Responsibilities

I work directly with PIs in the ABOSS RAS. The ABOSS RAS is comprised of the following departments in the School of Medicine: Anesthesiology, Psychiatry, Neurology, Neurosurgery, Otolaryngology, Orthopaedics, Surgery, Rehabilitation Medicine, and Urology. I facilitate the preparation of these PIs grant proposals for submission to both federal and non-federal granting agencies. I am an intermediary between the PIs and the staff of Emory’s Office of Sponsored Programs and Office of Research Grants and Contracts. Activities include:

• assisting PIs in the development, preparation, and submission of grant and contract proposals

• ensuring all applications meet agency and university guidelines and published time tables and deadlines, including management of the Just-In-Time process

• assuring proposals are entered and routed in a timely manner for further review

• conferring with PI and Pre-Award support staff at collaborating institutions to secure necessary sub-awards documents for proposals

• aiding the PI in the development of budgets and budget justifications, which includes proofing the budget for inconsistencies and ensuring accuracy.

• reviewing budgets for consistency with sponsor, monitoring compliance with agency and University regulations regarding submission;

• verifying all financial information to include application of the appropriate overhead rate for the project.

• advising the PI on administrative requirements in preparing proposal submissions and on budget adjustments and revisions necessary to meet the sponsor requirements

• coordinating and reviewing certain proposal elements (biosketches and facilities & resources) for consistency, accuracy, and completeness.

• checking proposals for consistency with sponsor guidelines on budget, format, font size, page limits excluding narrative content (obtain and review sponsor guidelines).

• monitoring and facilitating the proposal through the routing process in compliance with University procedures and institutional signatures. Obtaining signatures as needed. Monitoring proposal status and advising PI on requirements and deadlines associated with research protection protocols.

• working effectively with other offices (central, school, departments, divisions) on research proposal.

Senior Research Financial Analyst – April 2010 – September 2015

Responsibilities

As the senior staff member responsible for pre-award research administration in the 5th largest NIH-funded department of surgery in the US, I work directly with the staff of the School of Medicine’s Dean’s Office of Business and Finance, the staff of Emory’s Office of Sponsored Programs and Office of Grants and Contracts Accounting, Yerkes staff, other Schools within the university and other School of Medicine Departmental staff as well as individual Department of Surgery, Urology and Otolaryngology faculty and staff, regarding each department’s extramural sponsored grants and contracts including clinical trials. Activities Include:

• Serve as lead contact of pre-award staff for all pre-award administration and processing of grants and contracts including clinical trials for the Department of Surgery;

• Oversee the work of two staff members

• Assist Department of Surgery, Urology, and Otolaryngology faculty and staff in the coordination of grant applications and contracts including: reviewing applications for compliance with University and funding agency requirements; providing assistance in budget preparation; monitoring the routing process through the University offices.

• Process and request financial carry forward requests, request and process invoices on subcontracts, process amendments to clinical trials and other contracts

• Serve as primary contact for industry, subcontracting universities and other administrative staff outside of Emory

• Provide policy and procedure interpretation for faculty and staff

• Maintain appointment and termination of fellows on 2 T32 grants in the Department of Surgery

• Meet weekly with the Chair of the Department of Urology to discuss any issues with his grants and other research related issues.

Senior Research Administrator/Senior Research Financial Analyst - October 2001 – April 2010

Pre-Award Responsibilities

Work directly with the staff of the Emory Office of Sponsored Programs, as well as individual SON Faculty and staff, regarding the SON extramural sponsored grants and contracts. Activities Include:

• Serve as lead contact for pre-award administration and processing of grants and contracts for school;

• Develop an administrative infrastructure for grant management that coordinates pre-award information with existing infrastructure for post-award grants management. Includes creating a database as well as other measures of tracking progress;

• Provide policy and procedure interpretation to academic departments;

• Assist in the coordination of grant applications, reviewing applications for compliance with University and funding agency requirements;

• Determine the best ways to raise the level of knowledge and skill of the faculty and staff of the School in regard to pre-award research administration, and then arranging for the necessary training to achieve objectives;

• Assist graduate students in obtaining their external fellowships or other funding through classroom and individual meetings.

Post-Award Responsibilities

Work directly with the staff of the Emory Office of Grants and Contracts Accounting, as well as individual SON Faculty and staff, regarding the SON sponsored grants and contracts. Activities include:

• Provide account management, reconciliation, and resolution for principal investigators and research support personnel;

• Monitor fiscal expenditure of grant funding and ensure that expenditures comply with federal and university policies;

• Work with the Director of Finance & Research Administration to resolve grant accounting and contractual issues, communicating with sponsors, ensuring compliance with grants and contract regulations and reporting requirements, and closing out grants and contracts;

• Assist graduate students in maintaining their external fellowship or other funding through one-on-one meetings to review financial statements.

Represent the School of Nursing at Research Administrator Meetings (RAM), University Research Administration, and Finance Advisory Committee (RAFAC)
