President’s ReportMichael Drage presented the President’s report. Michael first noted issues associated with changes in fee memberships that were decided by the Board in the context of what we are trying to achieve in the longer term and the conversation that the club has been having for some years now around ‘how do we get more tables so more people can play’. AN increase in fees was needed to strengthen the financial viability of the club, in particular the ‘building fund’.Michael then reflected on TTACT’s achievements over the last 12 months, and extended appreciation to many club members who assisted through board roles, coaching, organising and running events, volunteering and playing table tennis. Highlights included:Strong pennant with 8 juniors now playing in Division 1 and the success of Super Sunday finals at the end of 2019. Best ever ACT Open attracting many highly ranked players with over $10,000 in prize money.Juniors going from strength to strength, supported by coaching clinics (Denis Makaling, TTACT High Performance Director), weekly ACT Coaching sessions of High Performance Squad (Karen, Wen and Richard) and High Performance Agreement with Table Tennis Australia (signed August 2019 to promote collaboration with TTA National coaches including Simon Gerada). Numerous achievements of individuals and teams in competition including: -National Veterans - Henrik, Brian and Wen in top 10 over 65 and team won Bronze.- AWD - Yasir Hussaini in Australian para team (Bangkok).-Junior Nationals - Under 13 boys 4th and Shanith in top 10 Under 16International connection enhanced with new Sister Club in Japan-Kisarazu TT Centre-with reciprocal ‘free use’ and a plan to visit Herbe Xin Xin training centre in China.ACT playing uniform introduced.Finalists in two ACT Minister for Sport and Recreation s Awards - Inclusion (Diversity and Inclusion) and Event Excellence (ACT Open) Special thanks to Jeff and Ferando for Gunghalin and Chris for Tuggeranong. Facility upgrades include hand dryers, painting outside, air conditioning and electrical switchboard at Kingston. Grant in to replace the floor at Kingston (approx $50,000). 57 respondents to survey for development of ACT strategic plan. Key issues in feedback and review were ‘access to tables’ and ‘major growth opportunity hampered by available facilities.’ Discussion with the ACT Government continues regarding needs for increased playing facilities. The changes in fees were viewed as positive in this regard. ACT Government also recognised that no staff member or sub-committee structure supports the Board. Minister Berry visiting Kingston Centre on Friday. Broader revenue opportunities being explored including grant applications, tax deductible Building Fund, donations and sponsorship. For example, Sponsorship by BMW $S coaching training was held last year at Kingston (run by Denis Makaling) with over 10 members qualifying/requalifying). Officials training was available interstate and not practical to run in ACT due to low numbers. 4. Minutes of previous AGM (held 8 February 2019) Continuation of ‘paperless policy’ wherever possible, while noting that a hard copy of 2019 Minutes, AWD report and 2020 financial report available at AGM. The minutes of the previous AGM had been posted on the TT ACT website.Mark Groves moved that the minutes be accepted. Fernando Zhang seconded. 2019 AGM minutes carried.5. Finance Director’s ReportFernando Zhang presented the Finance Director’s report. Financial management has continued to improve over the past 12 months through streamlining of payment registration. Overall Financial position has slightly improved, noting reduced revenue from national para event in 2018 has been covered by other sources of revenue including donations and shop purchases. Largest costs included venue hire $21,000 Gunghalin. $66 per hour. 6 hours per week. Championships largely offset by participants. New fee structure aims to increase revenue by over $40,000. This is difficult to predict due to uncertainty on membership. Biggest help by members is to pay on time (chasing up takes a lot of resources), encourage and promote playing at clubs in particular Gungahlin and Tuggeranong that has capacity, and to volunteer. Development officer / staff member likely to be needed in future to make the club sustainable.Ian Lester moved that the financial report be accepted. Sam Espsito seconded.5. AuditorBrett Lowe appointed. Table Tennis ACT Financial Statements (Audited by Brett Lowe) Moved by Sam Espisito and seconded by Song Chen.6. Competition Director’s ReportRichard Weaver presented the Competition Director’s report.Pennant and new Super Sunday format worked well and may be held at Tuggeranong in future.4 Divisions plus juniors pennant to continue. Continued focus on TTACT being more involved in interstate competitions such as Illawarra fast 3, NSW Country Championships, City vs Country, Juniors and AWD National and state opens, Goulburn and other town’s invitational/open competitions. Clarified that reserves for pennant need to be competition members and pay Kingston access fee but no weekly fee when reserving. 7. AWD Program ReportRosanna Horn presented the AWD Program report. She made special mention of achievements at the last 2019 National Para Championships held at Murray Bridge SA with Patrick Horn winning Bronze in Men Open Doubles and Rebecca Simpson being awarded the ‘Best and Fairest’ prize at the championships. Yassir Hussaini representing Australia as a member of National Para Squad.Rosanna also reported on the annual schools program that was growing steadily and collaboration with individual schools such as Black Mountain, Lyneham High School and Gold Creek (Gunghalin). Working with schools was an important way to increase awareness of the opportunities in table tennis with young people and, hopefully, future club players. 8. Special acknowledgement of the passing of Glenys Joliffe. Michael Drage reflected on the huge contribution Glenys made with para, juniors, veterans and the huge loss to ACT Table tennis community from her passing. Michael requested members suggest ways the club could honour Glenys in perpetuity. 9. Election of Board MembersSeven members had entered nominations for Board positions, all incumbents with the seven positions uncontested. Returning Officer David Swanton noted there would be no need for voting as there were no contested positions. Consequently Michael presented the new Board to the meeting as follows:Michael Drage (President)Mark Groves (Vice President)Fernando Zhang (Finance Director)Heather Tomlinson Karen PonSam Miller Rosana HornMichael also informed the AGM that Pat McGinn would be nominating to join the Board which would need to formalised at the next Board Meeting. 10. Close of MeetingMichael Drage thanked everyone for attending and formally closed the meeting at 9:30pm. ................
