climate.

? May work in varied extreme outside weather conditions during school events, special activities and

fundraising events.

? Ability to work in a highly stressful environment dealing with a wide variety of challenges and

deadlines.

? May work at a desk and computer for extended periods of time.
