How to Add or Copy Student Records to your School

There are several different scenarios for adding or copying students to your school.

1. Student already exists in your school and has been withdrawn.

a. You can simply Re-enroll the student by press UpdAtt button. Transcripts should have data from all SCOE programs.

1. Student attended another school in SCOE Court & Community during this school year and is new to your school. Use method to Add via District Lookup.

2. Student attended Court & Community schools in another year.

a. Follow instructions to Copy one student from another database, login into the correct year, find the student, and verify the tables you want to copy, press Update.

Re-Enroll Student

To re-enroll a student, press UpdATT

You’ll be asked for the effective enrollment date and given an opportunity to cancel:

The leave date and tag will both be cleared; a new attendance enrollment record will be created.

Adding a student via the “district” lookup

Press the Add button

Search for the student (you can enter a partial name to view a list). Highlight the student you want to add – note the student must have a leave date from the school you are copying them from – and click Update.

Copy One Students Records From Another School

Go to View All Forms – choose Copy One Students Records From Another School or Use K-Other Miscellaneous Functions – K-Copy One Student From Another School

You will be given an opportunity to change year – press the Ellipsis to change year

If you choose to change year, you will be able to change year and login to the other year’s database

Once you’ve entered the year, the school databases will display. Choose the database that contains the student and you’ll be able to select the student.

Review the tables to copy (for a new student generally you will want all of them…don’t copy a table with a blank description).

For any other tables that are listed under ‘Tables Transferred’ you will have to click on them one at a time and move them to the pane on the left.

Again, if this is a new student you will probably want nearly all of the tables. In that case you may have to click on the tables in the left pane one at a time and move them to the right.

Click exit to move back to the database / student selection screen.

Click Update and the routine will copy your student.
