Job Title: Assistant to the Green Party Candidate for Mayor of London

Place of work: Green Party Head Office, to be reviewed

Pay: £25,000 per annum

Hours: Full time (37.5 hours per week, including out of hours meetings with time off in lieu)

Period of contract: from earliest date possible, ideally from October 2015, to 27th May 2016

JOB DESCRIPTION

To provide diary, administrative, research and information support to the Green Party’s Candidate for Mayor of London that is responsive to their needs and contributes to making their role effective. The post is mainly office hours Mon-Fri although some flexibility will be required.

PRINCIPAL ACCOUNTABILITIES

1. To provide a full range of administrative and secretarial support primarily to the Mayoral Candidate (and to London Assembly candidates as directed) including managing a ‘bring-forward’ system, maintaining diaries, arranging meetings and organising travel, overseeing administration and working with volunteers and interns.

2. To produce information briefings for media and policy work.

3. To liaise with other members of the campaign team to ensure smooth and effective working.

4. To provide an effective interface between the candidate(s) and external organisations that need to maintain contact with the candidate(s), including logging, responding to, and following up correspondence, telephone calls and emails from constituents and other stakeholders.

5. To monitor all planned meetings that require the attendance of the Mayoral candidate and ensure that the candidate is kept informed of up-to-date developments (such as recent correspondence, and media or policy briefings on the issue), attend meetings as required, take notes or minutes, and monitor actions taken on decisions made.

1. Experience of working in a comparable role, including dealing with correspondence, organising diaries and events, and working in a busy office; proficiency in word-processing and use of a range of office software, and experience in design and layout of simple documents.

2. Well-developed written and verbal communications skills, including the ability to communicate openly and inclusively with others, to influence others, and to present a credible and positive image.

3. Ability to produce clear and concise notes; the ability to perform internet-based research and write briefings and provide background information for meetings, policy and media work.

4. Ability to prioritise tasks and adjust your plans in a rapidly changing environment while still maintaining attention to detail.

5. Skills in problem solving, finding workable and timely solutions to problems that arise, and seeking the opinions and experiences of others.

6. Taking responsibility for tasks being delivered, and informing your line manager and the campaign team of any personal or professional issues that arise in a timely manner.

6. Green Party staff are required to keep a timesheet along with records and details of work carried out as requested by their line manager and may, from time to time, be required to provide written or oral reports to the Executive.

7. Green Party staff should be open to developmental needs which may arise and work with their line manager to address these needs through training or other routes.

8. Green Party staff are expected to identify and make recommendations to their manager on improving the systems within the office.

9. Green Party staff are expected to participate fully in the Party’s teamwork ethos, attend staff meetings, share team duties and responsibilities and develop their work in co-operation with other colleagues.

10. Green Party staff are expected to promote and develop the role of volunteer staff within their area of responsibility in liaison with their manager and in accordance with the current policy on the management of volunteers.

11. Whilst every endeavour has been made to outline all the duties and responsibilities of the post, a document such as this does not permit every item to be specified in detail. Broad headings may therefore have been used, in which case all the usual associated routines and duties are naturally included in the job description.
